Business Central Avalara integration, installed and tested
A Business Central Avalara integration connects your sales and purchase documents to AvaTax, Avalara's tax calculation service. The tax on each line then comes from the service. You no longer maintain tax tables yourself. Avalara publishes the connector. Our work is to install it and map your customers and items to it. Then we prove the results before go-live.

When a Business Central Avalara integration is the better answer
Standard Business Central calculates US sales tax from tax areas, jurisdictions and tax groups. You set these up and keep them current. For a company that sells in one state or a handful, that is quite manageable. Our sales tax page describes it. Many firms need nothing more.
The picture changes when you ship to many states. Each has its own rates, local jurisdictions, product rules and registration thresholds. Keeping tables right by hand becomes a job of its own. A tax service that keeps the rules and returns an answer per address is then the sounder choice.

How the Business Central Avalara integration works
The connector is an extension. You install it in your environment and link it to your Avalara account. When a user calculates or posts a sales document, the extension sends the ship-from and ship-to addresses to AvaTax. It also sends the items, their tax codes and the amounts. Then it writes the returned tax onto the document.
Posted invoices and credit memos go to Avalara as committed transactions. Its reporting and returns services later draw on those. With a Business Central Avalara integration, users keep working on the familiar sales order and invoice pages. The only change is where the tax figure comes from. So training is brief.

The mapping that decides whether tax is right
A tax service is only as accurate as what it is told. Every item, resource and charge needs the tax code that describes what it is. A taxable product in one state may be exempt in another. Freight and handling need their own codes. We build this mapping with your tax adviser.
Addresses matter as much. Rates depend on precise location. So we use the connector's address validation to clean ship-to addresses and your own warehouse addresses. We also link exempt customers to their exemption certificates. That way, a document backs each exemption, not a checkbox that someone ticked long ago.

Testing the connector before go-live
We install and set up the connector in a Business Central sandbox. It points at Avalara's own sandbox account, so test documents do not reach your real tax records. Then we run a set of scenarios that we pick with your finance team. Each scenario has an expected result written down in advance.
The scenarios cover the cases that tend to go wrong. One is a shipment to a state where you are not registered. Others are an exempt customer, a drop shipment, a partial return and a document with freight. We also test an order entered in one period and invoiced in the next. We compare results with what your adviser expects. Then we trace any difference to its mapping.
Plan the test scenarios →- ✓Taxable sale by state
- ✓Exempt customer sale
- ✓Drop shipment
- ✓Credit memo for a return
- ✓Freight and handling lines
What the integration does not decide for you
The service calculates tax where you tell it you are registered. Where you must register is a question for your tax adviser. It is not for software, and not for us. We set up the states you confirm. The legal judgment stays with the professionals who are qualified to make it.
It also helps to write down who does what after go-live. Avalara maintains the rates and rules. Your team maintains item codes and customer exemptions as new records appear. We support the connector through Business Central updates. First, we test it in a sandbox. Then we let each major release reach production.

Business Central Avalara integration questions
Who makes the Business Central Avalara integration connector?
Avalara publishes it, and you install it as an extension in your environment. You need an Avalara subscription in addition to your Business Central licenses. Avalara sets the terms for its service. We do not resell it. We install the connector, set it up with your finance team and test it, so the first live invoice is not also the first real trial.
Does it replace the standard sales tax setup completely?
For documents that the connector handles, the tax amount comes from AvaTax. Some standard setup stays in place underneath. The posting accounts that tax is booked to are one example. We set up both. So postings land in the right ledger accounts. We also test a sample of each document type, so you see the full path from the sales line to the ledger entry.
What happens to a Business Central Avalara integration if the service is down?
A calculation request needs a response from the service. So a connection problem can hold up posting. We agree a procedure with you for that rare case. We also make sure users recognize the message when they see it. Then nobody guesses what to do while a customer waits for an invoice.
Will it file our returns?
Calculation and filing are separate Avalara services. The connector records transactions that a returns service can use. You decide whether to file yourself from Avalara's reports or to subscribe to its filing service. We can explain both options. We then set up the Business Central side to match the one you choose.
Does a Business Central Avalara integration work with web store orders?
Orders that arrive in Business Central as sales documents are calculated like any other. If the web store also calculates tax at checkout, both must use the same rules. So we check that the two figures agree for a range of test orders. If they differ, we trace the cause to a code, an address or a setting.
