How to calculate and post work in progress in Business Central projects
Work in progress in Business Central is the value of project work that you have done but not yet recognized in the income statement. The Projects module works it out with a WIP method you choose. It then posts the result to balance sheet accounts until the project ends. This guide explains the methods, the two batch jobs and the setup behind them.

What work in progress in Business Central means
On a long project, costs and invoices rarely arrive in step. You may spend heavily before you bill anything. Or you may bill a deposit before you do any work. Left alone, the income statement swings from loss to profit for reasons that have nothing to do with performance. WIP moves those amounts to the balance sheet until you earn them.
In Business Central, this is a project feature. Usage you post to a project records cost, and sales invoices record revenue. The WIP calculation compares the two against the budget on the project planning lines. Then it works out how much cost and revenue to recognize at the chosen date.

Five standard WIP methods in Business Central
Cost Value and Cost of Sales recognize cost in line with progress and hold the difference as WIP. Sales Value and Percentage of Completion recognize revenue in line with progress. So profit shows up gradually as the work gets done. Completed Contract recognizes nothing until the project ends, then releases everything at once.
You set the method on the project card or on single project tasks, with a default in Projects Setup. Which one is right is an accounting policy question. Revenue recognition standards and your auditor's view often shape it. The Project WIP Methods page also lets you define your own combination.

Setup that Business Central work in progress relies on
Project posting groups hold the accounts. On the balance sheet, you have WIP costs and WIP accrued costs. Beside them sit WIP invoiced sales and WIP accrued sales, plus adjustment accounts on the income statement. You assign each project a posting group, so different project types can use different accounts.
The task structure matters just as much. The WIP-Total field on project task lines marks which tasks calculate together, and a task marked Excluded stays out. Budget figures on the planning lines must be realistic. Percentage-based methods divide actual cost by budgeted cost to measure progress.

Calculating and posting work in progress in Business Central
Two batch jobs do the work. Project Calculate WIP computes the amounts as of a posting date. It stores them as WIP entries without touching the general ledger. You can inspect them on the project. Warnings appear if a project lacks budget or has usage without a schedule.
Project Post WIP to G/L then posts those entries to the accounts in the posting group. With the reverse option, it reverses the previous posting before it makes the new one. So the balance always reflects the latest calculation. Most finance teams run both as a fixed step in the month-end close.

Completing projects and production work in progress
When a project ends, set its status to Completed and run the calculation one last time. Business Central then releases the remaining WIP. Total recognized cost and revenue now equal what you actually posted. If you skip this, balances stay on the WIP accounts for projects nobody works on. That is a common finding in ledger clean-ups.
Manufacturers meet a different WIP. Released production orders post consumed materials and capacity to a WIP account from the inventory posting setup. When you finish the order, the value moves to finished goods. It shares the name but not the mechanics. If either kind puzzles your team, our consultants can explain your figures.

Questions on Business Central work in progress
Which WIP method should we use?
That is an accounting policy decision for your finance lead and auditor. Percentage of Completion is common for fixed-price contracts, and Completed Contract for short jobs. We explain how each method behaves in Business Central. Then we set up the one you choose. So you decide the policy, and we make the system follow it.
Do we need WIP for time and materials projects?
Often not. If you bill work soon after you do it, cost and revenue land in the same period anyway. WIP becomes useful when billing lags behind usage by a period or more. It also helps when invoices go out in advance. In those cases, the income statement would otherwise show swings that hide how the project is really doing.
How often should we run Calculate WIP?
Normally once per accounting period. Run it after you post project usage and sales invoices for the period, and before anyone prepares financial statements. You can run it more often, since each posting can reverse the one before it. Many finance teams add it to the month-end checklist so that nobody forgets the step.
Why does the WIP calculation show a warning?
Warnings point to data the method needs but cannot find. Examples include no budgeted cost on the planning lines, usage that exceeds the schedule or a missing WIP method. Fix the project data, then run the calculation again. If the same warning keeps coming back for many projects, the cause is usually the default setup, not each project.
Does the Essentials license include project WIP?
Yes. The Projects module, including WIP methods and the WIP batch jobs, belongs to Essentials. Production order WIP is a manufacturing feature and needs Premium. Microsoft publishes the current license details on its site. So you can set up project WIP without moving to Premium.
