Business Central for industrial equipment makers and dealers

Business Central for industrial equipment companies has to follow a machine for its whole life. You quote it, build or buy it, install it, then service it and supply parts long after the sale. We set it up for machinery builders and dealers of pumps, compressors, lifts and heavy plant. So each unit's history stays in one record.

Machine builds in Business Central for industrial equipment

Equipment builders using Business Central for industrial equipment mix standard features with their own design work. Production orders make standard sub-assemblies to stock. The final machine is a production order created from the sales line. It copies its bill of materials from a base model. Then you edit it for the options sold.

Engineered-to-order machines with long builds and milestone billing run better as a project. Materials, workshop time and bought-out items post to project tasks. Planning lines then drive stage invoices to the customer. You can also link a project and a production order. So the machine cost flows into the job.

Tracking every unit in Business Central for industrial equipment

Every machine carries a serial number from receipt or output. Dealers who buy from a manufacturer capture it on the purchase receipt. Then they select the specific unit on the sales line. That matters because many firms track cost per unit, using the specific costing method.

With Premium, shipping a machine with a serial number creates a service item on its own. The service item keeps the customer, site, warranty dates and component list. From then on, every repair, part and contract sits against that unit. It does not sit against a generic product.

Service contracts in Business Central for industrial equipment

Service management in Premium handles the after-sales side. Service contracts list the covered units, the agreed response and the invoicing period. They also generate invoices on schedule. The contract creates planned maintenance visits. Staff log breakdown calls as service orders with fault and resolution codes.

You allocate technicians to orders by skill and zone. Parts and labor used post to the order for invoicing or warranty. Some technicians need a mobile app with scheduling boards. For them, the Dynamics 365 Field Service link shares customers, items and work orders with Business Central.

Spare parts for industrial equipment that are in stock when a machine is down

Parts sales are steady revenue in Business Central for industrial equipment. They are also an urgent need for the customer. Reorder policies per item and location keep fast movers on the shelf. Slow but critical parts get a safety stock. Item substitutions point to the new part number when a maker replaces one.

Each service van is a location, and a transfer order restocks it. So the office always knows what each technician carries. Item references hold the manufacturer's numbers beside your own. Parts price lists can differ for contract and non-contract customers. The service order applies them on its own.

🧩Rental and options

Rental fleets, configurators and dealer needs in Business Central for industrial equipment

Some needs go past the standard product. Renting equipment by the day or month needs a rental add-on. That means calendars, rental contracts and checks on returns. Guided configuration of a machine with option rules is also an add-on. So is warranty claim submission to a manufacturer.

Financing and trade-ins use ordinary documents. You buy a used unit from the customer with its own serial number. Then the credit offsets the sale. We list every such need in the fit check at the start. So you choose add-ons from the Microsoft marketplace with open eyes.

Questions

Business Central for industrial equipment: common questions

Can one system cover machine sales, parts and service?

Yes, and that is the main reason equipment companies choose it. Sales orders, inventory, service orders and contracts share customers, items and the ledger. So a manager can see the full revenue and margin from an account across machines, parts and labor. Nobody needs to join three reports by hand, and the numbers always agree.

Do we need Premium?

If you build machines on production orders or run service orders and contracts, yes. Both modules are Premium only. A pure parts distributor with no workshop could use Essentials. Projects, inventory, purchasing and finance are the same in both licenses. We count your users by role before you buy. So you pay only for the modules you will really use.

How does it handle warranty work?

Warranty dates and coverage for parts and labor sit on the service item. When a service order falls in the warranty period, covered lines drop in price on their own. The cost then goes to a warranty expense account. That gives a clear picture of warranty spend by model. So engineers and finance can see which products cost the most to support.

Can it manage equipment rental?

Not as standard. Short-term hire needs availability checks, rental rates by period, contract billing and return handling. The core product lacks these. Rental add-ons built on Business Central supply them. Our equipment rental page explains what to look for in one. So you can judge a rental tool before you commit, and you avoid a costly mismatch.

Is Field Service required for technicians?

No. Technicians can complete service orders in the Business Central mobile app. The office can also enter them afterwards. Field Service becomes worthwhile when you need a dispatch board, route planning, offline work and customer signatures. It connects through Microsoft's standard link. So you can start simple and add it later, once call volumes justify it.
