Multi language setup in Business Central for staff and customers
Business Central multi language capability covers two separate things. One is the language each user sees on screen. The other is the language a customer or vendor reads on a printed document. Both are standard features. We install the language apps and translate the master data that matters. Then we make sure every quote, invoice and reminder leaves in the right language.

How Business Central multi language works on screen
Every user picks a language and a region in My Settings. The language changes captions, menus and messages. The region sets how dates, decimals and currency amounts look. So two colleagues can work in the same company, on the same order. Each reads the screen in a different language.
Microsoft supplies further languages as language apps. You install them through Extension Management. We install the ones your teams need. Then we confirm that they cover the pages your people use every day. We also note where a custom extension still shows English captions.

Documents printed in the customer's language
Each customer and vendor card has a Language Code field. When a sales quote, order confirmation or invoice is printed or emailed, the report uses that code for its captions. So a customer in Quebec receives French headings. Meanwhile your accounting team posts the document in English.
Captions are only half of the page. Payment terms, shipment methods, reminder texts and units of measure each have their own translation tables. An untranslated line stands out on an otherwise clean document. So we fill those tables. We also print test documents for each language before anything reaches a customer.

Business Central multi language item translations
An item card holds one description, in the working language of the company. The Item Translations page adds a description per language code. Business Central then picks the matching one when the item is entered on a document for a customer with that language. No user has to choose it by hand.
Longer product wording belongs in extended texts. Handling notes and legal statements are examples. You can limit them to one language as well. We load translations in bulk with configuration packages. So your product team can maintain them in Excel, not open each item one at a time.

Multi language support in extensions and report layouts
Custom AL extensions carry their own captions. A well-built extension generates a translation file when it is compiled. Each target language gets its own translated copy that ships inside the app. Extensions written without this show English labels in the middle of an otherwise translated page.
Custom report layouts need the same care. Text typed directly into a Word or RDLC layout stays in one language. Text drawn from labels follows the document language. We go through your layouts, move fixed text into labels and add the missing translations. Where possible, a native speaker then reads each printed language.
Have your extensions checked →- ✓Translation files per language
- ✓Labels instead of fixed text
- ✓Custom fields and actions captioned
- ✓Layouts tested per language
- ✓AppSource apps checked for coverage
Where multi language projects usually slip
The most common surprise is that language is not localization. Changing the screen to German does not add German tax rules or statutory reports. Those come from the localization chosen when the environment was created. We separate the two questions early. That way nobody expects a language app to handle compliance.
The second surprise is ownership. Translations decay when staff add new items, terms and texts in one language only. So we leave you with a short routine for your Business Central multi language setup. It lists which tables need a translation when a record is created, and who does it. A list page shows what is still missing.

Business Central multi language questions
Can two users work in different languages in the same company?
Yes. Language is a personal setting, not a company setting. Each user chooses a language and region in My Settings. The data underneath stays the same. A posted invoice is one record. Different people see it with different captions. So Business Central multi language use needs no second company or copy of your data.
How does Business Central decide which language an invoice prints in?
It reads the Language Code on the customer or vendor card. The document header copies that code. Report captions, item translations and translated terms follow it. If the field is empty, the document prints in the language of the user who runs it. We check that every active customer has a code.
Does Business Central multi language need a separate company?
No. One company can serve customers in many languages. You need separate companies for separate legal entities. A separate environment may be needed when an entity falls under a different localization. That is a tax and compliance question, not a language one. We help you tell the two cases apart.
Are data entries such as comments translated automatically?
No. Business Central translates captions and uses the translation tables you fill in. Free text typed by a user stays exactly as entered. A comment line is one example. A custom description on an order is another. So for Business Central multi language work, we advise using standard texts and extended texts for wording you reuse.
Can emails to customers be sent in their language too?
Yes. Email body layouts are report layouts. So they follow the same language code as the attached document. We set up the body text with labels and translations. Then the greeting and the invoice match. We send test emails in each language before go-live, so you see exactly what customers will read.
