Medical supply companies and distributors on Business Central

Business Central for medical supply distribution is mostly about control. You need to know the lot or serial number of everything you ship. You need to honor each facility's contract price. And you need to fill orders in full. So we set up stock, pricing and order handling for suppliers of consumables, equipment and surgical products who serve clinics and hospitals.

📑Contract prices

Contract pricing for hospitals, clinics and buying groups

A medical supplier rarely has one price. A health system negotiates its own. Buying groups get a tier. Walk-in clinics pay list. In Business Central each deal becomes a price list for a customer or a customer price group. Start and end dates make sure an old contract stops applying.

Order entry then picks the right price on its own. A changed contract is a new list, not a line-by-line edit. Sometimes a manufacturer repays you for selling below cost to a contract customer. For that, we add rebate or chargeback tracking with an extension.

🔢Lot and serial

Lot and serial control in Business Central for medical supply

Sterile consumables carry a lot number and an expiry date. Pumps, monitors and beds carry a serial number. Item tracking codes set which of these each product needs. Once a code is on, you cannot post a receipt or shipment without the number. So the record is complete by design.

Package tracking adds a third level for cartons or pallets when you need it. Expiry dates drive first-expired picking. You can block a lot the moment a maker notice arrives. For equipment, the serial number follows the unit into service management if you also repair what you sell.

How Business Central for medical supply answers a recall notice

A recall notice names lots or serial ranges. Enter them on the Item Tracing page. Business Central then lists each facility that got them, the shipment documents and the quantities. It also shows what sits in your own bins. That list becomes the base of your customer notice.

Returned product comes back on a sales return order with the same lot number. So you can compare the amount you recover with the amount you shipped. We build a saved report for this. Then we practice it with your quality lead before go-live, not during a real event.

🏥Consignment stock

Stock held at the customer and direct shipments

Implants and high-value kits often sit at a hospital until someone uses them. We treat each consignment site as a location. We move stock there with transfer orders. You invoice only when the site reports use. The stock still shows on your books as yours, and a count at the site matches the location.

Bulky items such as beds or lifts often ship from the maker straight to the facility. A drop shipment links the sales order to a purchase order. The vendor delivers and you invoice. Nothing passes through your own dock.

Where medical supply firms extend standard Business Central

Large health systems usually order by EDI, so that is the most common add-on. Barcode scanning in the warehouse comes second. Typing lots by hand is slow and brings errors. Both tie into standard warehouse documents. We pick them from the AppSource add-ons that fit your trading partners and label formats.

Some needs sit outside an ERP. Insurance billing for home medical gear, patient records and formal quality management are separate specialist systems. We link to them instead of bending Business Central to copy them. We say so early, so the scope stays honest.

Questions

Business Central for medical supply: questions we hear

Does Business Central make a medical distributor compliant?

No software does that alone. Business Central gives you lot and serial records, change logs, permissions and tracing that support your own steps. Your quality system and your legal duties stay with you. We set up the system to fit the steps you already follow. As your Business Central consultant for medical supply work, we also check each rule with your quality lead before we build it.

Can Business Central handle rental equipment as well as sales?

Standard Business Central sells and services equipment. Recurring rental billing, availability calendars and return checks usually need a rental extension. But if rentals are a small part of the business, recurring sales lines can cover simple monthly charges. We look at your mix of sales and rentals first. Then we pick the lighter option that works.

How does Business Central for medical supply cope with thousands of items?

Item templates, categories and attributes keep a large catalog easy to manage. You load items in bulk with configuration packages or Excel. Vendor catalog numbers sit in item references. So a purchase order shows the maker's code that your supplier expects. That keeps buying fast, even when the range is wide.

Is Essentials enough for a medical supply distributor?

Usually yes. Stock, item tracking, warehousing, pricing and buying are all in Essentials. Premium pays off when you repair equipment under service contracts. It also helps when you build kits under production orders, not simple assembly orders. We check this with you before you pick licenses, so you buy only what you need.

Can customers order online from their contract catalog?

Yes, through a linked portal or storefront. The portal reads each customer's price list and stock from Business Central. It writes orders back as sales orders. We help you choose between the built-in Shopify connector and a dedicated business portal. Either way, Business Central for medical supply keeps one set of prices.
