Business Central custom reports for questions the standard ones miss
Business Central custom reports answer the questions the built-in reports cannot. Examples are margin by customer group with your own cost rules, or open orders joined with production status. Our consultants define the dataset and build the report in AL. We add the filters your users expect and deliver output in Excel, Word or print.

What counts as Business Central custom reports
A report has two parts. The dataset decides which tables are read, how they join and which columns are calculated. The layout decides how those columns look on the page. You need a custom report when the dataset itself must change, not only the look.
That split matters because many requests turn out to be layout changes, saved filters or a new view in analysis mode. So we check those routes first. Sometimes the data is not in any standard report. In that case, a new report object or a report extension is the right step.

Signs you need Business Central custom reports
The clearest sign is a monthly spreadsheet. Someone exports two or three lists, pastes them together and adds lookup formulas. Then they send the result to management. That routine is a report waiting to be written. It also usually hides a business rule that only one person remembers.
Other signs are reports that need fields from your own extensions. Some customer or vendor documents must show data from related records. Some operational lists, such as picking or production summaries, combine several tables in the order the warehouse works in. None of these exist as standard.

How we build Business Central custom reports
We start from the finished page. You mark up an example that shows columns, groupings, totals and the filters a user should set. Then we trace each figure back to its source table. We agree the calculation in writing, including awkward cases such as credit memos and partial shipments.
We build the report in AL with a request page for filters and options. Next, we test it in a sandbox against figures you already trust. Only then do we give it a layout. Matching the totals to the general ledger or to an existing report is part of the build, not an afterthought.

- ✓Written calculation rules
- ✓Sandbox build and test

What Business Central custom reports include
You receive the report as part of an extension installed in your environment. Users can search for it from Tell Me, and you can assign it to role centers and permission sets. Users can also save their filter settings and schedule the report through the job queue. They can send the output to Excel, PDF or Word.
We add a short specification that records where every column comes from. When someone questions a number months later, the answer is in that document. The source code is yours. So our developers, or anyone else, can extend the report later. Nothing is hidden.
Ask what is included →- ✓Report inside an extension
- ✓Request page with filters
- ✓Excel and PDF output
- ✓Column source specification
- ✓Source code handed over
Pitfalls with Business Central custom reports
Slow reports are the most common complaint. A report that loops through every ledger entry for every customer will crawl once data grows. Queries, proper keys and filters at the dataset level keep run time sensible. You can also schedule heavy reports outside busy periods.
A second pitfall is building in AL what belongs in Power BI. Trend charts, drill-down dashboards and cross-company analysis fit better there. We say so when we see it. Then we link the two, so users do not maintain the same logic in two places.
Fix a slow report →- ✓Dataset filtered early
- ✓Keys match the sorting
- ✓Totals tie to ledger
- ✓Right tool for dashboards
- ✓Permissions on new objects
Questions on Business Central custom reports
Can users create their own reports without a developer?
To a degree. Analysis mode lets users group, pivot and filter list pages. Finance staff can define financial reports, and anyone can edit Excel layouts without code. You need a developer when the underlying dataset has to change. We often start by showing your team what they can already do themselves, and then build only what is left.
What is the difference between a custom report and a custom layout?
A layout changes how existing data looks: fonts, logo, column order. A custom report changes which data is read and how it is calculated. Layout work is lighter, and it is covered on our report layouts page. Business Central custom reports start where layout changes stop. If you are unsure which one you need, send us a sketch.
Will my custom report keep working after an update?
Reports delivered as extensions carry through updates. We compile them against each new release in a sandbox. Sometimes Microsoft changes a table that the report depends on. In that case, we adjust the report before your live environment updates. So your users do not see a broken report on the morning after an update.
Can a custom report be scheduled and emailed automatically?
Yes. From the request page, a user can schedule the report. The job queue then runs it at the chosen time and places the output in the Report Inbox. You can add automatic email delivery with Power Automate or a small extension. That way the finance team gets its weekly report without anyone pressing a button.
Should this be a Business Central report or a Power BI report?
Printed documents, operational lists and anything that must match posted transactions exactly belong in Business Central. Interactive analysis, trends across periods and management dashboards usually belong in Power BI. Many companies end up using both side by side. We help you decide which tool fits each request.
