Business Central sales order processing from order entry to invoice
Business Central sales order processing carries a customer request from quote to order, shipment and invoice in one connected flow. We configure pricing and discounts, credit and availability checks, shipping options and invoicing rules. So your order desk can promise a date with confidence. The invoice also matches what you shipped.

Where Business Central sales order processing saves order desk time
Watch someone enter an order and the delays are easy to see. They look up the price in a separate list. Someone messages the warehouse to ask about stock. They ask a manager whether the customer is over their limit. The delivery date is a guess.
The cost shows later. It appears as credit notes for wrong prices and backorders nobody warned the customer about. Invoices also stall when shipping details are missing. When the order screen itself shows price, availability, credit position and a calculated date, most of those follow-up talks stop.

How Business Central sales order processing works
A sales quote becomes an order with one action, keeping its lines and prices. You can ship and invoice the order together or in stages. Post several partial shipments, then invoice each or combine them. Blanket sales orders hold a customer's commitment over a period. They release quantities as the customer calls them off.
Prepayments let you bill a deposit before shipping. Drop shipment links a sales line to a purchase order so the vendor delivers direct. Return orders bring goods back and create the credit memo. You can email order confirmations, shipments and invoices from the document. Layouts and email text can differ per customer.

How we configure Business Central sales order processing
Pricing comes first. We load sales prices and line discounts by customer, customer price group or campaign. They come with dates and quantity breaks. So the right price appears without a lookup. Invoice discounts and payment terms sit on the customer. We set up salespeople, shipping agents and their services. Tracking links then appear on posted shipments.
Then the warnings. We turn on credit limit and overdue balance checks in sales setup, along with the stockout warning. You can block customers for shipping or invoicing when finance needs to hold them. Where a discount or order value needs sign-off, a sales approval workflow routes it to the right person before release.

Business Central sales order processing: availability and order promising
The order line shows what you have on hand, what is already reserved and what is due in. Order promising goes further. Available-to-promise calculates the earliest date from current stock and scheduled receipts. Capable-to-promise works out when you could buy or make the item if nothing is on its way.
These dates depend on honest inputs: vendor lead times, outbound warehouse handling time and shipping time per agent service. We enter those with your team and test the calculated dates against recent real orders. We use reservations selectively. They suit customers or items where you must hold stock for a specific order.

What you get and the pitfalls
The order desk works from one screen. Warehouse staff ship from released orders. You post invoices in a batch, or combine them per customer with the combine shipments job. The system can then send them by email automatically. Managers see open orders, backorders and shipped-not-invoiced value on their role center or in Power BI.
A few pitfalls are worth avoiding. One is using sales invoices instead of orders for stocked goods, which skips shipment and availability. Another is letting users override prices freely with no report of changes. A third is leaving shipment dates at today by default. We fix the defaults and add the exception reports that keep the process honest.
Fix a stuck process →- ✓Open orders by date
- ✓Backorders by customer
- ✓Shipped not invoiced
- ✓Price override exceptions
- ✓Orders on credit hold
Business Central sales order processing questions
Can one order be shipped in several deliveries?
Yes. You enter the quantity to ship on each line and post. The order stays open with the remaining quantity, and each posting creates its own posted shipment. Invoicing can follow each shipment or wait until the order is complete, depending on the customer's terms.
Can customers place orders themselves?
Not in the standard client, which is for your staff. Yes, through the built-in Shopify connector for online stores. EDI works for trading partners. A portal built on Power Pages or an add-on is another route.
How does the system stop an order for a customer over their credit limit?
As standard it warns the user when the customer passes the limit or has an overdue balance. To enforce a stop, we add an approval workflow on credit limit, or block the customer for shipping. The choice depends on how firm your credit policy is.
Can special prices be set for one customer?
Yes. You can define prices and line discounts for a single customer, a customer price group, all customers or a campaign. Each can have start and end dates and minimum quantities. The system then proposes the best applicable price on the line.
What is the difference between a sales order and a sales invoice?
A sales order supports shipping in parts, availability checks and warehouse handling, then invoicing. A sales invoice posts shipment and invoice in one step with none of those stages. Orders suit physical goods. Direct invoices suit simple services or one-off charges. Good Business Central sales order processing uses each one for the right job.
