Business Central report layouts that make your documents look like yours

Business Central report layouts control how an invoice, order confirmation, statement or pick list looks. That covers both print and email. Our consultants design Word, Excel and RDLC layouts with your logo, wording and field placement. We assign them per company or per customer. Then we leave your team able to make small edits without a developer.

The kinds of report layouts Business Central supports

A report can carry several layouts at once. Word layouts suit customer-facing documents because anyone familiar with Word can adjust text and tables. Excel layouts turn a report dataset into a workbook with pivots and charts. RDLC layouts give precise control for complex printed forms.

You manage all of them on the Report Layouts page. There you can see which layouts exist for each report and choose the default. You can also import a new one or export one for editing. The data behind the layout stays the same, only the presentation changes. One dataset can feed several layouts.

🏷️When to change

When standard Business Central report layouts fall short

The layouts that ship with the product are neutral on purpose. Most companies want their logo and colors. They also want payment instructions in a set place and legal wording in the footer. Some want a different language or format for certain customers. The standard layouts give a sound base to start from.

Other reasons, however, are practical. A warehouse wants larger text and a barcode on the pick list. Another customer insists that their purchase order number appears beside every line. Finally, a check has to line up with pre-printed stock from the bank. Each of these is a layout task.

✏️Our process

How we design report layouts in Business Central

You send us current documents or a mock-up. We export the closest standard layout and rebuild it to your design. Then we map each area to the fields in the report dataset. If a field you need is missing from the dataset, we add it with a small report extension.

We test layouts in a sandbox with real cases. These include a long invoice that runs onto a second page and a document with discounts. They also include one in a foreign currency and one with a long ship-to address. Printing and PDF output are both checked because they do not always behave alike.

What Business Central report layouts give you

We import the finished layouts into your environment and set them as defaults on the Report Layout Selection page. Some customers or vendors need their own version. For those, we use document layouts on the customer or vendor card, so the right one prints automatically.

You also receive the layout files and a short guide showing how to export, edit and re-import a Word layout. Changing a phone number or a footer line should not need a consultant. After the handover session, it will not. We walk your administrator through it once on a screen share.

📐Known traps

Layout pitfalls worth knowing about

Word layouts are friendly but have limits. Complex conditional formatting, running totals carried across pages and tightly positioned forms are easier in RDLC. Choosing the wrong format at the start leads to a layout that almost works and frustrates everyone who touches it. We advise on format first.

Updates are the other trap. When Microsoft changes a standard report or replaces it, a layout tied to the old report may stop working. We record which report each layout belongs to and check them against every release wave in a sandbox.

Questions

Common questions about Business Central report layouts

Can I edit a report layout myself?

Yes, for Word and Excel layouts. To change Business Central report layouts, export the layout from the Report Layouts page and edit it in Word or Excel. Then import it again under a new name. We recommend trying the result in a sandbox before making it the default.

How do I add a field that is not in the layout?

If the field already exists in the report dataset, you can insert it through the XML mapping pane in Word. If the dataset does not contain it, a developer adds it with a report extension. After that, the layout can use it.

Can different customers receive different invoice layouts?

Yes. You can assign document layouts on the customer card. Then a specific customer gets its own version of an invoice, statement or confirmation. Vendors have the same option for purchase documents. Everyone else receives the default.

Which is better, Word or RDLC?

Word is better when your own staff should maintain the document and the design is straightforward. Therefore RDLC is better for dense forms, conditional visibility and exact positioning. Excel is the choice when the recipient wants to work with the numbers.

Do layouts also control the email that carries the document?

They can. You can pick a Word layout as the email body for a document type. That way the message a customer reads looks branded, just like the attachment. Document sending profiles decide who gets email, print or both.
