Getting the most from a Business Central free trial

A Business Central free trial gives you a working online environment from Microsoft, with a demo company, at no charge. It runs for a limited period. You sign up with a work email, explore, load your own data and later decide whether to subscribe. This guide explains how to start, what to test and what happens to your data when the trial ends.

🚪Signing up

How the Business Central free trial starts

Sign-up is on Microsoft's Business Central page. It asks for a work or school email address. Within minutes, you land in a demo company called CRONUS. It is filled with sample customers, vendors, items and posted transactions. So reports and lists have something to show from the first click.

The trial runs on the same online service that paying customers use, in your own tenant. Microsoft sets the length of the trial and states it during sign-up. We do not quote it here, because terms change. A notice inside the product tells you how much time remains.

🧭First look

What to try first in the demo company

Pick the role center closest to your job under My Settings. Then follow one process from start to end. Create a sales quote and turn it into an order. Post the shipment and invoice, and receive the payment. Do the same on the purchasing side. That tells you more than browsing menus.

Next, look at how finance reads the result. Open the chart of accounts, the customer ledger entries and a financial report. Try Edit in Excel on a list. Open the built-in Power BI reports if you have a Power BI account. Use the search box to find pages by name.

🏗️Your company

Testing the Business Central free trial with your own data

The demo company proves the product works. A company of your own proves it works for you. From the Companies page, you can create a new company for evaluation. Then load a sample of your real customers, vendors and items. You can do that by hand or with the data migration and configuration package tools.

Keep the sample small and representative. Use a few customers with different terms, items with different units and one tricky price agreement. Then run your own awkward scenarios. Once a company of your own exists, the trial clock matters more. So plan the scenarios before you create it.

🏭Essentials or Premium

Seeing manufacturing and service features

The demo opens in the Essentials experience. Manufacturing and service management belong to Premium, and a trial user can switch to see them. On the Company Information page, change the user experience setting to Premium. You can also create a sandbox environment with the full sample data. Then the extra pages appear.

This matters for manufacturers. Otherwise, they judge the product without production orders, bills of materials or routings. Try a production order from release to finished output. Essentials and Premium cannot be mixed within one environment when you subscribe. So the trial is a good moment to settle which one you need.

⏳When it ends

What happens when the Business Central free trial ends

When the period runs out, you can extend it once yourself from inside the product. After that, continuing means buying licenses through a Microsoft partner. If you subscribe, the environment and the companies you created carry over. If you do not, Microsoft removes the data after a holding period.

A trial answers whether the product feels right. It does not replace an implementation. Chart of accounts design, posting groups, data migration and training still need doing properly. If the trial went well and you want a view on the work involved, our consultants are happy to talk it through.

End-of-trial options
  • ✓Extend the trial once
  • ✓Subscribe through a partner
  • ✓Environment carries over
  • ✓Data removed if unused
  • ✓Plan the implementation next
Questions

Business Central free trial questions

Is the Business Central free trial really free?

Yes. Microsoft does not charge for the trial, and it does not ask for payment details to start it. You pay only if you decide to buy licenses. You do that through a Microsoft partner when the trial finishes. So you can explore the product with no commitment. Just remember to export anything you want to keep.

How long does the trial last?

Microsoft sets the length and shows it when you sign up. A notice in the product counts down the remaining time. You can extend it once yourself. We do not state the figure here, because Microsoft can change it. So check the notice inside your trial, and plan your key tests around that date from the first day.

Can I keep the data I enter during the trial?

If you buy licenses for the same tenant before the data is removed, your environment and companies remain. If you do not subscribe, Microsoft deletes the data after a holding period. So export anything you want to keep. Lists and reports can go to Excel. Then you can use that file again, whatever you decide about the Business Central free trial.

Can several people use the same trial?

Yes. Colleagues in the same organization can sign up with their own work emails and join the same environment. That is useful for letting finance, sales and warehouse staff each try the processes they would own. Each person then sees the product from their own job, and you collect more honest feedback.

Do I need a partner to start a trial?

No. Anyone with a work email can start one directly with Microsoft. A partner becomes necessary when you buy licenses. A partner can also help earlier, if you want a guided tour or advice on what to test. We can do that remotely, and we help you plan a short, focused trial.
