How to set up and use item variants in Business Central
Item variants in Business Central let one item number cover several versions of the same product. Think of a shirt in five sizes, or a paint in a dozen colors. Business Central still counts stock for each version. So you do not need a separate item card for every combination. This guide shows when item variants are the right tool and how to work with them.

When item variants in Business Central are the right choice
Variants suit products that are the same thing in different versions and share the same setup. They have one base unit of measure, one costing method and one set of posting groups. Apparel, footwear, furniture finishes and packaged goods in several flavours are the classic cases.
They fit poorly when versions differ in how you buy, cost or make them. If the large size has its own bill of materials and its own vendor, separate items may serve you better. Decide this before you load data. Changing an item with posted entries from one approach to the other takes real effort.

Creating item variants in Business Central step by step
Open the item card and choose the Variants action. On the Item Variants page, add a line for each version. Give it a short code and a description, for example BLU-L and Blue, Large. Users type the code on document lines. So keep it brief and consistent across similar items.
A variant inherits almost everything from its parent item. For a product with two dimensions, such as color and size, create one variant code for each combination. A configuration package loads a large matrix faster than typing. Some industries also use a marketplace app that adds a grid for entry.

Using the Variant Code with item variants in Business Central
Sales lines, purchase lines, transfer lines, item journals and warehouse documents all carry a Variant Code field. It is often hidden by default. So add it to the lines through personalization or a role-wide page customization. Once users fill it in, every item ledger entry records which variant moved.
To stop people forgetting it, switch on Variant Mandatory if Exists. You can set it for all items in Inventory Setup, or for a single item on its card. Business Central then refuses to post a line for an item with variants unless the user chooses one. That protects the accuracy of stock by version.

Stock, planning and barcodes per variant
You can view availability by variant from the item card, so sales staff see which sizes are in stock. For planning, create stockkeeping units for each combination of location and variant. Each stockkeeping unit holds its own reordering policy, reorder point and replenishment settings. So popular sizes get a different plan from slow ones.
Item references handle barcodes. Each reference can name a variant. Then a scan on a purchase or sales line fills in both the item and the right variant. You can also set prices per variant on a price list, where one version sells for more than another.

Limits of item variants in Business Central
Variants share the parent item's costing method, base unit of measure and posting groups. In some setups, stockkeeping units can hold cost for each variant. But if versions need truly different costing or production structures, that is a sign to split them into separate items instead.
Reporting also needs thought. Standard item reports total at item level unless you include the variant. If you are choosing between variants and separate items for a large range, or you need a size and color grid for order entry, we are happy to look at your products and suggest the cleaner route.

Item variants in Business Central: FAQ
What is an item variant in Business Central?
A variant is a version of an item, identified by a variant code. It shares the parent item's card and setup, but it has its own inventory. So you can sell and stock several sizes, colors or styles without creating an item number for each. The parent item keeps the price, the costing method and the posting groups for all of them.
How do I make the variant code required for item variants in Business Central?
Set Variant Mandatory if Exists to Yes in Inventory Setup to apply it everywhere. Or choose the setting on an individual item card. After that, you cannot post documents and journals for an item with variants while the Variant Code field is blank. Test it in a sandbox first, so staff meet the new rule before a busy day.
Can variants have different prices?
Yes. A sales price list line can name a variant code. One version then carries its own price, while the others use the item's general price. Purchase prices work the same way when a vendor charges differently by version.
Can I convert existing items into variants of one item?
Not directly once you have posted entries. The usual route is to create the new item with variants. Then move stock across with an item reclassification journal, and block the old item numbers. Open orders need updating, so plan it for a quiet period.
Does the Shopify connector support variants?
Yes. The built-in Shopify connector can map Business Central item variants to product variants in the shop, and it synchronises stock for each. You set the exact mapping options on the Shopify shop card. Test them in a sandbox first.
