Business Central Outlook integration that turns emails into quotes and invoices
Business Central Outlook integration puts customer and vendor facts beside the email you are reading. You can create a quote, order or invoice without leaving Outlook. It is a Microsoft add-in included with Business Central online. It needs mailboxes in Exchange Online. Our consultants deploy it to your users, set up the email accounts that send documents and train the team.

What the Business Central Outlook integration does
Open an email from a contact that Business Central knows. The add-in pane then shows that customer's or vendor's card. It lists the balance, open documents, recent sales and contact details. If the sender is unknown, you can create the contact and the customer from the email in a few clicks.
From the same pane, you can start a sales quote, order, invoice or credit memo. You can also start a purchase document for a vendor. Then you send it back as a PDF attachment. When an email mentions a document number, the document links add-in turns that number into a link. It opens the record directly.

Teams that gain the most from it
Business Central Outlook integration helps anyone whose work begins with an email. Inside sales staff answer price requests faster, because the customer's prices and last orders are on screen. Customer service can check an open balance or a shipment while they reply. Purchasing can raise an order from a vendor's offer.
Owners and managers of small companies often use it more than the full client. Most of what they need is a quick look at a customer or a quote sent on the spot. It matters less for warehouse or production users who rarely handle email.

How we roll out Business Central Outlook integration
One user can install the add-in from the assisted setup guide. A company rollout works better when done centrally. We use centralized deployment. The add-in then appears for chosen users or groups on its own. It shows up in Outlook on the desktop, on the web and on mobile devices.
Before that, we check the prerequisites. You need mailboxes in Exchange Online, users licensed for Business Central and contacts that carry the email addresses people really write from. We clean up contact emails, because the add-in knows a sender only through a matching address. Many teams skip this step.
Plan a central rollout →- ✓Exchange Online mailboxes confirmed
- ✓Licensed users identified
- ✓Contact emails cleaned
- ✓Centralized deployment configured
- ✓Pilot group tested
Email accounts, layouts and sending profiles
The add-in is one half of the picture. The other half is how Business Central sends documents. We set up email accounts, including shared mailboxes such as an accounts or sales address. Then we assign them to scenarios. So invoices leave from one address and purchase orders from another.
We also set up document sending profiles per customer and email body layouts that carry your wording. Attachments go out in the right format. Sent documents appear in the email outbox and sent emails pages inside Business Central. So you can confirm what went out and resend it when a customer asks.

- ✓Branded email body layouts
- ✓Sent email history
Limits and pitfalls of Business Central Outlook integration
The add-in depends on Exchange Online. Mailboxes on other mail services will not show it. The same goes for an Exchange server the add-in cannot reach. It also respects Business Central permissions. A user who cannot see customer ledger entries in the client will not see them in Outlook either.
A frequent disappointment is an empty pane. It nearly always means the sender's address is not on any contact. Another is the belief that every email is stored in Business Central on its own. Logging email interactions is a separate feature with its own setup. We set it up only when you need that history.
Check your mail setup →- ✓Non-Exchange mailboxes unsupported
- ✓Unknown sender addresses
- ✓Permissions limit what shows
- ✓Email logging set up separately
- ✓Add-in updates after releases
Business Central Outlook integration questions
Is the Outlook add-in included with Business Central?
Yes. The add-in is part of Business Central online and needs no separate purchase. Each person who uses it needs a Business Central license and a mailbox in Exchange Online. Most Microsoft 365 business plans include one. We check both before rollout. Then nobody on your team finds a missing license on the first day, and the pilot group starts smoothly.
Does Business Central Outlook integration work in Outlook on the web and on a phone?
Yes. Once deployed, the add-in is available in Outlook on Windows and Mac, in Outlook on the web and in the Outlook mobile apps. The layout adapts to the smaller screen. The same permissions apply everywhere. So a sales rep can check a balance from a phone before a call, with no extra setup.
Why does the add-in show nothing for some senders?
The add-in finds a customer or vendor through the contact's email address. If the sender's address is missing or different in Business Central, the pane offers to create a new contact. Cleaning contact emails before rollout prevents most of these cases. We include that cleanup in every project, because it makes the first week far smoother.
Can we send invoices from a shared mailbox?
Yes. Business Central supports shared mailboxes as email accounts. We assign the shared address to the sales invoice scenario, so every invoice leaves from it. Replies from customers then arrive where the whole accounts team can see them. Nobody has to forward a message, and a sick day no longer blocks a customer's question.
Does Business Central Outlook integration work with on-premises systems?
It can, but it takes more setup. That includes how Outlook reaches the server and how users sign in. Most of our Outlook work is for Business Central online, where the add-in is ready to deploy. If you run on premises, we check the setup against your network first, and we tell you plainly what is possible.
