A cash flow forecast in Business Central your finance team trusts

A Business Central cash flow forecast predicts your bank position from data already in the system. It reads open customer and vendor entries, sales and purchase orders, budgets and planned asset purchases. We configure the cash flow accounts and sources. We also correct the payment terms that distort the picture. You end up with a forecast that refreshes on a schedule.

💧Why it matters

Why the spreadsheet forecast keeps missing

Most forecasts we meet are a workbook fed by exports. Someone pulls aged receivables and payables and pastes them in. By the time the sheet circulates, the ledger has moved on. Also, only the person who built the formulas can update it.

The standard Business Central cash flow forecast feature reads the same ledgers directly. The feature knows each document's due date. Receipts can shift by the terms a customer really follows. Orders that nobody has invoiced yet join in too. As a result, the forecast reflects today's postings instead of last week's export.

🧩What feeds it

What a Business Central cash flow forecast draws on

A Business Central cash flow forecast starts from liquid funds. These are the balances of the G/L accounts you mark as cash. To that, it adds receivables and payables from open ledger entries. Then it adds sales, purchase and service orders with no invoice yet. Project planning lines and tax payments can join as further sources.

Longer-range items come from G/L budgets. Fixed assets flagged as budgeted purchases or planned disposals add more. The system cannot know some things, such as rent, loan repayments or a one-off receipt. You enter those as a manual revenue or manual expense with its own recurrence. So they appear in every refresh.

🛠️How we work

How we configure the Business Central cash flow forecast

We begin with the chart of cash flow accounts. We group inflows and outflows the way your treasurer or owner wants to read them. Then Cash Flow Setup links each source type to an account. We decide with you whether payment discounts and tolerance dates count, since both change the expected date.

Next, we correct the inputs. Customers who pay later than their invoice terms get a separate cash flow payment terms code. So receipts land on a realistic date, and the printed terms stay the same. We then run Suggest Worksheet Lines. We compare the outcome with recent bank history and adjust.

📊What is delivered

What your team sees afterwards

Finance opens the cash flow forecast card and sees expected inflows, outflows and the running balance by period. Each figure drills down to the documents behind it. The cash flow chart on the role center shows the same picture. An availability view lays the numbers out by day, week or month.

Some managers prefer dashboards. In that case, we publish the forecast to Power BI next to actual bank balances. Then you compare predicted and real positions over time. We also write down who refreshes the forecast and when manual lines get maintained. We show how to model a new scenario, such as a delayed large receipt.

🚧Honest limits

Where forecasts go wrong

A forecast is only as good as the documents behind it. Placeholder dates on orders, old unapplied payments and credit memos with no invoice match distort the cash view. We clean these up before go-live. Then we show your team the few checks that keep the data honest each month.

The optional Azure AI source predicts receivables and payables from history. That suits stable businesses with plenty of posted entries. It helps less for a young or seasonal company. Very large groups with complex treasury needs may do better with a dedicated add-on.

Common causes
  • ✓Orders with dummy dates
  • ✓Unapplied payments and credits
  • ✓Missing recurring expenses
  • ✓Terms that ignore real behavior
  • ✓Budgets never updated
Questions

Business Central cash flow forecast questions

Does the cash flow forecast need an extra license or add-on?

No. Cash flow forecasting is a standard feature available with Essentials and Premium. The optional Azure AI source is also part of the product, though it depends on enough posted history to be useful. Add-ons only come into the conversation for specialist treasury requirements.

How often does the Business Central cash flow forecast update?

The forecast updates whenever the worksheet lines are suggested and registered. That can be done by a user on demand or scheduled through the job queue, so the figures are fresh each morning. We agree the rhythm with your finance lead during setup.

Can we forecast for several companies together?

Each forecast belongs to one company. For a group view we set up a forecast in every company using the same cash flow accounts, then bring the results together in Power BI, where currencies can be translated.

Does a Business Central cash flow forecast account for customers who pay late?

Yes. A cash flow payment terms code on the customer card tells the forecast to expect payment on a different schedule from the invoice terms. The printed due date stays the same, and the forecast uses the date your experience says is realistic.

Can we keep more than one scenario?

Yes. You can hold several forecast cards, for example a base case and a cautious case with different sources switched on or different manual lines. Each is calculated separately, and you choose which one appears in the role center chart.
