Business Central payment services that get invoices paid online

Business Central payment services add a pay link to the invoices you send. A customer can then settle by card or online account instead of mailing a check. The Payment Services page holds the providers you have enabled, and extensions add processors to it. We help you choose a processor, connect it and make sure each receipt lands on the right invoice.

💳What they are

What Business Central payment services are

A payment service in Business Central is a link to an outside payment processor. Once you enable one, the invoices you email or print carry a pay link. The customer follows it and pays on the processor's secure page. The processor then settles the money to your bank account.

Microsoft includes a PayPal Payments Standard extension. Other vendors publish payment apps for card processors and ACH services. Several of them also store payment methods as tokens, take payment at order entry and post receipts on their own. The processor holds card numbers, so Business Central never does.

⚖️Choosing a processor

How to choose a payment processor for Business Central payment services

The choice depends on how you sell. A distributor who takes card details by phone at order entry needs authorization and capture tied to the sales order. However, a services firm that sends monthly invoices needs a reliable pay link and automatic application. Likewise, a subscription business needs stored payment methods and recurring charges.

We compare candidates on the points that matter in daily use. Do receipts post and apply on their own? How do refunds and partial payments work? Are surcharges supported where permitted? How well does the vendor keep up with Business Central release waves? The processor sets and quotes its own fees.

Setting up Business Central payment services

We install the extension in a sandbox. Then we connect it to the processor's test account and enable it on the Payment Services page. We adjust payment methods and payment terms, so the right invoices show the link. The invoice layout and email body get edits too, so the link is clear to the customer.

Posting comes next. We decide which bank or clearing account receives the settlement. Then we set how processor fees are recorded. After that, we pick the number series and journal batch for receipts. Then we run test payments, refunds and a declined card through the whole cycle. Only after that do we repeat the setup in production.

Applying and reconciling the money

In short, getting paid is only half the job. Each payment must close the invoice it belongs to. With an integrated app, a receipt is created and applied as soon as the customer pays. With a simple pay link, your team registers payments from the processor's report. They use the Register Customer Payments page.

Processors usually settle in batches, net of fees. Therefore one bank deposit covers many invoices. We design the clearing account and the reconciliation routine. Then the deposit on the bank statement ties to the individual receipts. Fees land in an expense account without manual journals.

🔐Security and risk

Security pitfalls with Business Central payment services

The rule we hold to is simple. Card numbers never enter Business Central. That means no comments field, no attachment and no note. Payment apps that use the processor's hosted page or tokens keep card data outside your system. That greatly narrows your card security duties. Your processor can confirm what applies to you.

In addition, other pitfalls are operational. A pay link on an invoice that was already paid by check can lead to double payment and a refund. Customers who pay the wrong amount need a clear process. We set invoice status updates, overpayment handling and refund permissions before launch.

Questions

Business Central payment services FAQ

Which payment processors work with Business Central payment services?

PayPal Payments Standard is available as a Microsoft extension. Many card and ACH processors work through payment apps from other vendors on Microsoft's marketplace. We help you shortlist based on how you sell and whether you already have a merchant account. Then we test the top choice in a sandbox, so you see the whole flow before you commit.

Can customers pay directly from the invoice email?

Yes. With a payment service enabled, the invoice PDF and the email body include a link. The customer clicks it and pays on the processor's page. No Business Central login is involved. The customer needs no license. We check the wording of your email body, so customers know exactly what to click and what to expect next.

Is card data stored in Business Central?

No, and it should not be. Payment apps pass the customer to the processor's hosted page. Or they keep a token that stands in for the card. The actual card number stays with the processor. That keeps your ERP out of scope for most card security rules. We also set permissions, so no one adds card details to notes by mistake.

How are processor fees recorded?

Processors usually deduct fees before they settle to your bank. We post receipts at the full amount to a clearing account. Then we record the settlement and the fee. The clearing account returns to zero, and the fee shows as an expense. So your books match the bank statement, and your Business Central payment services leave no loose ends.

Can we take payment when the order is entered?

With the right payment app, yes. You can take card authorization on the sales order and capture it when the order ships. Or you can collect a deposit up front. The standard pay link alone works only on invoices. We explain which app fits your way of selling, and we test it with a sample order.
