Business Central returns management from customer to vendor
Business Central returns management covers goods coming back from customers and goods going back to vendors. It uses return orders, credit memos and reason codes. Our consultants configure those documents, the inspection step and the cost reversal behind them. So you record a return once and credit it correctly. When the fault lies upstream, it passes to the supplier without retyping.

Sales return orders as the core of Business Central returns management
A customer return starts as a sales return order, which works as a return authorization. The Get Posted Document Lines to Reverse action copies lines from the original invoice or shipment. Therefore prices, discounts and item tracking match what you actually sold. Nobody keys them again.
When goods arrive, you post a return receipt and stock comes back in. The credit memo follows, either straight away or after inspection. We decide with you whether small corrections may use a plain sales credit memo. We then keep the full return order for cases with physical goods and a warehouse step.

Return reason codes for Business Central returns management
A return reason code on each line records why the item came back. Typical reasons are damage in transit, a wrong item, a defect or an order error. A code can carry a default location, so faulty goods go to a quarantine location. You can also set it to exclude the return from stock value.
Keep the list short and distinct, or staff will pick the first entry every time. With clean codes, a report of returns by reason, item and vendor shows where the money goes. That evidence is what persuades a supplier to change packaging or a picking team to change a routine.
Build your reason codes →- ✓Damaged in transit
- ✓Wrong item shipped
- ✓Product defect
- ✓Customer ordered in error
- ✓Arrived too late
Exact cost reversal so inventory value stays right
A returned item should come back at the cost it left with. The Exact Cost Reversing Mandatory setting in Sales and Receivables Setup ties every return line to the original shipment entry. The original cost is then always the one used. This holds whichever costing method the item follows.
Without it, the costing method at that time values a return. Average cost can then shift for no real reason. We switch the setting on and test it with tracked and untracked items. We cover the purchase side too. There, the same option makes a vendor return leave at the cost of the receipt it came from.

Vendor returns in Business Central returns management
When the fault is the supplier's, a purchase return order ships the goods back. A purchase credit memo then records what the vendor owes. From a sales return order, the Create Return-Related Documents action can raise three documents together. They are the vendor return, a replacement purchase order and a replacement sales order.
That single step saves the most time in practice. Customer service no longer has to ask purchasing to start a separate document. We set it up and define who may use it. We also track open vendor returns, so you actually receive the credits suppliers promised.

Warehouse steps in Business Central returns management
In locations that use warehouse documents, a sales return arrives through a warehouse receipt and put-away. A vendor return leaves through a pick and warehouse shipment. You can direct returned goods to an inspection bin. Then nobody can pick them for a new order before someone checks them.
After inspection, you move stock to a pickable bin. You can also reclassify it to a seconds item. Or you write it off with an item journal and a reason. We define those outcomes with your warehouse lead. We also add handheld scanning where you already use it. That way returns follow the same discipline as outbound orders.
Plan returns in the warehouse →- ✓Back to pickable stock
- ✓Moved to seconds item
- ✓Returned to vendor
- ✓Repaired then restocked
- ✓Written off with reason
Business Central returns management questions
Do we need a return order for every credit?
No. A price correction or a credit with no goods coming back is simpler as a sales credit memo. A corrective credit memo from the posted invoice also works. Return orders add value when items physically return and need receiving and inspection.
Can a customer get a replacement instead of a credit?
Yes. The return order credits the original item, and a replacement sales order ships the new one. You can create both in one step from the return. The customer's account then shows the credit and the new invoice offsetting each other.
How are restocking fees charged?
You can add a restocking fee to the return order as a line. Use a G/L account or an item charge with a positive amount. That reduces the credit. We set up the account and agree when staff should apply it.
Can customers request returns online?
Standard Business Central has no customer-facing returns page. If you sell through Shopify, the built-in connector can bring refunds and returns in. They arrive as credit memos or return orders. Otherwise a portal or a Power Pages site can create the request.
How do lot and serial numbers work on returns?
When you copy lines from the posted shipment, the original lot or serial numbers come with them. Exact cost reversal then ties the return to that entry. This keeps the tracking history of a returned unit complete from sale to disposal. That matters for Business Central returns management.
