Make Business Central budgeting part of the monthly routine
Business Central budgeting lets you hold any number of G/L budgets, break them down by department or project through dimensions, and compare them with actual postings in financial reports. We design the budget structure, build the Excel templates managers fill in, import the figures and set up the variance reporting that finance sends out each period.

What Business Central budgeting includes
The G/L Budgets page holds as many named budgets as you need. Each budget is a matrix of accounts against periods. Each entry carries the two global dimensions plus up to four budget dimensions. So one figure can belong to a department, a region and a product line at once.
Beyond the general ledger, you can budget sales and purchases at item level. Cost accounting has its own cost budgets. Projects take budgets through planning lines. Most companies begin with G/L budgets. They add the others only where a manager will use them. That keeps the first cycle manageable.

When to bring in help
Help pays off when the budget lives in a workbook that never reaches the system. Then every variance report turns into a manual merge. It also pays off when departments budget at a level of detail the chart of accounts cannot express. That is usually a dimension design question first, and a budgeting question second.
The other common moment is a change of structure. A new division, an acquisition or a reworked chart of accounts all qualify. Budgets entered against the old structure stop lining up with actuals. Someone must decide how history and plan compare. We help settle that before anyone keys figures.

How we set up Business Central budgeting
First, we agree the level of detail: which accounts, which dimensions and which periods. Then we use Export to Excel on the budget page. It produces a workbook in the exact shape the system expects. Managers fill in their own columns, and finance imports the file back.
For a new budget that starts from last period, the Copy G/L Budget function builds a draft. It reads actual entries or another budget and applies an adjustment factor. We run the whole round trip in a sandbox. Real files from a few managers prove the Business Central budgeting process before the live cycle begins.

Business Central budgeting against actual, without a merge
Financial reports can show actual, budget and variance columns side by side. You name the budget each column reads. We build column layouts for month, period to date and full period. We filter them by dimension, so each manager sees only their own lines. Then we schedule them by email as PDF or Excel.
Some teams want charts and drill-down. In that case, the same budget entries feed Power BI. We also hand over a short guide. The guide covers how to lock a budget once approved. It shows how to open a reforecast copy. Finally, it explains how to keep budget dimensions aligned when posting dimension values change.

Limits and common mistakes
Standard budgets serve reporting. They do not stop a purchase order or journal that would push an account over budget. For spending control, you need approval workflows tied to amounts, an extension, or an add-on built for budget checking. We say plainly which one fits your case.
We see the same mistakes often. Teams budget at a finer level than anyone reads. They import a file with Replace Entries chosen when they meant Add Entries. They also leave dimension values off budget lines, so reports show a large unallocated figure. A tested template and a written import step prevent each one.
Have us check your setup →- ✓Too much budget detail
- ✓Wrong import option chosen
- ✓Lines without dimension values
- ✓Expecting budgets to block spending
- ✓No owner for reforecasts
Business Central budgeting questions
Can managers enter Business Central budgeting figures without a full license?
Usually they work in the exported Excel file, which needs no Business Central license at all, and finance imports it. Managers who want to read the variance reports inside the system can do so with a Team Members license.
How many budgets can Business Central budgeting hold at once?
There is no practical limit on named G/L budgets. Companies typically keep the approved budget, one or more reforecasts and sometimes a long-range plan. Financial reports let you pick which budget a column reads, so comparisons between versions are straightforward.
Can we budget by department and by project together?
Yes. Each budget entry carries the two global dimensions and up to four budget dimensions. That lets a single figure be tagged with a department, a project and other values, and lets reports slice the budget along any of them.
Does Business Central stop spending that exceeds the budget?
Not as standard. Budgets drive reports, not posting rules. Spending control is normally handled with purchase approval workflows and amount limits, and companies with strict budget checking needs add an extension or an AppSource solution designed for it.
Can last period's actuals become the starting budget?
Yes. The Copy G/L Budget function builds a new budget from posted ledger entries or from an existing budget, shifts the dates forward and applies an adjustment factor. Managers then refine that draft instead of starting blank.
