Moving from Xero to Business Central: a migration that keeps your books intact
A Xero to Business Central migration moves your chart of accounts, contacts, open invoices and opening balances out of Xero. They go into a full ERP. Then we rebuild the daily routines around it. First, we map tracking categories to dimensions. Next, we load the data in a sandbox. Then we switch over only once the trial balance in both systems agrees to the cent.

When a Xero to Business Central migration makes sense
Xero is a cloud bookkeeping product from Xero Limited, and it does that job well. The strain shows when the company adds warehouses, assembly, several legal entities or approval steps. The answers then start living in spreadsheets and bolt-on apps. So each one holds its own copy of the truth.
Business Central brings inventory, purchasing, projects and finance into one ledger. So stock value and margin come from the same postings as the books. Does your month end depend on exports stitched together by hand? That is usually the signal that the move is worth planning.

- ✓Stock tracked in spreadsheets
- ✓More than one legal entity
- ✓Purchase approvals by email
- ✓Too many bolt-on apps
- ✓Two tracking categories not enough
Mapping Xero records for a Xero to Business Central migration
Xero keeps customers and suppliers in one contacts list. Business Central has separate customer and vendor cards, with posting groups behind them. We split the list and assign posting groups and payment terms. Then we decide which account codes stay, which merge and which become dimension values instead of separate accounts.
Tracking categories become dimensions. That gives you more than two analysis axes. It also lets you require them on chosen accounts. We map tax rates to the tax setup that fits your jurisdiction. Tracked inventory items become item cards, with a costing method chosen on purpose.
Map your accounts with us →- ✓Account codes to G/L accounts
- ✓Contacts to customers and vendors
- ✓Tracking categories to dimensions
- ✓Tax rates to tax setup
- ✓Tracked items to item cards
Opening balances, open items and history
We bring opening balances in through general journals. Unpaid sales and purchase invoices come in as open entries. So aging reports and payment runs work from the first morning. Bank accounts start from a reconciled statement balance. They do not start from a figure somebody typed in. We load item quantities from a fresh count.
You rarely need to repost full transaction history. Most companies carry summary balances by period for comparison reporting. They keep a read-only Xero subscription or exported reports for lookups. We help you decide how far back is useful. We do that before anyone spends effort cleaning old records.
Decide what history to keep →- ✓Trial balance by account
- ✓Open receivables by invoice
- ✓Open payables by invoice
- ✓Reconciled bank balances
- ✓Item quantities and values
How we rehearse a Xero to Business Central migration
Microsoft does not ship a dedicated Xero import. So we use configuration packages and Edit in Excel with data exported from Xero. We rehearse every load in a sandbox environment. There, your finance lead compares the trial balance, aging totals and stock value against the Xero reports they came from.
We set up and try bank feeds, payment export formats and any connected tools, such as payroll or an online store, in the same rehearsal. We schedule cutover around a period end. So the final balances are clean and nobody posts in two systems at once.
Schedule a trial load →- ✓Trial balance matches Xero
- ✓Aging totals agree
- ✓Bank feeds connect
- ✓Payment file accepted by bank
- ✓Users can post sample documents
Mistakes that hurt after leaving Xero
The most common mistake is copying the Xero account list as it stands. Some codes exist only to separate departments or product lines. They belong in dimensions. Carrying them across makes a chart that is hard to report on. It is harder still to consolidate later. We trim it first.
The second mistake is underestimating the change for bookkeepers. Business Central posts through journals, documents and posting groups. That feels different from Xero's bank-led screens. We train each role on its own tasks in the sandbox. So the first live week is routine work, not discovery.
Ask about user training →- ✓Copying the account list unchanged
- ✓Loading unreconciled bank balances
- ✓Skipping a rehearsal load
- ✓Posting in both systems
- ✓Training only one person
Xero to Business Central migration questions
Is there a Microsoft tool for a Xero to Business Central migration?
No dedicated one. You export Xero data to files. Then you load it with configuration packages, Edit in Excel and journals. That sounds manual. But it gives full control over mapping. It also lets us rehearse the same load in a sandbox until the totals agree with Xero.
Can we keep our Xero account codes?
You can, and some companies do for continuity. We usually recommend trimming the list first. Move department and product splits into dimensions. A shorter chart with dimensions gives better reporting than a long one that packs everything into the account number.
What happens to our Xero bank feeds in a Xero to Business Central migration?
Business Central has its own bank feed and statement import options, set up per bank account. We connect them during the rehearsal. We set up matching rules for reconciliation. Then we start each account from the last reconciled statement balance in Xero.
Do attached invoice files move across?
You can export files attached to Xero transactions. But they tie to history that you usually do not repost. Most companies archive them in SharePoint or keep Xero read-only. You can add attachments on open documents to the matching records in Business Central.
Will our payroll and online store still connect?
It depends on the product. Shopify has a connector built into Business Central. Many payroll and commerce tools have an API or an add-on. We list every app connected to Xero early. Then we confirm a route for each before cutover. That keeps your Xero to Business Central migration free of surprises.
