Charge the right sales tax in Business Central on every invoice

Business Central sales tax comes from the tax area on the customer or ship-to address. It also uses the tax group on each line. We set up jurisdictions, tax areas, tax groups and rates for the states where you collect. Exempt customers and use tax are part of the job. We also advise when a tax calculation connector beats maintaining rates by hand.

🧾How it works

How Business Central sales tax is calculated

Four building blocks do the work. A tax jurisdiction is a taxing authority such as a state, county or city. A tax area groups the jurisdictions that apply at one location. Meanwhile, a tax group classifies what you sell. Tax details hold the rate for each jurisdiction and group.

On a sales document the tax area comes from the customer or the ship-to address. The Tax Liable field says whether tax applies at all. Each line takes its tax group from the item or resource. The system combines these to work out the tax for every jurisdiction in the area.

When sales tax setup needs attention

A company selling in one state with one rate can run for a long time on a simple setup. You need to pay attention in four cases. First, you may begin collecting in more states. Second, you may ship to many local jurisdictions. Third, you may sell a mix of taxable and exempt goods. Or you may take on customers with resale or exemption certificates.

Migration is the other moment. Tax codes from Dynamics GP, QuickBooks or an older NAV version do not map one to one. Open orders you carry over also need a valid tax area before you can invoice them. We rebuild the structure cleanly in Business Central instead of copying years of accumulated codes.

🪜Our method

How we set up sales tax in Business Central

First, you and your tax adviser tell us where you are registered and what is taxable. We turn that into jurisdictions with their liability accounts. We add tax areas for the places you ship to. Each class of product or service gets a tax group. Then we load the rates with their effective dates.

We assign tax areas to customers and ship-to addresses in bulk through configuration packages. Exempt customers get their exemption number recorded and Tax Liable cleared. On the purchase side we enable use tax. You then accrue the tax you owe on untaxed vendor invoices. Finally, we test everything with sample invoices in a sandbox.

When a tax connector is the better answer

Standard setup holds the rates you enter. It does not update itself when a county changes its rate. It also does not decide which jurisdictions apply to a street address. For a company shipping to a handful of known locations, manual upkeep is reasonable. For one shipping across many states, it becomes a job in itself.

In that case, a tax calculation service works out the tax for each address at invoice time. It connects through an AppSource connector and keeps rates current. We help you choose between the available AppSource options. Then we install the chosen one in a sandbox. Finally, we map your items to its product tax codes.

What you get, and mistakes to avoid

You receive a working tax structure and liability accounts per jurisdiction. We also set up the standard sales tax reports. Whoever prepares the returns can then pull collected tax by jurisdiction and period. A written note explains how to add a new tax area and handle a newly exempt customer.

Common mistakes are easy to spot. A tax area on the customer card may differ from the ship-to address. Freight and service lines may lack a tax group. Someone may overwrite rates instead of adding them with a new date, which changes history. We check for all three before go-live.

Questions

Business Central sales tax questions

Does Business Central keep US sales tax rates up to date by itself?

No. You enter and maintain the rates. When a jurisdiction changes its rate, someone adds a new tax detail line with the effective date. Companies that want rates maintained for them connect a tax calculation service through an AppSource connector.

How are tax-exempt customers handled?

The customer card has a Tax Liable field and a tax exemption number. Clearing Tax Liable stops tax on that customer's documents. For customers who are exempt only on some purchases, you can change the setting on the individual document.

Can tax depend on where the goods are shipped?

Yes. Each ship-to address can carry its own tax area. The sales document uses it when you select that address. This matters for customers with several sites in different jurisdictions. It is one of the first things we check on a migrated customer list.

What is use tax and does Business Central handle it?

You owe use tax when you buy something taxable and the vendor did not charge sales tax. On a purchase line you can mark Use Tax, and the system accrues the liability to the jurisdiction's account.

Will you tell us where we must collect tax?

No. Where you must register and collect is a legal question for your tax adviser. Our part is to configure Business Central sales tax so that, once you make those decisions, every invoice calculates and posts tax accordingly.
