Take the scramble out of Business Central 1099 reporting

Business Central 1099 reporting tracks payments to reportable vendors by form and box as you pay invoices. It then makes the forms at the end of the tax period. We set up the form boxes and code your vendors. We also fix entries posted before the codes existed. Then we show your payables team how to print, send and file.

📬Why it hurts

Why 1099 season turns into a scramble

In most firms the work waits until January. Payables exports a list of vendor payments. Someone guesses which vendors are reportable, and tax ID numbers get chased by email. Card payments and payments to incorporated vendors creep in. Then staff must pick them out by hand.

The cause is nearly always upstream. Staff created vendors without a 1099 code or a federal ID, so the system had nothing to track. We fix it once, at the vendor card. After that, each payment gets its class as you post it. So the period-end job becomes a check, not a rebuild.

What we usually find
  • ✓Vendors with no form code
  • ✓Missing federal ID numbers
  • ✓Card payments mixed in
  • ✓Totals rebuilt in Excel
  • ✓Work left until January
🗃️How it works

How Business Central 1099 reporting tracks payments

Each reportable vendor gets a form and a box, such as nonemployee pay or rents, plus a federal ID number. Purchase documents for that vendor take on the code. You can change it on one invoice when a bill belongs in a different box. You can also mark it as not reportable at all.

The forms report what you paid. So the system adds up amounts as you apply payments to coded invoices. Recent versions group this under the IRS Forms feature. There you set the reporting period, plus the forms and boxes with their minimum amounts. Then you create a form document for each vendor.

🧹Our method

How we get vendors and history in order for 1099 reporting

We begin with a vendor list that shows who you paid in the period. It also shows their current code and whether an ID is on file. Your payables lead marks who is reportable, using the tax forms vendors sent back. Then we update the vendor cards in bulk, not one by one.

Invoices posted before a vendor had a code carry no box, so a form would miss them. But the system can apply the new vendor code to open and posted entries for the period. We then check the new totals against your payment history. We do that before we make any form.

Forms printed, sent and filed

From the form documents your team can print copies for each vendor. You can also email them to vendors who agreed to get them online. The vendor card records that consent. For the filing itself, current versions can make the electronic file for the IRS. That suits firms that file many forms.

We deliver the setup, a tested run on last period's data in a sandbox, and a written January guide. It also covers a step that is easy to forget. You must create the next reporting period and carry the form setup forward. That way vendors and invoices get the right code from the first payment.

🚩Avoid these

1099 reporting mistakes that cause wrong forms

The classic mistake is to code a vendor and assume the past is covered. Another is to report invoices instead of payments. An invoice dated in December and paid in January belongs to the later period. The system only gets that right if you apply payments to invoices.

So unapplied payments are a real risk. So are vendors set up twice, with payments split between the two cards. Version also matters. Microsoft has changed this area in recent release waves. Steps for an older version may not match your screens.

Questions

Business Central 1099 reporting questions

Which forms does Business Central 1099 reporting support?

The US version covers the common information returns that firms use for vendors. These include nonemployee pay, miscellaneous income, interest and dividends. Microsoft keeps the exact forms and boxes up to date for each tax period. So we check what your version includes before we set anything up. We also tell you if a form you need is missing, and we show you the usual way around it.

We only coded vendors late in the period. Can earlier payments still be picked up?

Yes. Once the vendor card has a code, you can apply it to that vendor's entries for the reporting period. So payments you already made count too. We then compare the totals with your payment history. That shows us whether anything slipped through. Next, we write down what we found, so your team knows what was fixed and why.

Can Business Central 1099 reporting split one invoice across two boxes?

Yes. The code sits on the purchase document, so it can differ from the vendor default. Say one bill holds services and a repaid expense. You can handle the lines so only the reportable part counts, in the right box. We show your payables team how to do this on a test invoice. Then they can repeat it on real bills with confidence.

Can Business Central file the forms with the IRS electronically?

Current versions can make the file for the IRS electronic system, and you send it with your own IRS account. If you prefer a filing service, several AppSource solutions take the data from Business Central. We help you pick the route that fits your volume. Firms with only a few forms may print and mail. Firms with many forms usually file online.

Does Business Central 1099 reporting store the tax forms vendors send?

For Business Central 1099 reporting, the vendor card holds the federal ID number and the form settings. You can attach a scan of the form a vendor sent back to the card. However, Business Central does not check the ID against IRS records. You do that matching outside the system. So we suggest a simple step in your January guide to check each ID before you file.
