Know the margin on every job with Business Central job costing

Business Central job costing collects the labor, material and purchased costs of each job in the Projects module. Older versions call it Jobs. It compares those costs with a budget by task. Our consultants set up the task structure, cost capture and WIP methods. So a project manager sees where a job stands while there is still time to act.

🏗Tasks and budget

The task structure behind Business Central job costing

Each project splits into project tasks. Posting, heading and total lines build a hierarchy. You record costs and revenue against a task. So the detail you pick here is the detail you can compare later, budget against actual.

Under each task, planning lines hold the budget. They name the resource, item or G/L account, the quantity, and the cost and price. You mark each line as budget, billable or both. We design task templates for your usual job types. Then we use the Copy Project function, so a new job starts with a sound structure.

🧱Capturing cost

Getting every cost onto the right job

Actual cost comes from several places. Labor comes through time sheets or the project journal. Stock items go out through the journal, or you pick them for the project. For bought-in goods and subcontractors, you code the purchase line with a project number and task. Usage then posts when the invoice or receipt posts.

The gaps are usually in purchasing and expenses. So we make the project fields easy to fill on purchase documents. We also add checks, so a line for a project vendor cannot post without them. Then we use the usage link to match actuals to the planning lines they fill.

Reading budget, actual and remaining cost

The Project Task Lines page shows budget, usage and billable amounts side by side for each task. Totals roll up the hierarchy. Project statistics add profit figures for the whole job. So a manager sees that one task is over budget without waiting for a month-end report.

Numbers alone do not forecast. So we add an estimate-at-completion view, usually in Power BI. It combines actual cost to date with the remaining planning lines. We also train project managers to update remaining quantities as the job changes. That habit turns cost records into an early warning.

WIP methods in Business Central job costing

Long jobs twist the income statement if cost and revenue land at different times. A WIP method on the project decides how to match them. The built-in methods are Cost Value, Cost of Sales, Sales Value, Percentage of Completion and Completed Contract. You can also build custom methods from the same parts.

The Calculate WIP batch job works out the amounts. Then Post WIP to G/L moves them between the income statement and balance sheet accounts. We agree the method with your accountant and set up the accounts. After that, we rehearse a month-end, so finance can tie project WIP to the ledger.

🧾From cost to invoice

Linking costs to customer invoices

Billable planning lines become sales invoice lines through Create Project Sales Invoice. You can bill fixed amounts agreed by task, or the time and material you used. Invoiced amounts flow back to the task. So you see the margin per task and per job as billing goes on.

We set up the billing style that each contract type needs. We also design the invoice layout, with the detail customers ask for, such as hours by person or materials by task. Progress billing and amounts held until completion use planning lines and posting setup. We define those with finance.

Questions

Business Central job costing questions

Is Business Central job costing the same as the Projects module?

Job costing is what the Projects module does. Microsoft renamed Jobs to Projects in recent versions. So pages now say Project where older guides say Job. The functions for budgets, usage, WIP and invoicing are the same. We use the current names with your team, and we explain the old ones when you meet them.

Can overhead be added to job cost?

Yes. A resource's unit cost can include an indirect cost share on top of direct cost. Items can also carry an overhead rate. For costs that you allocate afterward, a project journal line against a G/L account posts them to the chosen jobs and tasks. We set up the method that matches how your accountant views overhead.

How do purchase orders relate to job cost?

A purchase line with a project number and task posts usage to the job when you receive or invoice it. Until then, it is a commitment. Standard pages do not total commitments per task. So we usually add a report for that. Then project managers see what they have promised to spend, not only what they have spent.

Which WIP method should we use for Business Central job costing?

It depends on your accounting policy and contract types. Percentage of Completion is common for long fixed-price work. Completed Contract suits short jobs. We explain how each one calculates. Then your accountant picks the one that matches the policy behind your statements. We set it up and test it in a sandbox first.

Can job costing be used for internal projects?

Yes. A project with budget lines and no billable lines tracks the cost of an internal job, such as a plant upgrade. If you should capitalize the result, you move the total cost to a fixed asset when the work ends. Our Business Central job costing setup covers both cases.
