Understanding account schedules in Business Central (Financial Reports)

Account schedules in Business Central are the built-in tool for designing financial statements. In current versions, the feature is named Financial Reports. You define rows that pick up ledger accounts and columns that set the period or comparison. The system then fills in the figures. This guide explains each part and how to build a report that your finance team will trust.

Account schedules in Business Central and the newer name

If you learned the product as NAV, or on an older Business Central release, you know this feature as Account Schedules. Microsoft renamed it Financial Reports. It also split the parts more clearly. A financial report pairs a row definition with a column definition, plus a few default settings.

The idea has not changed. A row definition is what used to be the account schedule itself. A column definition is the old column layout. So if you search for Account Schedules in a current tenant and find nothing, search for Financial Reports instead. Older training notes still apply once you swap the names.

📋Row definitions

Building rows for account schedules in Business Central

Each line in a row definition has a Row No., a description and a Totaling Type. Posting Accounts and Total Accounts pull balances from the chart of accounts. They use a range or filter in the Totaling field. Formula adds or subtracts other rows by row number. That is how you build gross profit or net income.

Other settings shape the look and the sign. Show Opposite Sign presents revenue as a positive figure. Bold and Underline format key lines. You can hide a row that is only a stepping stone in a calculation. Account categories can also drive rows, which keeps reports stable when you add accounts.

📐Column definitions

Designing columns for periods and comparisons

A column definition says what each column shows. Column Type picks net change for the period, balance at date, or figures for the fiscal year to date. Ledger Entry Type switches between actual and budget entries. So actual against budget is just two columns, plus a third with a formula.

For earlier periods, use the Comparison Period Formula or Comparison Date Formula fields. They shift the date filter back by a period or a fiscal year. One row definition can work with many column definitions. As a result, the same income statement serves a monthly view, a yearly trend and a budget comparison.

🧭By dimension

Slicing account schedules in Business Central by dimension

You can filter financial reports by dimension. So one income statement can run for a department, a branch or a project. The two global dimensions are available directly. For other dimensions, attach an analysis view to the row definition. It then offers up to four more dimensions as filters.

Columns can carry a dimension filter too. That gives a side-by-side layout, such as one column per department. It is often the fastest route to a departmental profit and loss, with no custom report. However, it only works when dimensions post the same way every time. So check your default dimension rules first.

Running, exporting and knowing the limits

Open the report and set the date filter. The figures then appear on screen, with drill-down from any amount to the ledger entries behind it. From there, you can print, save as PDF or export to Excel. A saved Excel template keeps the formatting that finance prefers from month to month.

The tool is strong for statements built on ledger balances. For graphic dashboards or data from outside the ledger, Power BI is the better home. Maybe your statements do not foot. Or you want a reporting pack built around your chart of accounts. In that case, our consultants can build it with your controller.

Questions

Account schedules in Business Central: questions and answers

Where did Account Schedules go in Business Central?

Microsoft renamed the feature Financial Reports. Account schedules became row definitions, and column layouts became column definitions. The update carried your existing schedules over, so nothing was lost. Search for Financial Reports to find them. If you still cannot see them, check that your user has permission to open the page. We can also help you tidy old schedules.

Do I need Power BI if I have financial reports?

Not for standard account schedules in Business Central. Financial reports produce income statements, balance sheets and budget comparisons straight from the ledger. Power BI adds charts, dashboards and data from other sources. Many companies use both. They use financial reports for the close and Power BI for management views. So start with the built-in tool, then add Power BI where it helps.

Can a financial report compare actuals with budget?

Yes. Add one column with Ledger Entry Type set to Entries and another set to Budget Entries. Then add a formula column for the difference. Choose the budget name as a filter when you run the report. Also enter the budget with the same accounts and dimensions as the actuals. Otherwise, the two columns will not line up.

Why does my balance sheet not balance in the report?

Usually, an account sits in the chart of accounts but falls outside the ranges in the row definition. Or current earnings are not included. First, compare the report total with the trial balance. Then check each Totaling range, one row at a time. That routine finds most gaps in a few minutes.

Can financial reports consolidate several companies?

A financial report reads one company's ledger. For group figures, run consolidation into a consolidation company and report there. Then use the business unit filter to show each subsidiary in its own column. That gives you a consolidated statement with the same tool. We can set up that layout with your finance team.
