A working guide to item attributes in Business Central
Item attributes in Business Central are descriptive properties, such as color, material, voltage or length. You attach them to items so people can find and compare them. They do not change stock, cost or posting. They make a long item list searchable by what a product is, not only by its number. Here is how to create, assign and use item attributes in Business Central.

What item attributes in Business Central are, and are not
An attribute is a name with a value. Color is Red. Thread Size is M8. Material is Stainless. You can use one attribute on any number of items, and each item keeps its own value. Sales staff, buyers and the warehouse can then filter to every item that shares a trait. They do not need to know the part numbers.
Attributes only describe. If an item comes in red and in blue, and each color has its own stock, you need item variants or separate item numbers. Attributes are also not item tracking, since lot numbers and serial numbers are a different feature. So keep that line clear, and you avoid a messy setup later.
Ask about item data →
- ✓Color or finish
- ✓Material or grade
- ✓Dimensions and thread size
- ✓Voltage or power rating
- ✓Brand or model year range
Creating item attributes in Business Central and their value types
Search for Item Attributes and choose New. Give the attribute a name and pick its type. Option means a fixed list of values that you define, which keeps spelling consistent. Text allows free entry. Integer and Decimal hold numbers and can carry a unit of measure. Date holds a calendar date.
For an Option attribute, choose Item Attribute Values and enter the allowed list. Prefer Option over Text wherever you know the set of values. A filter on Text will miss an item when someone typed the value a little differently. You can also add translations for attributes and values in other languages.
Design your attribute list →- ✓Option with fixed values
- ✓Free Text
- ✓Integer numbers
- ✓Decimal with unit
- ✓Date values
Assigning item attributes in Business Central to items and categories
Open an item card and choose the Attributes action. Add a line for each attribute and select or type its value. The Item Attributes FactBox on the item card and the item list then shows them at a glance. So users do not need to open another page to see what a product is.
Doing this item by item is slow, so use Item Categories. Give a category its own set of attributes, with default values if you like. Every item you assign to that category inherits them. You can nest categories, and a child category inherits from its parent. That suits a product range with shared traits.
Structure your categories →- ✓Attributes action on the card
- ✓Defaults from the category
- ✓Inherited from parent category
- ✓Bulk package import
- ✓Edit in Excel where supported
Filtering the item list by attribute
On the Items list, choose Filter by Attributes. Pick an attribute and a value. Add more lines to narrow the result, and the list shows only matching items. Numeric attributes accept ranges, so you can ask for every cable between two lengths. Clear Attributes Filter brings back the full list.
The same lookup helps when you add lines to a sales or purchase document, since you can filter the item list from the line the same way. Reports and Power BI can also read attributes through the item attribute value tables. That helps when you want to analyze sales by characteristic.
Improve item search →- ✓Order entry lookups
- ✓Purchasing alternatives
- ✓Customer service questions
- ✓Catalog preparation
- ✓Sales analysis by trait
Tips for tidy item attributes in Business Central
Start small. Agree on the handful of attributes people really search by. Give one person ownership of the list. Resist the urge to add a new attribute for every request. When an attribute falls out of use, you can block it, which hides it from new assignments and keeps the lookup short.
If you load thousands of items from another system or a supplier sheet, import the attributes in bulk with a configuration package instead of typing them. If you want help shaping categories and attributes before a data load, our consultants are glad to go through your item list with you.
Go through your items →- ✓One owner for the list
- ✓Option type where possible
- ✓Consistent units
- ✓Block unused attributes
- ✓Bulk load, then spot check
Item attributes in Business Central: frequent questions
What is the difference between item attributes and item variants?
Attributes describe an item. People use them for searching and filtering. Variants split one item number into versions, and each version holds its own inventory, such as sizes or colors. So to count stock separately, use variants. To describe an item, use attributes. Many companies use both on the same item, which is fine, because they answer two different questions.
Do item attributes affect inventory or costing?
No. Attributes carry no quantity or value, and they take no part in posting. They are purely descriptive data on the item. Planning, valuation and item ledger entries stay the same whether an item has twenty attributes or none.
Can I import item attributes in Business Central instead of typing them?
Yes. A configuration package can include the item attribute, attribute value and value mapping tables. So you can load a prepared spreadsheet in one pass. First test a small batch in a sandbox. That way you confirm that the values map to the right items before you load the full list, and you can fix mistakes cheaply.
Are item attributes sent to Shopify or an online store?
Attributes are standard item data, so an integration can read them. What the connector publishes depends on the connector you use and how you set it up. We check the connector's own documentation, and we test in a sandbox before anyone relies on it for a product catalog.
How many attributes can an item have?
You are unlikely to meet a small fixed limit, but more is not better. A short, consistent set that every item in a category fills in is far more useful than a long list left half done. So choose the few attributes that your buyers and sales staff really filter by, and start there.
