Business Central project management for budgets, costs and billing
Business Central project management tracks the budget, actual cost and billing of each piece of work you deliver. It lives in the Projects area, which older versions called Jobs. We shape project tasks, planning lines, resources and posting rules around the way you quote and invoice. So project managers and finance read the same numbers.

What Business Central project management includes
A project in Business Central has a card, a customer and a list of project tasks. The tasks break the work into phases. Under each task sit planning lines for the resources, items and general ledger costs you expect to use. You mark each line as budget, billable or both.
As work happens, staff post usage through project journals, purchase documents and approved time sheets. Each posting lands on project ledger entries. So you can compare budget and actual by task at any moment. Sales invoices come from the billable planning lines. The module is part of the Essentials license.

When project accounting belongs in your ERP
Project tracking belongs in Business Central when cost and revenue by project matter to the accounts. Engineering firms, contractors, agencies, installers and software companies all reach this point. Spreadsheets can no longer say whether a fixed-fee engagement is still profitable. It may have quietly slipped into a loss.
It is a poor fit as a task board. Business Central does not try to replace a scheduling tool with drag-and-drop charts and team chat. Many of our clients keep a planning tool for daily coordination. They use Business Central for the financial truth: budget, cost, work in process and what has been billed.

How we configure Business Central project management
We start from three real projects of different sizes. Together with you, we rebuild them in a sandbox. That exercise settles the task structure and how deep the budget goes. It also settles which resources and resource groups exist. Finally, it settles how you agree prices per customer or per project.
Then we set the project posting groups. They send cost, revenue and work in process to the right ledger accounts. The WIP method follows your revenue policy, and we choose it with you. We also build project templates, so new work starts with the right skeleton. We connect purchasing, time sheets and dimensions. So nobody enters anything twice.

What Business Central project management hands over
You receive a configured Projects area with your templates, prices and posting setup. Your open projects come loaded with budget, cost to date and amounts already invoiced. Project managers get role-based home pages that show their own work. Finance gets the WIP calculation and posting routine, documented step by step.
Reporting is part of the handover. We set up the standard project reports you will use. We add dimensions for analysis across projects. Where managers want charts, we connect Power BI. We also record short training sessions for project managers, time entry users and the accounting team.

Pitfalls in Business Central project management setups
Too much detail is the most common problem. A budget with a planning line for every small purchase looks thorough. People abandon it within weeks. We aim for the level of detail that people will keep current. That is usually phases and major cost types.
The second problem is usage that never reaches the project. Staff may code purchase invoices to the general ledger, not the project. Or managers may approve time sheets late. Then the project looks healthier than it is. We build the entry points so the project number is captured at the source. Staff then find it hard to skip.

Questions about Business Central project management
Is the Projects module the same as Jobs?
Yes. Microsoft renamed Jobs to Projects in a recent release wave. The features are the same ones long-time users know: tasks, planning lines, journals, WIP and invoicing. Pages and reports now use the word project. So older training material may look slightly different. We update your guides to match the current wording when we set up Business Central project management.
Can Business Central handle both fixed-price and time and materials work?
It can. Billable planning lines can represent a fixed schedule of invoices. Posted usage can also create them for time and materials billing. Both styles can exist inside one project on different tasks. That suits contracts with a fixed phase followed by ongoing support. We set up the task types so each one bills the right way.
Which WIP methods are available?
Business Central ships with methods including cost value, sales value, cost of sales, percentage of completion and completed contract. You can also define your own. The right choice depends on your revenue recognition policy. So we confirm it with your accountant before setup. Then we test the calculation on a real open project before you rely on it.
Do project staff need a full license to enter time?
Often not. Microsoft's licensing guide allows Team Members users to enter time sheets. Project managers and finance staff who create and post documents need a full user license. We check your user list against the current guide before you buy. That way each person has the right access for Business Central project management.
Can purchases be charged straight to a project?
Yes. A purchase order or invoice line can carry a project number and task. The cost then lands on the project when you post the document. The line can also create a billable entry. That is how you pass through materials bought for a customer. We make the project fields easy to fill, so buyers do not skip them.
