Business Central price lists that orders apply without help
Business Central price lists hold the prices and line discounts agreed for customers, customer groups, campaigns and vendors. Sales and purchase lines look them up automatically. Our consultants translate your pricing agreements into clean lists and load them in bulk. Then we test that an order picks the price your sales team expects, so nobody overrides amounts by hand.

How Business Central price lists are organized
A price list has a header that says who it applies to. That may be all customers, a customer price group, a single customer or a campaign. Its lines name the product. A product can be an item, item discount group, resource, resource group, service cost or G/L account. Variant and unit of measure are optional.
Each line can also set a minimum quantity, a currency and a starting and ending date. A list has a status of Draft, Active or Inactive. Documents use only active lists. We design the smallest set of lists that expresses your agreements. Overlapping lists are hard to reason about later.

How an order chooses between competing prices
When a sales line is entered, Business Central gathers every active price line that matches the customer, item, date, quantity, unit and currency. If several match, it takes the lowest unit price. The same logic picks the highest line discount. The line then combines the two.
That rule surprises people who expect the most specific agreement to win. Business Central ignores a customer price higher than the general list. So we explain this early and shape the lists around it. We use the Allow Line Disc. setting and price groups. That way the result matches your commercial intent.

Line discounts and invoice discounts alongside prices
Line discounts can sit on the same price list lines as prices. Line discounts can also sit on their own lists, by item or by item discount group, for a customer or a customer discount group. Such lines suit agreements phrased as a reduction from list price. They change automatically when the list price changes.
Invoice discounts are a different tool. You set them per customer by total document amount, and they can include a service charge. We decide where each agreement belongs. Then we keep the two from stacking unintentionally. Last, we make sure printed documents show the discount the way your customers expect.

Loading and updating Business Central price lists in bulk
Prices change regularly, and editing lines one by one does not scale. The price worksheet can copy existing lines and apply an adjustment factor and a rounding method. It then creates new dated lines for you to check before you implement them. You can also edit lists in Excel and publish them back.
For the first load, we bring prices from your old system through configuration packages or the Excel route. Then we compare a sample of open orders between the two systems. Afterward, we document a routine for a price increase. It names who activates the new list and when the old one ends.

Purchase and project price lists
The same pages handle buying. Purchase price lists store agreed vendor prices and discounts, with the same quantity breaks and dates. Purchase orders and the requisition worksheet use them. Buyers see at once when a vendor invoice differs from the agreement on file.
Projects have their own price lists too. They work for a single project or all projects. They cover items, resources and G/L accounts on both the price and the cost side. For companies that bill time and material, customer-specific rates for resources live there. We set these up with the project module, so planning lines default correctly. That completes your Business Central price lists.

Business Central price lists questions
Which of the Business Central price lists wins when several apply?
The lowest unit price among all active lines that match the customer, item, date, quantity, unit of measure and currency. The same rule picks the best line discount. Knowing this rule is the key to designing lists that behave as intended. We test your Business Central price lists with sample orders, so you see the result first.
Are price lists different from the older sales prices page?
Yes. Earlier versions kept prices and line discounts on separate pages per item or customer. Current versions use price lists with a header and lines under the newer pricing experience. That also makes custom calculation easier to extend. If you are moving from an older version, we convert the old data into lists for you.
Can prices include tax?
A price list header has a setting for whether its prices include VAT. Regions with tax-inclusive consumer pricing use it mainly. For US sales tax, prices are normally entered without tax. The document then carries the tax calculation. We confirm the right setting for each list when we set up Business Central price lists.
Can Business Central price lists hold contract prices for a fixed period?
Yes. Give the lines a starting and ending date. Or create a dedicated list for the customer, with dates on the header. Orders dated outside the range fall back to whatever other active price applies. We also add a reminder routine, so someone renews a contract list before it ends.
What if our pricing needs formulas or cost-plus rules?
Standard lists store fixed prices and discounts. Rules such as cost plus a margin, or prices tied to an index, need an AL extension on the price calculation. An AppSource add-on for advanced pricing is another option. We help you decide which is lighter to maintain. Then we build and test it with your real orders.
