Business Central AP automation from inbox to approved invoice

Business Central AP automation takes a vendor invoice from the moment it arrives. It ends as an approved purchase invoice, ready to post. The invoice usually arrives as a PDF in a shared mailbox. Our consultants set up capture, matching against orders and receipts, and approval routing. So your payables staff handle exceptions instead of keying every line.

📥What it means

What Business Central AP automation covers

The work splits into three stages. Capture reads the invoice and turns it into data. That means vendor, invoice number, dates, amounts and lines. Matching then compares that data with the purchase order and the posted receipt. Routing sends the invoice to the right person to approve when it has no order or does not match. Each step has a job.

This page is about those stages. The payables ledger itself has vendor cards, payment journals and aging. We describe it on our accounts payable page. Automation sits in front of that ledger and decides how invoices get into it. So the two pages are meant to be read together.

Signs you need Business Central AP automation

The signs are familiar to any finance manager. Invoices sit in personal inboxes waiting for approval. Nobody can say how much is owed but not yet entered. Duplicate invoices slip through. Early payment discounts are missed because approval took too long. Month end brings a scramble for accruals. Sound familiar?

Volume is not the only trigger. A company can have modest invoice numbers but many approvers, several locations or strict audit needs. It gains just as much. The value lies in a visible trail that shows who approved what and when. That trail stays attached to the posted document, and auditors ask for it.

🧲How we build

How we set up Business Central AP automation

We use standard features where they fit. Incoming Documents holds the original file against the purchase invoice. The e-documents framework receives structured electronic invoices. Approval workflows route documents by amount, department or purchaser. You can build them in Business Central or in Power Automate. Microsoft is also adding Copilot help for payables, which we assess against your version. Fit comes first.

For reading PDF invoices at scale, a dedicated capture add-on is often the practical answer. Several AppSource apps specialize in this and learn each vendor's layout. First, we compare them on your own sample invoices. Then we set up the chosen one with matching tolerances and approval rules.

🧾What you get

What changes for your payables team

Invoices sent to a dedicated mailbox appear in Business Central as draft purchase invoices with the PDF attached. Those that match an order and receipt within tolerance move forward without a touch. The rest go to an approver. The approver can reply from email, Teams or the Business Central mobile app.

We hand over the rule set in writing. It lists tolerances for quantity and price differences and approval limits by role. It also names substitute approvers for absences. For common non-order invoices such as utilities, it gives the ledger coding. Finance can adjust all of this without development, so they stay in control of their own rules. That keeps control local.

Pitfalls in invoice automation projects

Business Central AP automation magnifies whatever purchasing discipline exists. Suppose staff rarely receive goods in the system. Then there is nothing to match against, and every invoice becomes an exception. So the first task is often to tighten order and receipt habits, before any capture tool goes live. It is basic, and it matters. Start with the basics.

Vendor master data is the second pitfall. Duplicate vendors, missing tax IDs and outdated bank details confuse recognition and create risk. So we clean the vendor list. We agree who may change bank details. We also add an approval step to that change, because payment fraud usually starts there.

Questions

Business Central AP automation questions

Can Business Central AP automation read PDF invoices?

Business Central can store the PDF against a purchase document and process structured electronic invoices. Reading unstructured PDFs is an area where Microsoft is building Copilot features. Specialized add-ons also do it. We test the options against your real invoices, then report which one reads your vendors' layouts best. That test gives you facts before you choose a tool.

What is three-way matching in Business Central AP automation?

It compares three documents: the purchase order, the receipt of goods and the vendor invoice. When quantities and prices agree within a tolerance you set, the invoice can proceed without manual approval. Differences send it to a person for a decision. We set the tolerances with your finance lead, so small rounding gaps do not clog the queue. That keeps the queue short.

How are invoices without a purchase order handled?

We code them to a general ledger account and dimensions. Either rules that recognize the vendor do this, or the payables clerk does. Then the invoice goes for approval to the budget holder. Recurring purchase lines can prefill the usual coding for regular vendors. That saves typing, and the approver still sees every line before the invoice posts.

Can approvers act without opening Business Central?

Yes. Approval requests can go out by email with a link. Power Automate approvals can be answered from Outlook, Teams or a phone. The decision and the approver's name are recorded against the invoice. That record becomes the audit trail. So approvers who travel, or who dislike new screens, can still act quickly. It is quick.

Does automation also handle paying the vendors?

Payment is a separate step that follows approval and posting. Business Central suggests vendor payments in the payment journal. It can also export them to your bank. Our accounts payable and banking pages describe that part of the process. We connect the two, so approved invoices flow into the next payment run.
