Business Central purchasing from order to invoice match

Business Central purchasing takes a need from requisition through purchase order, receipt and vendor invoice, with approvals along the way. We set up vendors, prices and purchasing codes. We also build the approval workflow that fits your sign-off rules. Then we set up receiving and invoice matching, so you pay for what you ordered and what arrived.

🛒Order to invoice

How Business Central purchasing flows

A purchase can start as a quote from several vendors. It can also start as a line the requisition worksheet suggests, or as an order a buyer types. The order lines carry items, G/L accounts, fixed assets or item charges. They also carry expected receipt dates, which planning and sales availability rely on.

Receiving posts the quantity that arrived and updates stock at once. Next, you match the vendor invoice to the receipt. You can do that on the order, or on a separate invoice with Get Receipt Lines. That way one invoice can cover several deliveries. Return orders and credit memos handle goods sent back.

🧐When it matters

When the purchasing process needs work

The clearest sign is orders placed by email or phone, which reach the system only when the invoice turns up. Nothing is committed in advance. As a result, finance cannot see what you owe and the warehouse does not know what is coming. You find price differences after you pay.

Other signs include approvals that live in inboxes with no record. Buyers may not know which vendor was cheapest last time. Receipts may also come from the invoice instead of the delivery. Each has a standard answer in Business Central. The work is choosing which to apply and getting people to follow the new order of steps.

🧰Our method

How we set up purchasing in Business Central

First, we clean the vendor cards and load them with payment terms, payment method and posting groups. We record purchase prices and line discounts per vendor and item, with start dates and minimum quantities. So an order proposes the agreed price. We also store vendor item numbers as item references, and they print on the order.

For replenishment, we set each item's vendor and lead time. Then the requisition worksheet proposes orders from reorder rules and open demand. We also set up drop shipments and special orders for goods you buy against one sales order. Over-receipt codes define how much extra quantity receiving may accept.

Approval workflows that people follow

Business Central purchasing includes approval workflows for purchase documents. Each user has an approver and an amount limit in approval user setup. A request then climbs the chain until it reaches someone whose limit covers the order. Approvers act from their role center. Business Central logs every decision against the document.

We design the rules with you. Who may order? At what amount do you need a second signature? Who stands in when an approver is away? Where the standard conditions are not enough, Power Automate extends the flow. You cannot release or receive an order until approval is complete.

🏁What is delivered

What you have afterwards, and what to avoid

Buyers work from suggestions and price lists. Managers approve on screen. Receiving posts against the order, and payables matches the invoice to what arrived. Finance can report open purchase commitments, goods received but not invoiced, and price variances. We also set up the accrual accounts that make those figures reliable at month end.

Two habits undo the benefit. One is buying inventory through a plain purchase invoice with no order, which bypasses approval and receipt. The other is editing the order to agree with whatever the vendor billed. We set permissions and tolerances so exceptions are visible, and train users on the reason as well as the clicks.

Questions

Business Central purchasing questions

Can purchase orders be approved from a phone or from Teams?

Yes. Yes. Approvers can act in the Business Central mobile app or from a link in the notification email. If we build the workflow with Power Automate, they can also use an approval card in Teams. Either way, Business Central records the decision on the purchase document, so your Business Central purchasing process keeps one audit trail.

Does Business Central do three-way matching?

The standard process links order, receipt and invoice. An invoice line ties to a posted receipt line, and you cannot invoice more than you received. Business Central shows price differences so the user can resolve them. Stricter automatic matching with tolerances is available through add-ons.

Can staff who are not buyers raise a request?

Yes. Yes. A common approach is for requesters to create a purchase quote or order in open status, then send it for approval. Team Members licenses limit what users can create, so we match the process to the licenses you hold.

How are freight and duty added to the cost of goods?

Item charges do this. You assign a freight or duty line on a purchase invoice to one or more receipt lines. The charge then becomes part of the inventory cost of those items and flows to cost of goods sold.

Can vendor invoices be read in automatically?

Business Central can capture incoming documents from PDF or email and turn them into purchase invoices. Microsoft has also added Copilot-assisted features for this in recent releases. For high volumes, dedicated document capture add-ons are common. We assess your invoice volume before suggesting a route.
