What is Business Central and who is it for

What is Business Central? It is Microsoft's business management system, or ERP, for small and midsize companies. It keeps accounting, purchasing, sales, inventory, projects and production in one application. Most companies run it as a cloud service under the name Dynamics 365 Business Central. This guide explains where it came from, what it holds and how to judge whether it fits.

💡The short answer

What is Business Central, in one paragraph

Business Central is an ERP. That means one system records what the whole company does and keeps the ledgers in step. You enter a sales order, a purchase receipt or a production output once. Then stock, customer and vendor balances and the general ledger all update from that one posting.

It belongs to the Microsoft Dynamics 365 family. It sits between small accounting packages and the big products for large firms. Many companies adopt it when bookkeeping software no longer keeps up. Others adopt it because an older ERP, such as Dynamics NAV or Dynamics GP, needs a replacement.

📜Where it began

Where the product came from

The product has a long past. It began as Navision. Microsoft bought it and later renamed it Dynamics NAV. Business Central is the next step. Microsoft rebuilt it for the cloud with a browser client. Many companies have tuned its business logic over a long time.

What changed is how you get it and extend it. Developers now write custom changes as extensions in the AL language. Those sit beside Microsoft's code and do not alter it. So Microsoft can update the service on a schedule. Your own additions keep working, so updates do not break them.

🗺️What it covers

What is Business Central used for day to day?

Finance staff use it for the general ledger, payables, receivables, bank matching, fixed assets, budgets and reports. Operations staff use it for purchase orders, sales orders, item stock, warehouse work, assembly and projects. Each person opens a Role Center. It shows the tasks and figures for their job.

Two license levels set the scope. Essentials covers finance, sales, purchasing, inventory, warehousing and projects. Premium adds manufacturing and service management. A lighter Team Members license suits people who mostly read data and approve requests. A company picks Essentials or Premium for all its full users.

☁️How it runs

How you run it and connect it

Most companies use Business Central online. Microsoft hosts it, applies updates and runs backups. Users sign in with their Microsoft 365 account on a browser, a desktop app or a phone app. Test sandboxes come with it for training. An on-premises edition remains for firms that must host it themselves.

It also works well with other Microsoft tools. For instance, lists open in Excel, and you can handle documents from Outlook. You can share records in Teams and see Power BI reports on the home page. Also, Power Automate runs approvals. Copilot helps with tasks such as bank matching. A Shopify connector comes included for online stores.

🎯Is it right

How to tell whether it fits your company

Business Central suits firms with real operations: distributors, makers, project firms, service businesses and groups of companies. It is more than a sole trader needs. Also, very large multinationals with heavy rules usually look at Dynamics 365 Finance and Supply Chain Management instead.

A good way to decide is to walk through your own work in a trial or demo. For example, try quote to cash, purchase to pay, stock count and month end. If you would like a guide for that walk, our consultants can run it with you. They will say plainly where the product fits and where it does not.

Questions

What is Business Central: common questions

Is Business Central the same as Dynamics 365?

Dynamics 365 is a family of Microsoft business applications. Business Central is one member of it, the ERP aimed at small and midsize companies. Other members include Dynamics 365 Sales, Customer Service, Finance and Supply Chain Management. Those are separate products with their own setup. So when someone says Dynamics 365, ask which application they mean.

Is Business Central an accounting system or an ERP?

It is an ERP with a strong accounting core. The general ledger, payables and receivables are there. So are inventory, purchasing, sales orders, projects and assembly. With Premium, you also get manufacturing and service. All of them post to the same ledgers, so finance and operations always see the same figures.

Does Business Central run in the cloud only?

No. The online service that Microsoft hosts is the usual choice, and it receives new features first. Even so, you can install an on-premises edition on your own or hosted servers. We explain the trade-offs on our cloud versus on-premises comparison page. Read it before you decide, because moving later takes real work.

How is Business Central different from Dynamics NAV?

It is the same product line in its modern form. The main differences are the browser client and delivery as a cloud service. Customization now happens through AL extensions instead of changes to base code. Updates also arrive continuously from Microsoft. So the daily work feels familiar to NAV users, but the way you extend it has changed.

Who implements Business Central?

Microsoft sells and delivers it through partners and consultants. They set it up, migrate data, train users and provide support. Our consultants work remotely from Phoenix, Arizona, during US business hours. We can take on a whole project or a defined part of one. So if you ask what is Business Central like to roll out, we can show you.
