Business Central contact management for sales teams that live in the ERP
Business Central contact management is the relationship area of the ERP. It holds a shared list of companies and people. Every interaction gets logged. Segments serve mailings, and an opportunity pipeline tracks sales. We set it up for teams that want light CRM without a second system. We also tell you plainly when Dynamics 365 Sales is the better answer.

What Business Central contact management gives you
Business Central contact management handles two kinds of contact: companies and the people who work at them. A contact can exist long before it becomes a customer. Once it does, a business relation links it to a customer, vendor or bank account. So the address stays in a single place.
Around the contact sit the working tools. Interactions record calls, meetings, emails and documents sent. Segments group contacts by criteria for a mailing or a campaign. Opportunities move through the stages of a sales cycle you define. Each carries an estimated value and a chance of success. Tasks keep salespeople on schedule.

When light CRM inside the ERP is enough
It is enough when the sales team is small. It also helps when staff write quotes in Business Central anyway. Managers then want one customer record with its history and an honest pipeline. Contacts sit next to quotes, orders and balances. So a salesperson sees an overdue invoice before making the call.
Business Central contact management is not a marketing automation platform. There are no lead scoring models, web forms or multi-step email journeys. Some teams have long sales processes or territory management. Others have a marketing function. They usually do better with Dynamics 365 Sales or another CRM. We integrate it so customers, items and prices stay in step.

- ✓Occasional targeted mailings
- ✓No separate CRM budget
How we configure Business Central contact management
We begin with the questions you want answered. Who are our prospects by industry? What sits in the pipeline this quarter? Who has nobody called or visited lately? Those questions decide the classification fields. Examples are industry groups, job responsibilities, mailing groups and profile questionnaires.
Then we define the contact management sales cycle stages in your own words. We build interaction templates for the contact types you record. Duplicate search comes next, so nobody enters the same company twice. Our team cleans existing contact lists and matches them against customers and vendors. Configuration packages then import them.

What your team works with afterwards
The Business Central add-in for Outlook is what makes the setup stick. With an email open, a salesperson sees the contact's card, open documents and balance beside the message. They can create a quote from the email. They do not leave the inbox or retype the address.
You also receive role-based home pages for salespeople and the sales manager. They carry pipeline cues. We add saved list views for follow-ups. A small set of reports completes the kit: opportunities by stage, interactions by salesperson, and contacts with no recent activity. We record short training clips, so new hires learn the same habits.

Contact management mistakes we see
The first mistake in Business Central contact management is importing every list the company has ever collected. Old trade show spreadsheets are full of duplicates and dead addresses. They bury the good records. Then people stop using search. We agree rules for what comes in. We leave the rest in an archive file.
The second mistake is asking for too much discipline. If logging a call takes a dozen fields, nobody will log it. We keep interaction entry to a few clicks. Email logging captures correspondence where your mail setup allows it. We also keep the pipeline stages few, so everyone reads them the same way.
Share your sales process →- ✓Bulk imports of stale lists
- ✓Customers duplicated as contacts
- ✓Overlong interaction forms
- ✓Vague pipeline stages
- ✓Nobody owning data quality
Business Central contact management: frequent questions
Is Business Central contact management included in Essentials?
Yes. Contacts, interactions, segments, campaigns and opportunities come with Essentials. So light CRM needs nothing extra. The Outlook add-in is also included and is deployed to users through the Microsoft 365 admin center or from inside Business Central.
What is the difference between a contact and a customer?
A contact is any company or person you deal with, including prospects. A customer is a record you can sell to and invoice. When a prospect buys, the contact is converted to a customer using a template, and the two stay linked so details update together.
Can Business Central work with Dynamics 365 Sales?
Yes. Microsoft provides a standard integration through Dataverse. It keeps accounts, contacts, items, prices and salespeople in step. Sales orders from Dynamics 365 Sales then flow into Business Central for fulfillment and invoicing. We set it up and tune the mappings.
Can we send mailings from segments?
A segment can log an interaction for every contact in it. It can also produce emails or documents from a Word template. For large newsletters, we usually pass the segment to an email marketing tool. We then record the send as an interaction.
Can Business Central contact management log emails automatically?
Business Central offers email logging. It records messages exchanged with contacts as interactions. The feature uses a connection to Exchange Online. Some setup on the Microsoft 365 side is needed. We check your mail configuration first and then enable it for the salespeople who want it.
