Make the Business Central mobile app useful in the field
The Business Central mobile app gives licensed users the same company data on a phone or tablet. Pages are rearranged for a small screen. Microsoft publishes it for iOS and Android at no extra license charge. We set up roles and pages so that approving, looking up and capturing information away from a desk is quick.

What the Business Central mobile app can do
The app is a client for the same system. It is not a separate product. A user signs in with a work account. They see their role's home page, lists and cards, laid out for touch. Customers, items, orders and ledger entries are all within reach. Anything entered saves directly to Business Central.
It needs a connection, because there is no offline mode. On a phone, pages show fewer fields. Some desktop features are left out to keep things simple. Tablets show a fuller layout. The camera can attach a picture to an item or an incoming document.

The people who benefit most
Managers who approve purchase orders or payment journals no longer wait until they are back at a desk. So documents stop queueing behind one person's travel. Sales staff can check a customer's balance, open orders and item availability before a meeting. They can also enter a quote while the conversation is fresh.
Owners of smaller companies use the headline figures on the home page to watch cash and sales. Field technicians and project staff can record time or consumption where Business Central's project or service features are in use. However, heavy field work often suits a dedicated app better.

Setting up the Business Central mobile app properly
Installing the app takes moments. Making it pleasant takes thought. A role designed for a wide monitor can feel crowded on a phone. So we adjust which cues, actions and fields appear. We use profiles and page customization, which apply to everyone in a role without any code.
A phone shows only the first few fields in its summary. So we move the fields a mobile user needs to the top of each card. Where a task takes too many taps, a small extension can add a purpose-built page. For on-premises systems, the server must also be reachable securely from outside.

- ✓Unused actions hidden
- ✓Approval workflows enabled
- ✓On-premises access configured
Keeping company data safe on personal devices
A phone gets lost more easily than a desktop. Sign-in goes through Microsoft Entra ID. So multi-factor authentication and conditional access rules apply to the app, just as they do to the browser. Those rules can require a compliant device. They can also block sign-in from unexpected places.
Inside Business Central, permission sets limit what each person can see and change. They are the same on every device. We go through mobile users' permissions with extra care. We confirm that departing staff lose access at once. Where you use Microsoft Intune, we coordinate app protection policies with your IT team.

When the Business Central mobile app is not enough
Some jobs need more than the standard app offers. Warehouse staff who scan barcodes all day usually do better with a dedicated handheld solution. Established AppSource apps cover that. Technicians who work without signal need offline capability. That points toward a Power Apps or field service solution.
For lighter needs, AL extensions can use the device camera, location and barcode scanning inside the mobile app. We look at how often the task happens, where and with what connection. Then we recommend the simplest option. It might be the standard app, tuned pages, an extension, Power Apps or a specialist add-on.

Business Central mobile app questions
Does the Business Central mobile app need a separate license?
No. Anyone with a Business Central user license can sign in to the app with the same account they use in the browser. What they can see and do depends on that license type and their permission sets, exactly as on a desktop. So there is no second purchase to plan for. We confirm the license types of your mobile users during setup.
Does the mobile app work offline?
No. It is a live client and needs an internet connection to read or save anything. If staff regularly work without signal, we look at solutions built for offline use. One example is a Power Apps app that syncs with Business Central when a connection returns. We weigh the extra build against how often the signal drops.
Can we scan barcodes with the app?
Extensions can use the phone's camera or a dedicated scanner device to read barcodes in the mobile app. So a scan can fill a field or find an item. For full warehouse processes with directed picks, a specialist handheld add-on is normally the better choice. We test the scan flow with your own labels and devices.
Can on-premises Business Central be used with the Business Central mobile app?
Yes, if the server is published securely. Devices outside your network must be able to reach it, with a trusted certificate and suitable authentication. Users then enter the service address when they first open the app. We help you configure and test that access, so field staff can sign in on day one.
Why do some pages look different on a phone?
The app adapts each page to the screen. Phones show a compact layout with fewer fields up front. They also leave out a few desktop-only functions. Tablets show something closer to the browser. We arrange pages so the fields your mobile users need appear first, and we test them on real devices.
