Business Central WooCommerce integration for WordPress stores

A Business Central WooCommerce integration keeps your WordPress store and your ERP in step. Items, prices and stock flow out to the shop. Paid orders flow back as sales orders, ready to pick. WooCommerce is an open-source plugin with a REST API. So we make the link with a connector add-on or a purpose-built sync.

Deciding which system owns what

The first decision is ownership. In most setups, Business Central owns items, prices, stock and customers on account. WooCommerce owns the shop presentation. That means descriptions, images, categories and search content. Orders start in the store. The ERP owns them once imported. Customers follow the same rule.

So writing this down stops the classic failure. For example, a price changed in WordPress gets overwritten an hour later. For each field, we record the owner, the direction and the trigger. Marketing keeps its freedom over the storefront. However, it does not touch numbers that finance relies on. Both teams sign it.

Products, variations and prices in a Business Central WooCommerce integration

WooCommerce has simple and variable products. Business Central has items and item variants. A shirt in several sizes is one variable product with variations on the web. In the ERP, it is one item with variants. The SKU on each variation is the key that ties them together.

Prices come from Business Central price lists. A retail list feeds the public price. Customer-specific lists can feed a wholesale role, if the store supports logged-in trade buyers. We choose which items go online with a simple flag. That way, new items do not appear online before they are ready.

🛒Web orders

Orders from a Business Central WooCommerce integration

When a shopper pays, the system reads the order through the WooCommerce API. It creates a sales order with its lines, shipping charge, discounts and tax. Guest checkouts usually post to a web customer. Account holders match to their own customer card by email or number.

We record the payment against the gateway used. So you can reconcile the payout from Stripe, PayPal or another provider later. When the warehouse posts the shipment, status and tracking go back to WooCommerce. WooCommerce then sends the customer its own notification. Partial shipments update the same way.

📉Stock availability

Business Central WooCommerce integration stock levels without overselling

Stock is where shoppers feel a bad integration. We publish an available quantity per SKU. That figure comes from chosen locations, less open orders. We refresh it on a schedule or when inventory changes. Also, you can set items to backorder or hide them when the quantity reaches zero.

You may also sell through marketplaces or a sales team. Then the same stock is promised in several places. Therefore, a safety buffer per channel keeps the store honest. So does a short sync interval for fast movers. However, slow movers can refresh less often. That keeps API traffic light.

Connector app or custom Business Central WooCommerce integration

Publishers offer WooCommerce connectors as AppSource apps. Integration platforms can also bridge the two. Still, a connector is usually the right start for a standard store. A custom sync suits stores with unusual plugins or pricing. We build it as an AL extension that calls the WooCommerce REST API.

WordPress sites vary a lot. Plugins for subscriptions, bundles, bookings or multi-currency change the order data. Hosting limits affect how often the API can be called. Therefore, we test against a staging copy of your store and a Business Central sandbox. We do that before anything touches live orders.

Questions

Business Central WooCommerce integration questions

Is there a built-in WooCommerce connector in Business Central?

No. Microsoft's built-in commerce connector is for Shopify. You link WooCommerce with a third-party connector from Microsoft's marketplace, an integration platform, or a custom extension. The extension uses the WooCommerce REST API and standard Business Central APIs.

How are taxes handled on web orders?

At checkout, the store calculates tax, often with a tax plugin. Then the integration carries that amount onto the sales order. So the invoice matches what the shopper paid. We align tax areas and the tax setup in Business Central, so reporting agrees.

What happens with refunds in a Business Central WooCommerce integration?

A refund issued in WooCommerce can create a sales credit memo or return order in Business Central. It depends on whether goods come back. We define the rule per reason. So a goodwill refund does not add stock, and a real return does.

Can wholesale customers see their own prices online?

Yes, if the store has a wholesale or role-based pricing plugin. We publish customer price groups and price lists from Business Central to matching roles. Orders from logged-in trade buyers then post to their own customer accounts with their payment terms.

Would moving to Shopify be simpler?

Sometimes. Shopify has a connector that Microsoft maintains inside Business Central. That lowers integration effort. If your WordPress store works well and holds content you value, keeping WooCommerce is reasonable. We lay out both routes without pushing either. Either way, we keep the Business Central WooCommerce integration plan honest.
