Business Central accounts payable from vendor invoice to payment run
Business Central accounts payable covers everything between a vendor's invoice arriving and the money leaving your bank. You record the invoice, match it to the order and receipt, approve it, pay it and report what you owe. These features come standard in every license that includes finance. We set them up so invoices move without chasing and nothing gets paid twice.

How Business Central accounts payable flows
You can create a purchase invoice from a purchase order, or from posted receipts with Get Receipt Lines. For expenses with no order, you enter it directly. Posting it creates a vendor ledger entry with a due date from the vendor's payment terms. The ledger and stock update at the same time.
When payment is due, Suggest Vendor Payments fills the payment journal with open entries. It can sort by due date, priority or available discount. Then someone approves the journal. You export it to the bank or print checks, and post it. Each payment applies to its invoices, so the vendor balance always shows what is still open.

What we set up in payables
Vendor setup comes first. Vendor posting groups set the payables control account. We also set payment terms, payment methods, vendor bank accounts and default dimensions. Purchases and payables setup can make the vendor invoice number mandatory. That blocks the same invoice from posting twice. Vendor templates keep new records alike.
Next we set tolerances and matching. Gaps in quantity or cost between order, receipt and invoice show up. So a clerk sees them before posting. We set payment discounts and payment tolerance to match what your vendors offer. Recurring purchase lines cover regular bills such as rent and utilities.

Automating invoice entry and approval
Invoice entry is the biggest time cost in payables. You can record emailed PDFs as incoming documents. Business Central then attaches them to the purchase invoice you create from them. Structured electronic invoices can build the purchase document from their own data. At higher volumes, capture add-ons do the same for PDFs.
Approval workflows then route each invoice by amount, vendor or department to the right approver. That person can reply by email or in Teams. You cannot post the invoice until it has approval. The approval entries record who signed off and when. We build the approval chain from your authority limits.

Payment runs, remittances and 1099s
A good payment run is predictable. We set the schedule and the saved filters for Suggest Vendor Payments. We also set the export format for electronic payments and the check layout. Remittance advice goes to each vendor by email on its own. That cuts the calls that ask what a payment covered. Everyone knows when payments go out.
For US firms, we flag vendors who need an IRS 1099 form on the vendor card, with the form box. Business Central then adds up the reportable amounts through the year. We set this up at the start, because fixing vendor codes after a year of invoices is tedious. Aged accounts payable then shows what you owe by due date.

Accounts payable pitfalls we close off in Business Central
Duplicate payments come from duplicate vendors and duplicate invoices. So we merge duplicate vendor records. We require the vendor's invoice number. We also teach the team to apply credit memos instead of leaving them open. Payments made outside the system and keyed in later are another source. We shut that down too.
Changes to vendor bank details are the classic fraud route. Someone should confirm a request to change an account by phone with a known contact. One person enters it and another approves it. We use permissions, the change log and approval workflows to enforce that split. We also keep payables tied to the ledger by blocking direct posting to the control account.
Tighten your payables controls →- ✓Duplicate vendors merged
- ✓Bank changes need approval
- ✓Separated duties
- ✓Credit memos applied

Business Central accounts payable questions
Does Business Central accounts payable support three-way matching?
Yes. You can build a purchase invoice from posted receipt lines. That ties the invoice to what you ordered and what arrived. You see gaps in quantity or cost before posting. Approval workflows can also ask for sign-off when a gap goes past your tolerance. We set that tolerance with your finance lead, so clerks can clear small gaps and flag the big ones.
How does Business Central stop duplicate invoices?
When you make the vendor invoice number mandatory, Business Central refuses a second invoice with the same number for the same vendor. Keeping one record per vendor matters just as much. So we clean up duplicate vendors during setup. We also show your team how to spot a likely duplicate before it reaches the payment run.
Can Business Central accounts payable approve invoices before posting?
Yes. A purchase invoice approval workflow sends a request to the approver based on rules you define, such as amount limits or the buyer. The invoice stays unposted until the approver says yes. The approval history stays with the document. So an auditor can see who agreed to each bill, and when they did it.
How do payment runs work?
Suggest Vendor Payments proposes which invoices to pay, based on due dates, discounts and vendor priority. You adjust the proposal in the payment journal. Then you export an electronic payment file or print checks, and post. Each payment closes the invoices it covers. We save the filters your team uses, so each run starts the same way.
Does Business Central handle 1099 reporting?
Yes. You code vendors with the right IRS form and box. Business Central tracks amounts as you pay invoices, and you can make the forms at year end. Setting the codes before the first invoice avoids fixes later. A clean Business Central accounts payable setup makes that year-end job a short check, not a rebuild.
