Business Central for healthcare providers: clinics, practices and care groups
Business Central for healthcare runs the business side of clinics, medical practices and care groups. It is not an EHR, and it should never hold patient charts. It covers finance across entities, supply purchasing, stock with lot and expiry dates, and equipment. We set it up beside your clinical and billing software. So money and supplies are managed well.

What Business Central for healthcare does and does not do
Patient records, scheduling, clinical notes and insurance claims live in systems built for that purpose. Business Central sits behind them. It acts as the ledger, payables, purchasing, stock and asset system. Being clear about that boundary at the start avoids a design that makes an ERP act like clinical software.
However, the two sides still need to talk. The billing system posts revenue, adjustments and receipts as summary journals by site and service line. It does not post individual patient transactions. So patient data stays out of the ERP. Finance still gets the totals it needs for reporting.

Business Central for healthcare supplies: lot and expiry tracking
Item tracking records lot numbers and expiration dates at receipt. It carries them through every movement. You can pick stock by earliest expiry. You can also trace an item from the vendor to the site that used it. That matters when a manufacturer issues a recall.
For example, each clinic or store room can be a location with its own reorder point. The planning worksheet suggests what to reorder. Transfer orders move stock between sites. So staff spend less effort counting shelves. Fewer items also expire unnoticed at the back of a cabinet.
Get supply stock visible →- ✓Lot numbers on receipt
- ✓Expiration date tracking
- ✓Pick by earliest expiry
- ✓Reorder points per site
- ✓Transfers between clinics
Several practices, one set of books to read
Care groups often grow by buying practices. Each is its own legal entity. Business Central holds each entity as a company in the same environment. Shared charts of accounts also help where needed. Intercompany postings record shared costs. Consolidation then builds group statements with eliminations.
Within an entity, dimensions separate sites, service lines and providers. A partner can then see the profit of one location or one specialty without a separate ledger for each. Month-end becomes a matter of closing one system, and nobody gathers files from every practice manager.
Plan your entity structure →- ✓One company per legal entity
- ✓Shared chart of accounts
- ✓Intercompany transactions
- ✓Consolidated statements
- ✓Site and service line dimensions
Purchasing and payables under control in Business Central for healthcare
Healthcare groups buy from many suppliers, often at set prices. You store purchase prices and discounts for each vendor and item. Orders follow approval workflows by amount. Invoices are matched against what arrived. So overpayments and duplicate invoices are much easier to catch.
Payment runs are suggested from due dates and available discounts. Payment files go to the bank instead of paper checks, where your bank allows. For US vendors that need year-end tax forms, vendor tax features track the amounts as you post.
Tidy vendor payments →- ✓Contract prices per vendor
- ✓Approval by amount
- ✓Three-way invoice matching
- ✓Suggested payment runs
- ✓1099 amounts tracked
Equipment, leases and where an add-on fits
Imaging machines, treatment chairs and lab tools are fixed assets. Each has depreciation, location and insurance details. You can register maintenance visits against each asset. So finance and operations share one list. It shows what the group owns, where it sits and what it costs.
However, some needs go past the standard product. Detailed lease accounting, planned maintenance and payroll suit specialist apps better. They post into Business Central. We say so plainly during planning. We never bend standard features past what they can do.
Ask about equipment tracking →- ✓Asset class and site
- ✓Depreciation method
- ✓Maintenance registrations
- ✓Insurance coverage
- ✓Disposal and replacement
Business Central for healthcare: questions we hear
Is Business Central an electronic health record system?
No. It is business software for finance, purchasing, stock and assets. Clinical records must stay in software designed and approved for that use. We link the two at summary level. So the ledger is complete, and no patient detail enters the ERP. That keeps the design simple, and it keeps your finance team away from clinical data.
How do you handle patient privacy in an ERP project?
The main safeguard is design. We keep identifiable patient data out of Business Central and post billing totals only. Permissions limit who sees which company and ledger. The change log also records edits to sensitive setup. Your compliance officer should check the design against your duties. We give them a clear map of what data goes where.
Can Business Central manage pharmacy or controlled stock?
It tracks lots, expiry dates and quantities by location, which suits general medical supplies. Dispensing records and controlled drug logs have their own legal needs. They belong in pharmacy software. So we can receive summary stock movements from that system for costing. The specialist tool keeps the regulated detail.
Which license does a clinic group need?
Most clinic groups run on Essentials. It covers finance, purchasing, inventory, fixed assets and several companies. Premium adds service management and manufacturing, which providers rarely need. Staff who only approve or look up records can often use a lighter license. We count your users by role first. Then we can help you choose and buy licenses through a Microsoft partner.
How does practice revenue reach the general ledger?
The practice system sends daily or monthly totals by site, payer type and service line. We import those totals as a journal, from a file or through the Business Central API. A finance user then checks them against the billing system report before posting. So the ledger always agrees with the source, and each posting has a named checker.
