Sales quotes in Business Central that turn into orders

Business Central sales quotes are draft offers. They hold items, prices, discounts and terms until the customer says yes. Then one action turns the quote into an order or invoice. We configure quoting so prices come out right the first time. Approvals happen inside the system, and no offer gets forgotten.

📝Quote to order

How Business Central sales quotes flow into orders

A quote looks and behaves like a sales order but posts nothing and reserves nothing. Lines can hold items, resources, ledger accounts or comments. When the customer accepts, the make order action copies everything to a sales order. The system then removes or archives the quote.

You can also write a quote for a contact who is not yet a customer. A customer template fills in posting groups and terms. The system creates the customer record only when you win the deal. So the customer list stays free of prospects who never bought.

Prices and discounts on Business Central sales quotes

A quote is only as good as the price on it. Sales price lists and line discounts apply to quote lines just as they do to orders. They work by customer, price group, campaign, quantity break and date range. So a salesperson does not need to remember special terms.

You can check item availability from the line before you promise a delivery date. Where margin matters, the statistics page shows profit on the whole document. We load your price structure, test it against real customers and agree which fields salespeople may override. Fewer overrides mean fewer disputes.

Approval and validity rules for Business Central sales quotes

Standard workflow templates include a sales quote approval. It can route a quote to a manager based on amount or on who created it. The approver responds from a notification or the requests to approve page. Nobody can send the quote until it is released. You set this up once.

The quote valid until date handles validity. A formula in sales and receivables setup can calculate it automatically. A standard batch job clears expired quotes. We also switch on quote archiving. Then you can retrieve every version you sent to a customer later.

A quote document worth sending

The standard quote layout is functional and plain. We redesign it as a Word layout with your logo and terms. Item pictures or extended descriptions help where useful. We add a clear acceptance line. Your own staff can still edit it. A good layout answers questions before customers ask them.

Sending uses the email setup you already have. The quote goes out as a PDF with a short message body. Salespeople who live in Outlook can create and send a quote from the add-in without opening the full client. We set that up when it suits how your team sells.

Following up on Business Central sales quotes

A quote that nobody chases wastes effort. You can link opportunities in the relationship management area to a quote. Each offer then has a stage, an expected close date and a salesperson. Role Center cues show open quotes at a glance. Managers can filter the list by salesperson or customer.

If you run a separate sales application, the standard connection can synchronize quotes with Dynamics 365 Sales. We help you avoid common pitfalls. Examples are duplicate quotes for one deal and prices typed over without reason. Another is an offer left open long after the customer went elsewhere.

Questions

Business Central sales quotes questions

Does a sales quote affect inventory or planning?

No. Quote lines do not reserve stock, do not count as demand in planning and post no entries. Availability on a quote is information only. So the system commits stock when the quote becomes an order.

Can we quote a prospect who is not a customer yet?

Yes. Create the quote for a contact and choose a customer template for default terms and posting groups. Business Central creates the customer when you convert the quote. So the customer list only holds companies that have ordered.

Can we keep earlier versions of a quote?

Yes. With quote archiving on, each archived version keeps its own version number. You can restore it. This is useful when a customer refers to an offer sent before the latest revision.

Can quotes be made for configured or made-to-order products?

Yes, with some design. Assemble-to-order items let a salesperson adjust components on the quote line. More complex rule-based products usually call for a configurator. Our product configurator page covers that. We can show both approaches.

Can quotes be created outside the full client?

Yes. The Outlook add-in can create a quote from an email. The mobile app gives access on a phone or tablet. Other systems can create quotes through the standard API. We help you choose the entry point that matches your team, so Business Central sales quotes fit how people work.
