Business Central for medical device manufacturers: traceability and control

Business Central for medical device manufacturers gives you unit-level traceability, controlled bills of materials and a clear way to test updates. Those are the ERP basics a regulated device company needs. It is not a quality management system. So we set up the manufacturing and finance core. Then we connect the quality tools that hold complaints, corrective actions and design records.

🩺Unit traceability

Unit traceability for medical device manufacturers in Business Central

Finished devices carry their own serial numbers. Critical components carry lot numbers. We post production use with tracking. So for any serial number you can list the part lots inside it. You also see the production order that made it and the shipment it left on.

A field action depends on that chain. Start from a suspect part lot. Item tracing then lists every device it touched and where it went. We set tracking codes per item. For example, screws skip serial numbers, but implantable or electronic parts get them. That keeps the effort where the risk is.

Versioned bills of materials and routings

A device must be built to the released design. Production bills of materials and routings have versions with a status and a start date. So you can prepare a new revision while the current one stays in use. Only a status change by an approved person makes it live.

Business Central does not manage the engineering change itself. That means the request, the impact check and the sign-offs. Those live in a product lifecycle tool or your quality system. The practical link is an integration. It pushes the released revision into a new version here, so nobody re-types it. Medical device manufacturers can then show from Business Central which revision built each unit.

  • ✓BOM versions with start dates
  • ✓Status gate before release
  • ✓Routing versions per revision
  • ✓Permission to release limited

✅Update testing

How do medical device manufacturers validate Business Central?

Device firms under quality system rules must show that their software does its job. Business Central online gets two major updates a year plus monthly minor ones. So validation is a routine, not a single event.

We build that routine around sandbox copies. You can preview each major update before it reaches production. You can also schedule the update window. Then we run and record scripted tests of your key steps. Your quality team sets how deep the proof goes. We do the technical work.

🔬Inspection and release

Inspection and release for device manufacturers

Parts you receive go to a quarantine bin until the check is done. The lot stays blocked, so planning sees it but nobody can use it. Release is a deliberate step by a person with the right permission. The change log then records who unblocked the lot.

Sampling plans, test results, nonconformance reports and supplier fixes need more than the standard product. A quality management app inside Business Central covers inspection. Complaints and corrective action usually stay in a dedicated quality system. We connect supplier and item data, so both sides agree.

Device history, labels and electronic records

The finished production order is the core of a device history record. It holds quantities, part lots, operations, operators and dates. You attach or link inspection results and label copies. Label software prints device ID labels. It uses the item, lot and expiry data from Business Central.

A signature prompt at posting is not standard. If your steps need one, an add-on or extension supplies the step and its record. Access control, locked posted documents and the change log come standard. They form the base those tools build on.

Questions

Medical device manufacturers ask about Business Central

Is Business Central right for device manufacturers under FDA rules?

Compliance belongs to your company and your steps, not to a software product. Business Central supplies traceability, access control and history that support those steps. Your quality team decides what evidence you need. Then we set up and test the system so it can produce that evidence. As your Business Central consultant for device manufacturers, we plan this with your quality lead before the build starts.

Does Business Central for device manufacturers need Premium?

Premium. Production orders, bills of materials, routings and capacity sit in the manufacturing module. Only Premium has it. Importers of devices that make nothing can run on Essentials. They still get serial, lot and expiry tracking. So a device company that only trades fits on Essentials. We check which fits your plant before you buy any licenses.

Can we control when Microsoft updates arrive?

Within limits, yes. Administrators set an update window. They can also postpone a major update for a period that Microsoft defines. That gives you time to test in a sandbox. But you cannot skip updates forever. So a test routine matters more than delay. We build that routine with you.

How does Business Central suit medical device manufacturers who use contract partners?

Subcontracting is part of the routing in Business Central. A subcontract work center creates purchase orders for the outside step. Parts can ship to the partner. Then the receipt posts output with tracking. If a partner builds the whole device, a simple purchase with serial capture at receipt is enough. We pick the setup that fits your partner.

Can it manage consignment stock at hospitals?

Yes. Medical device manufacturers can set up each consignment site as a location in Business Central. Transfer orders send devices out. Then a sales invoice goes out when a unit is used. Serial and expiry visibility by site is standard. Hospital staff usually report use through a portal or a mobile app. We connect that app for device manufacturers who need it.
