Business Central invoicing from order to posted invoice
Business Central invoicing turns a sale into a posted sales invoice, a customer ledger entry and a document your customer gets. When it is set up well, invoices come from orders and shipments with little typing. They carry the right tax and terms, and they leave by email in your layout. We set up that flow and fix the ones that cause errors.

How Business Central invoicing works
There are two routes. You can enter a sales invoice directly for simple sales. Or you can ship a sales order and invoice it, together or in separate steps. Posting creates a posted sales invoice that no one can edit. It also creates a customer ledger entry to collect against, and general ledger entries from the posting groups.
Most invoice problems trace back to setup behind the document. A customer may lack the right posting group. An item may miss its tax group. A payment term may be typed by hand each time. Any of these gives wrong invoices. So we fix the master data and defaults, and then the document fills itself in correctly.

Combined, batch and recurring invoices
Customers with many deliveries often want one invoice per period. The combine shipments function gathers shipped lines that are not yet invoiced into one invoice per customer. Batch posting then posts a filtered set of invoices or orders in one action. The job queue can run both overnight. So your billing team starts the morning with the work done.
For repeat charges, recurring sales lines hold a standard set of lines. You can insert them on a document, or create invoices for every assigned customer. True subscriptions with renewals and usage are a different topic, with their own page. Time and materials on projects bill from the project planning lines.

Invoice layouts your customers can read
First, you can restyle the standard sales invoice report without code. Word layouts let us place your logo, reorder columns, add remittance details and change wording. Report selections decide which layout prints for which document type. We can also give some customers their own layout. That helps when they need their purchase order reference or a set format.
However, sometimes the invoice must show data that the standard report lacks, such as a custom field. In that case, a developer extends the report dataset in an AL extension, and the layout picks it up. We keep those changes small. That way, release updates keep applying cleanly.

Getting invoices to customers
Document sending profiles set how each customer gets documents. The choices are print, email as a PDF, an electronic document, or a mix. With a profile on the customer card, posting and sending become one step. The email body can also carry a summary and a payment link when a payment service is connected.
Email accounts and scenarios decide which mailbox invoices come from. So replies reach accounts receivable, not the person who happened to post. Some customers need structured electronic invoices. For them, we use the e-documents framework, which has its own page. We set up both and test them with a real customer.

Corrections, credits and our Business Central invoicing service
Nobody edits a posted invoice. If it is wrong and unpaid, the Correct action cancels it with a credit memo and opens a new invoice to fix. For a partial error, you use a corrective credit memo for the difference. Both keep a clean trail that auditors and customers can follow.
Our consultants set up the full flow or repair an existing one. As a Business Central invoicing partner, we trace repeat errors to their cause and tidy number series and posting setup. We also build layouts, set up sending, and train your billing team on corrections. In addition, we show how to check an invoice before it posts, so you catch mistakes on screen.

Business Central invoicing FAQ
Can Business Central email invoices automatically when they post?
Yes. Put a document sending profile on the customer and set up an email account. Then the Post and Send action posts the invoice and emails the PDF in one step. For larger runs, you can combine batch posting with sending. We test this with a real customer before go-live. That way, you know the emails land where they should.
How do we invoice only part of an order?
Enter the quantity to ship and the quantity to invoice on each sales order line before you post. Business Central tracks what remains. So the order stays open until every line is fully shipped and invoiced. This works for partial deliveries and for staged billing. Our Business Central invoicing setup makes the steps clear for your team.
Can one invoice cover several shipments?
Yes. Post the shipments on their own. Then use the combine shipments function, or the Get Shipment Lines action on a sales invoice, to pull them together. The customer card has a setting that controls whether combining is allowed. So you can offer monthly invoices to some customers and keep per-shipment invoices for others.
Can an invoice number be changed or reused after posting?
No. Posted invoice numbers come from a number series and stay with the document. If you issued an invoice in error, you cancel it with a credit memo. That keeps the numbering complete for audit. However, we can tidy the number series themselves, so future invoices follow the pattern your customers and auditors expect.
Does Business Central handle invoices in foreign currency?
Yes. Give the customer or the document a currency code, and the invoice goes out in that currency. The ledger records both the foreign amount and its local value at the exchange rate of the day. As part of Business Central invoicing, we also check your exchange rate setup, so the local figures stay right.
