Business Central payroll integration that posts every pay run
A Business Central payroll integration brings each pay run from your payroll provider into the general ledger. It arrives as a balanced journal, split by department, project or location. The US version of Business Central does not work out payroll itself. So companies keep a payroll service or add a payroll app and connect it. We set up that link and the account mapping behind it.

What Business Central payroll integration covers
Payroll providers work out gross pay, taxes, deductions and net pay. Finance needs those totals in the ledger. That means wages expense by department, employer taxes, benefit liabilities and the cash that left the bank. So the integration carries those figures across after every pay run. Done by hand, however, this is slow and easy to get wrong.
Business Central supports this in several ways. The Import Payroll Transactions action on the general journal loads a provider's file through an extension. A payroll app from Microsoft's marketplace can run payroll inside Business Central. Providers without either use a custom import or API feed.

When a manual payroll journal stops working
A small company can key one summary journal per pay run. That breaks down as departments, locations and projects multiply. The journal grows to many lines. Instead, someone builds it in a spreadsheet. One swapped digit leaves payroll liabilities that never reconcile. Then month-end waits on payroll.
Labor cost is also where managers ask the most questions. If wages reach the ledger as one figure, nobody can see labor by project or cost center. An integration that carries dimensions with each line answers those questions from standard financial reports. No extra spreadsheet is needed.

How we set up Business Central payroll integration
We collect a sample export from your provider. We also collect the list of earning, tax and deduction codes it uses. Then we map each code to a general ledger account. We map each employee or department to dimension values. We also design accruals for pay periods that cross month-end at this stage.
Next, we set up the import. It might be a file layout, an extension or an API call. We run past pay runs through a sandbox. The test passes when the journal balances. Liabilities must match the provider's reports. The bank line must equal the amount that left your account.
Map your pay codes →- ✓Sample export collected
- ✓Pay codes mapped to accounts
- ✓Dimensions assigned
- ✓Past pay runs tested
- ✓Accrual entries designed
What your Business Central payroll integration delivers
Your team gets a repeatable routine. They download or receive the provider's file, run the import, check the journal and post. Also, the mapping table is theirs to maintain. So a new deduction code or department needs no developer. The whole routine fits into a short task after each pay run.
We also deliver a reconciliation checklist for payroll liability accounts and the payroll bank account. A short written guide comes with it. Where project costing matters, labor can post to projects. Then job cost reports show wages next to materials. We write it all for the person who covers when your payroll accountant is away.
Ask for the checklist →- ✓Repeatable import routine
- ✓Editable mapping table
- ✓Liability reconciliation checklist
- ✓Project labor posting
- ✓Written user guide
Privacy and accuracy pitfalls
Payroll detail is sensitive. One line per employee puts individual pay where anyone with ledger access can read it. So we normally post summary lines by department. Employee detail stays in the payroll system. Permission sets limit who can open the journal. Auditors can still trace totals to the provider's register.
Other traps are timing and changes at the provider. A pay date in one month that covers work in another needs an accrual. Besides, providers add codes and change file layouts. An unmapped code should stop the import with a clear message. It should not post to a suspense account unnoticed.
Raise a payroll concern →- ✓Individual pay exposed
- ✓Unmapped new pay codes
- ✓Month-end timing gaps
- ✓Changed file layouts
- ✓Unreconciled liability accounts
Business Central payroll integration questions
Does Business Central payroll integration need a payroll app?
In the United States, no. Business Central keeps employee records and can pay employee balances. It does not work out payroll taxes. Companies use an outside payroll service or install a payroll app from Microsoft's marketplace. Then they connect it to the ledger. We help you pick the route, and we set up the Business Central payroll integration for it.
Which providers work with Business Central payroll integration?
Any provider that can export a general ledger file or offers an API. Most national payroll services produce a configurable export. We map that file to your chart of accounts and dimensions. Or we use the provider's connector where one exists. We test the import with a past pay run, so you see the journal before you rely on it.
Can payroll costs be split by department or project?
Yes. Each journal line can carry dimension values, such as department, location or project. If your provider tracks time against jobs, labor can also post to Business Central projects. Then job costing includes wages. Reports can show labor cost at that level. We agree the split with your controller before we map any codes.
Is employee pay visible to everyone in finance?
Not if the integration is designed well. We post summary lines by department, not by person. We limit the payroll journal batch and related accounts with permission sets. Instead, individual pay stays in the payroll system. So only the right people see detail, and your auditors still get a clear trail from the ledger back to the provider.
What if we change payroll provider later?
The account and dimension mapping carries over. We rebuild the import layout for the new provider's file. We test it against a recent pay run in a sandbox. Then we switch at a pay period boundary, so no run posts twice. A Business Central payroll integration should outlast any one provider, and ours does.
