Bring records into the conversation with Business Central Teams integration
Business Central Teams integration lets people share a customer, order or item in a Teams chat as a live card. They can also pin a Business Central list as a tab in a channel. And they can look up contacts from the Teams search box. Microsoft provides the Business Central app for Teams. We install it, set the access rules and show your team where it helps.

How we deploy Business Central Teams integration
Any user can add the Business Central app from the Teams store. Still, a managed rollout serves a company better. In the Teams admin center, we add the app to a setup policy. So it installs for the right groups and can sit on the app bar.
We also confirm which environment and company each person's Teams should point to. Many businesses have a production environment and one or more sandboxes. Next, a short pilot with one department shows which pages are worth pinning. Feedback from the pilot then shapes the wider rollout.
Plan your Teams rollout →
- ✓App approved in admin center
- ✓Setup policy assigned
- ✓App pinned for users
- ✓Environment and company chosen
- ✓Pilot department run
What Business Central Teams integration offers
Paste a link to a Business Central record into a chat. It turns into a compact card with key fields, such as a sales order's customer, amount and status. Colleagues can open the details in a window inside Teams. With the right permissions, they can edit the record there.
A tab in a channel can show a Business Central list or card. For example, it can list open sales orders for a customer team. Or it can list items below reorder point for purchasing. From the Teams search or message box, people can also look up customer and vendor contacts. Then they can start a call or chat.

- ✓Call contacts directly
Licensing and permissions
Cards and tabs never bypass Business Central security. Someone who pastes a link shares the card. But each viewer sees details only if their own permissions allow it. So we go through permission sets before rollout. That way, sharing in chat does not expose prices, costs or ledgers to the wrong people.
Microsoft also lets an administrator turn on access with Microsoft 365 licenses. This gives people without a Business Central license read-only access to records shared in Teams. We explain what that covers. We turn it on in the admin center if you want it. Then we assign permissions for those users.

Where Business Central Teams integration saves time
The best uses are the questions that now travel by screenshot. A sales person asks whether an order shipped and pastes the order link. A controller asks a buyer about a purchase invoice and shares the card. Everyone looks at the same live record. Nobody looks at a picture of how it looked earlier.
Channel tabs suit recurring meetings. A weekly collections meeting can open on a tab of overdue customers. A production meeting can open on released orders. Power Automate can also send approval requests from Business Central workflows to Teams. So approvers act without searching their inbox.
Share your meeting routine →- ✓Order status questions
- ✓Invoice queries to buyers
- ✓Collections meeting tab
- ✓Approvals through Power Automate
- ✓New customer handovers
Common mistakes with Business Central Teams integration
The first mistake is rolling it out with no guidance. People do not find cards or tabs on their own. So the app sits unused. A short demo on real records makes the difference. Two or three tabs pinned in the channels people already visit help too.
The second mistake is sharing links in channels that include guests from outside the company. Guests cannot open the details, which is correct. However, the card's summary fields show in the message. So we agree simple rules on where people may share records. We also check the app again after each release wave.
Set sharing ground rules →- ✓Rollout without a demo
- ✓Cards in guest channels
- ✓Links to sandbox records
- ✓Too many pinned tabs
- ✓Unchecked permission sets
Business Central Teams integration questions
Is the Business Central Teams integration an extra purchase?
No. Microsoft provides the app at no extra charge for Business Central online. Users need Teams through a Microsoft 365 plan. For full use of the cards, they need either a Business Central license or read access through Microsoft 365 licenses.
Can people without a Business Central license see shared records?
They can, if an administrator enables access with Microsoft 365 licenses and grants them permissions. That access is read-only. It only covers viewing records in Teams. Without it, an unlicensed person sees the card summary but cannot open the details.
Can records be edited from inside Teams?
Yes, for licensed users with the right permissions. The card's details window shows the Business Central page. Users can change fields or run actions without switching to the browser. Business Central saves the changes directly.
Does Business Central Teams integration work on-premises?
Microsoft designed the Teams app for Business Central online. On-premises deployments cannot use the cards and tabs in the same way. It is one of several Microsoft 365 features that companies gain when they move to the cloud. If you plan that move, Business Central Teams integration is a good reason to start.
Can approvals be handled in Teams?
Yes. You can connect approval workflows in Business Central to Power Automate. It posts an approval request in Teams with approve and reject buttons. Then it writes the decision back to the document in Business Central. We can set that up as part of your Business Central Teams integration.
