Moving from QuickBooks to Business Central: a migration planned and reconciled

A QuickBooks to Business Central migration moves your accounts, customers, vendors, items and open balances into a full ERP. We plan what comes across and rebuild classes as dimensions. Then we load the data into a sandbox first. We prove the trial balance matches before anyone posts a live transaction.

⏱️The migration work

What a QuickBooks to Business Central migration involves

The migration has five parts: extract the data from QuickBooks, map it to Business Central structure, load it into a sandbox, reconcile it against QuickBooks and cut over at a period end. The work is the same whether you run QuickBooks Online, Desktop or Enterprise. Only the extraction step differs, because each edition exports lists and reports in its own way.

We also list the workarounds you built around QuickBooks, such as stock in spreadsheets or approvals by email. Each one becomes a setup task in Business Central, so the move removes it. If you are still deciding between the two products, our comparison pages cover that choice.

What we move and what stays behind

Master records come across in full: accounts, customers, vendors, items, payment terms and bank accounts. Open transactions follow, meaning unpaid customer invoices, unpaid vendor bills, open orders and stock on hand with its value. Those are the records your team needs on the first morning to keep trading.

Closed history is a choice. Most firms bring ledger balances by period, so they can compare years. They keep the old QuickBooks file for lookups, since replaying every old invoice adds effort without much value. We explain the options and you decide how much detail is worth carrying.

🗺️Structure rebuild

Classes, locations and item lists become real structure

QuickBooks classes and locations turn into dimensions in Business Central. You can require them on specific accounts and use them in every financial report. We usually shorten the chart of accounts at the same time. Account numbers that only split departments are no longer needed once dimensions hold that detail.

Item lists deserve attention too. QuickBooks lets service lines, stock items and one-off descriptions sit together. Business Central keeps stock, non-stock and service items apart. It gives each a posting group. We clean and classify the list before loading it, which is what makes stock value trustworthy afterwards.

🧭Our steps

How our QuickBooks to Business Central migration runs

We export your lists and open transactions, then shape them in Excel templates. Next, we load them with configuration packages into a sandbox. Nothing touches production until the trial run is clean. Your finance lead checks the trial balance, aged receivables, aged payables and stock value against QuickBooks.

We trace differences and fix them in the source files. Then we repeat the load until the numbers agree. For the real cutover, we pick a period end and freeze entry in QuickBooks. Then we run the same tested load into production. After that, Business Central opens for daily work. You keep the old file as a read-only reference.

🔁New routines

Working habits that change after QuickBooks

The biggest surprise for QuickBooks users is that you cannot edit or delete posted entries in Business Central. You correct a mistake with a credit memo or a reversing entry, which leaves a trail an auditor can follow. It feels slower for a short while and then becomes a reason people trust the ledger.

Documents also carry more steps. You can order, receive and invoice a purchase as separate postings. A sale can ship before you invoice it. We train each role on its own daily tasks in the sandbox, using your data. So the first live day of your QuickBooks to Business Central migration holds no unfamiliar screens.

Questions

QuickBooks to Business Central migration questions

Can all of our QuickBooks history be brought into Business Central?

It can, but it is rarely the right call. We normally bring master records, open transactions and ledger balances by period. Then you keep the QuickBooks file for looking up old invoices. We can scope detailed history separately if you need it.

Does it matter whether we use QuickBooks Online or QuickBooks Desktop?

The target is the same, but the exports differ. Both editions let us take lists and transaction reports out to Excel for a QuickBooks to Business Central migration. We then shape those files into Business Central templates. We look at your edition and any connected apps early so the extraction plan fits what you actually run.

What happens to our QuickBooks classes?

Classes become dimension values in Business Central. You can have several dimensions, such as department and project. Make them mandatory on chosen accounts and filter any financial report by them. That usually gives better reporting than classes did, with fewer accounts in the chart.

Which Business Central license fits a company leaving QuickBooks?

Most firms that leave QuickBooks start on Essentials. It covers finance, sales, purchasing, stock and projects. Premium adds production and service features on top. Microsoft publishes the current price of each license on its own site, and we can help you choose and buy licenses through a Microsoft partner.

Will our payroll and payment apps still work?

Apps built for QuickBooks do not connect to Business Central, so we replace or reconnect each one. Payroll usually stays with a payroll provider and posts a journal into the ledger. We list every connected app during planning and choose a route for each. That keeps your QuickBooks to Business Central migration free of surprises.
