Business Central reporting with built-in reports, layouts and Excel
Business Central reporting covers the reports and views your team runs every day. That means built-in reports, analysis mode and analysis views on lists, Word and Excel report layouts and Excel reports. We set these up around the questions your managers ask. So answers come from the system, not from a spreadsheet. Financial statements and Power BI dashboards each have their own page.

Which Business Central reporting tools do you already own?
You already own more reporting than most teams use. Standard reports cover sales, purchasing, inventory, receivables and payables. Analysis mode turns any list page into a pivot-style view with grouping, filtering and totals, saved per user. Analysis views summarize entries by dimension without a developer.
You can give standard reports Excel layouts. Then the output opens as a workbook, with the raw data on one sheet and your own pivot tables on another. Word layouts handle customer-facing documents. Excel reports such as the trial balance and aged accounts open straight in Excel for further work.

Dimensions: the basis of good reporting
Reports are only as good as the data behind them, and in Business Central that means dimensions. Each entry carries a department, region, product line and project tag. That lets one chart of accounts answer many questions. Without them, every new question means a new account or a manual split.
First, we check that the right dimensions exist. Next, we check that default dimensions and mandatory rules block posting without them. Finally, we check that the chart of accounts is not doing a dimension's job. Fixing this comes before any report design, because no layout can repair missing tags.

Operational reports for sales, stock and receivables
Operational reports answer the questions that come up every week. Who owes us money and how late is it? What sold, to whom and at what margin? Which items are slow? We start from the standard reports that already answer these, then add filters, saved views and Excel layouts where the standard output falls short.
Recurring reports should run without anyone remembering them. We schedule them through the job queue and send the output to the Report Inbox or by email. Financial statements built from row and column definitions are covered on our financial reporting page, because they follow a different design process.

Custom reports and document layouts
Invoices, statements and purchase orders carry your brand and your wording. Your own staff can make simple changes in a Word layout. When a document needs fields or calculations the standard dataset lacks, we extend the report in AL. Both routes keep the standard report intact.
Operational reports follow the same rule of lightest tool first. Often a saved analysis view answers the question. If not, a query object or a new report with an Excel layout does. The people who use it can keep adjusting the workbook themselves. That needs no developer.

Business Central reporting or Power BI: choosing the tool
Built-in tools suit questions answered from current Business Central data by the people who work in it. Power BI suits dashboards for managers and trends over long periods. It also suits figures that combine Business Central with a web store or CRM system. Our Power BI page covers that work.
A frequent mistake is building in Power BI what a saved report or Excel layout would deliver with less upkeep. Another is forcing a trend dashboard into a printed report. We match each question to a tool and write down who maintains it afterwards. Each report ends up with a named owner and a home.

Business Central reporting questions
Can we change how a standard report looks?
Yes. The Report Layouts page lets you add Word, Excel or RDLC layouts to a standard report and pick which one is used. Word suits customer documents, and Excel suits analysis. The data behind the report stays the same, so the change survives updates.
Can users build their own reports without a developer?
Yes, in several ways. Analysis mode lets anyone group and total a list. Excel layouts let a user design pivot tables on a standard report's data. Saved views and analysis views need no code. You need a developer only when you must add new data.
Does Copilot help with reporting in Business Central?
Copilot includes analysis assist, which builds an analysis view on a list page from a request typed in plain language. It is a quick way to start. Availability depends on your version and region. An administrator can switch Copilot on or off.
Can reports be scheduled and emailed automatically?
Yes. You can schedule reports through the job queue and deliver them to the Report Inbox. Power Automate flows can also send outputs by email on a timetable. We set these up for recurring packs, so nobody has to remember to run them.
Why do our reports not match between Excel and the system?
Usually someone exported the Excel file earlier, filtered it in a new way, or changed it by hand. Reports run from the ledger with saved filters always agree with it. We replace manual exports with saved definitions so everyone reads the same figure. That habit is the heart of dependable Business Central reporting.
