Business Central consultant for nonprofits that answer to funders and boards

A Business Central consultant for nonprofits has to make every dollar traceable to the fund, program and grant it belongs to. We set up Business Central for charities, foundations, associations and community groups. So restricted money is tracked well and funders get the reports they ask for. The board also sees a clear picture without a week of spreadsheet work.

🗂Structure

Funds, programs and grants tracked with dimensions

Business Central has no separate fund accounting module. Instead, dimensions tag every entry with its fund, program, grant and location. One chart of accounts serves them all. You can then cut reports by any mix of tags without copying data.

Default dimensions on vendors, staff and accounts fill most tags for you. Dimension rules can make a fund code a must on the accounts where it matters. Groups with complex fund balance needs can add a nonprofit app that builds on the same setup.

📊Planning

Budgets for each grant and program

General ledger budgets can be set by account and dimension. So each grant gets its own budget next to the group's overall plan. You can see budget against actual at any time, not only when a funder asks.

Multi-year grants get a budget across their full term. Reports then show spend to date against the grant total. That makes drawdown requests and forecasts easier. As your Business Central consultant, we build these budgets with your nonprofit's finance lead.

Grant and board reporting for nonprofits without the spreadsheet

Financial reports can show income and expense by fund, program or grant. You can also build a statement of functional expenses from program, management and fundraising dimensions. Once we set it up, the same report runs each month.

For board packs and funder dashboards, Power BI reads the same dimensions. It shows trends, restricted balances and program spend in a form that trustees understand. That way the board gets one clear view of the money.

💝Donations

Donations and grant income recorded in Business Central for nonprofits

Donor management usually lives in a CRM or fundraising system. We link it to Business Central. Donations then arrive as summed journal entries with the right fund and campaign. Nobody retypes them.

Grant receivables, deferred income for conditional grants and in-kind gifts each get their own accounts and posting rules. So income is recognized in line with your accountant's policy. We agree those rules with them before we build. A nonprofit can ask its Business Central consultant to test those rules on last year's grants before go-live.

✅Spending

Restricted spending with approvals and controls

Purchase approval workflows send requests to the program manager and finance before anything is ordered. The system checks the fund code at entry. So spending that does not belong to a restricted grant is caught before it posts, not at audit time.

Permission sets limit who can post, approve and change setup. The change log records edits to sensitive fields, such as vendor bank details. Auditors and funders both like that. For a nonprofit, the Business Central consultant also checks who holds each permission before go-live.

Questions

Nonprofit questions for a Business Central consultant

What does a Business Central consultant for nonprofits do?

A Business Central consultant designs the nonprofit's fund, program and grant structure. They set up budgets, reports and approvals, link donor systems and train the finance team. The aim is simple. Restricted money is tracked and reported correctly, and your staff can run the system on their own. We work by screen share during US business hours.

Does Business Central do fund accounting for nonprofits?

Not as a separate module. Dimensions track fund, program and grant on every entry, and that covers most needs. Nonprofit apps add fund balance features for groups that need them. We start with dimensions, because they are simple. Then we add an app only if your funders ask for more than dimensions can show.

Can Business Central produce a statement of functional expenses?

Yes. You need program, management and fundraising dimensions on your entries. Then a financial report or a Power BI report can show expenses by function and by nature. We set up those dimensions with you, so the report runs the same way each month. We also check the layout with your accountant.

Can you connect our donor CRM to Business Central?

Yes. Donations can come into Business Central through the APIs or an integration app. They arrive summed by fund and campaign. So finance sees one entry per batch, not one per gift. We test the link in a sandbox first. Then we agree the fund and campaign codes with your fundraising team.

Are there nonprofit discounts on Business Central?

Microsoft offers nonprofit pricing for eligible groups. We point you to Microsoft's nonprofit program, so you can check if you qualify. We never quote prices ourselves. Then we plan a setup with only the licenses you need, and we can help you choose and buy them through a Microsoft partner.
