Business Central maintenance management for plant and equipment
Business Central maintenance management means using the ERP to plan upkeep of your own machines, vehicles and buildings. It also shows what each one costs to keep running. Standard Business Central covers part of this with fixed assets and capacity calendars. We set up that base. Then we add a maintenance add-on where you need work orders and schedules.

What standard Business Central offers for maintenance
Every fixed asset card has a maintenance tab. It holds a service vendor, a next service date and a warranty date. You can post maintenance costs to the asset with purchase invoices or the fixed asset journal, using maintenance codes. That builds a maintenance ledger per asset, apart from its book value.
In manufacturing, machine centers and work centers carry calendars. If you enter an absence for planned downtime, that capacity goes away. So planning stops loading a machine that will be in pieces on the shop floor. Together, these two features answer what it cost and when it is out of use.

Where Business Central maintenance management needs more than standard
Standard Business Central has no maintenance work order. It has no meter-based schedule and no technician task list for internal equipment. The service management module looks close. However, it is built for items you service for customers, with an invoice at the end. Bending it toward internal plant rarely ends well.
Perhaps you need preventive schedules driven by running time or calendar gaps. Perhaps you need fault reports from operators and a backlog that planners can level. Then a maintenance add-on is the better answer. Several exist for Business Central. They differ in depth and in how they tie to fixed assets.

- ✓Preventive schedules
- ✓Meter and counter readings
- ✓Fault requests from operators
- ✓Mobile screens for technicians
Spare parts and outside contractors
Maintenance stops when a bearing is not on the shelf. So we set up critical spares as items with reordering policies. We keep them in a set location or bin. Then the planning worksheet can propose restocking, and the storeroom can be counted like any other stock.
You issue parts for a repair against the asset or work order. That puts material cost where it belongs. For outside contractors, we use purchase orders coded to the same asset and maintenance code. That gives one cost history, whether your team or a vendor did the work.

How we deliver Business Central maintenance management
We start with the asset register. Equipment is often recorded for accounting as one lump. Maintenance needs it split into the units that people actually repair. So we agree on a structure of main assets and components. Or we use a separate equipment list in the add-on, linked back to the financial asset.
Next comes a decision workshop. The question is standard only, or standard plus an add-on. We show the shortlisted product in a sandbox with a few of your machines loaded. After that, we set up schedules and load spare parts. Then we connect purchasing and train planners and technicians on their own screens.

- ✓Spares linked to equipment
- ✓Training by role
Reporting that supports repair-or-replace decisions
Once maintenance cost posts per asset, a Power BI report can rank equipment by upkeep spend against book value and age. That view turns a hunch about an unreliable press into a figure. Your finance director can then weigh it against the price of a replacement.
We also report planned against unplanned work, and downtime by machine, where the add-on captures it. Some plants have quality or safety duties. For them, a simple list of overdue inspections, refreshed daily, is often the most valued output of the project. Supervisors read it every morning.
Shape your maintenance reports →- ✓Upkeep cost by asset

Business Central maintenance management questions
Does Business Central have a maintenance module?
Not a dedicated one. It has maintenance fields and a maintenance ledger on fixed assets. It also has capacity calendars in manufacturing. Work orders and preventive schedules for your own equipment come from an add-on that installs into Business Central as an extension. We help you pick one and set it up.
Can we use service management for internal equipment?
It is possible, but awkward. Service management assumes a customer, a service item you sold and an invoice at the end. For internal plant, it creates documents and postings you do not want. So we normally suggest fixed asset maintenance or an add-on instead. Both fit Business Central maintenance management better.
How do maintenance costs reach the fixed asset?
You post a purchase invoice line or fixed asset journal line with the asset number, the posting type Maintenance and a maintenance code. The cost goes to a maintenance expense account. It then shows in the asset's maintenance ledger entries, without a change to its book value. We set up the codes with your accountant.
Will planned downtime affect production scheduling?
Yes, when you enter it as a capacity absence on the machine center or work center calendar. Planning then sees less free time in that period. It schedules operations around it. Some add-ons write this absence from the maintenance plan for you. That keeps maintenance and production on the same page.
Do technicians need a full license?
It depends on what they do. Reading data and updating existing records may work with a Team Members license. Creating purchase documents needs more. We check the planned tasks against Microsoft's licensing guide for you. That way, your Business Central maintenance management plan does not run into a license wall later.
