A Business Central product configurator for made-to-order items
A Business Central product configurator lets a salesperson answer a few questions about size, material and options. In return, they receive a valid item, price and bill of materials for that exact combination. Business Central has no rule-based configurator of its own. So we help you choose between standard features, an add-on and a custom build. Then we implement it.

What a Business Central product configurator solves
Firms that sell configurable goods face a choice with no good answer. Some create an item for every possible combination. That floods the item list with numbers no one will sell. Others keep one generic item and describe the specifics in free text. The shop floor then has to interpret it.
A configurator replaces both habits with rules. It knows which options go together and which are forbidden. Each choice changes the price, and the rules know by how much. Components and operations follow from the choices too. So the order that reaches production is complete and buildable. The customer's quote came from the same logic.
Describe your product options →
- ✓Thousands of near-duplicate items
- ✓Specs typed in comments
- ✓Quotes priced from spreadsheets
- ✓Wrong parts picked
- ✓Engineering checking every order
How far standard Business Central goes
Item variants cover simple differences such as color or size, where the product is otherwise identical. Item attributes describe and filter products. Neither applies rules or builds a bill of materials. For a modest range, however, they are often enough and cost nothing extra. We always test them first.
Assemble to order goes further. An assembly item on a sales line opens an assembly order. You can edit its components for that customer, and the price rolls up from them. It works well for kits and light customization in Essentials. Still, the user decides what is valid.
Test the standard route →- ✓Item variants
- ✓Item attributes
- ✓Assemble to order
- ✓Editable assembly components
- ✓Price and cost roll-up
When a configurator add-on is the right answer
Once choices depend on each other, a rule engine earns its place. A motor size may limit the frame. A finish may be unavailable above a certain width. Configurator add-ons for Business Central provide question screens and constraint rules. They also offer formula-based pricing. Some generate a production BOM and routing per order.
They differ in where they run. Some work entirely inside Business Central on the sales line. Others also publish the configurator to a web shop or a dealer portal. Customers then build their own product. That difference usually decides the shortlist, so we ask about it early.
Shortlist add-ons with us →- ✓Rule and formula depth
- ✓BOM and routing generation
- ✓Web or portal use
- ✓Drawing or image output
- ✓Upkeep by your own staff
How we implement a Business Central product configurator
We ask engineering and sales to explain one family fully. That covers every option, every dependency and every price rule. A plain table usually shows contradictions. Sales may offer what production cannot build. Fixing those is half the value.
With the rules agreed, we prototype the family in a sandbox using the chosen route. Then we have real quotes re-entered through it. We extend the model to the remaining families only when three things match what an experienced person would produce. Those are the generated BOM, the routing and the price.
Start with one product family →- ✓Documented option rules
- ✓Prototype of one family
- ✓Pricing logic
- ✓BOM and routing output
- ✓Training for rule owners
Keeping the configurator maintainable
Rules grow. Each special request tempts someone to add an exception. After a while, nobody can predict what the model will do. So we structure rules in layers and keep a test set of known configurations. We rerun it after every change. That way a fix for one customer does not break another.
The other risk is item sprawl by the back door. A configurator that creates a new item number per order recreates the original problem. Where possible, we generate order-specific BOMs against a stable item or variant. We create new items only for combinations that will be stocked.
Plan for long-term upkeep →- ✓Layered rule structure
- ✓Saved test configurations
- ✓Named rule owner
- ✓Order-specific BOMs
- ✓New items only when stocked
Business Central product configurator questions
Is there a product configurator in standard Business Central?
Not a rule-based one. Standard Business Central offers item variants, item attributes and assemble to order. They handle simple options. Rules and guided questions come from an add-on or a custom extension. So does BOM and routing generation. We help you decide which route suits your Business Central product configurator project.
Does a Business Central product configurator need Premium?
Only if the configured product is manufactured with production BOMs and routings. Those are Premium features. A configurator that produces assembly orders can run on Essentials. We confirm which model fits your process first. That way you do not buy more than the work needs, and you do not find a gap later.
Can customers configure products on our website?
Yes. You can use an add-on that exposes its rules to a web front end. Or you can build a custom interface that calls Business Central APIs. The same rule set should serve both the website and internal sales. Then a customer never orders something the factory cannot build.
How is the price calculated for a configured item?
It comes either from a formula in the rules or from a roll-up. A formula might be a base price plus option surcharges. A roll-up adds the cost of generated components and operations, then applies a margin. Many companies use a formula for list price. They keep the roll-up as a margin check.
Who maintains the rules after go-live?
Ideally a product engineer or sales engineer on your side, not a developer. We choose tooling with that in mind. Next, we train the owner to add options, adjust prices and run the test set. Our help during US business hours covers structural changes. That keeps your Business Central product configurator healthy.
