Business Central credit management that enforces your policy

Business Central credit management decides how much a customer may owe before an order is questioned. It uses a credit limit on the customer card, warnings on sales documents, blocking options and approval workflows. We turn your written credit policy into those settings. That way the rule applies at order entry, not at month-end.

🚦Credit limits

Credit limits in Business Central credit management

Each customer card has a credit limit field in local currency. Say a user enters a sales order that takes the customer past that figure. Business Central can then show a warning with the current balance, the open orders and the amount over the limit.

You choose which warnings appear in Sales and Receivables Setup. You can pick the exceeded limit, an overdue balance, both or neither. A warning informs the user, but it does not stop them. For many companies that is too soft, so blocking and approvals come next.

Turning a credit policy into system rules

We begin with your policy as written. If it lives in someone's head, we help you write it down. Who sets a limit for a new account, and on what evidence? Who can raise it? What happens when a customer goes over: hold the order, ask a manager, or ship and chase?

Each answer maps to a setting. Templates assign payment terms and payment methods by customer group, so new accounts start with sensible defaults. You can also create a customer with a zero limit and prepayment required while a credit decision is pending. As a result, sales can quote without exposing the company.

✋Blocking and approval

Credit holds in Business Central credit management

The Blocked field on a customer can stop shipping, stop invoicing or stop all transactions. It is the simplest credit hold. But it is manual, so someone must set it and lift it. That works for a handful of problem accounts. It works poorly for a large customer base.

For a rule that applies itself, use a workflow. It sends a sales document for approval when the order exceeds the credit limit. The warehouse cannot release the order until the approver responds. We set up approvers and substitutes, notification emails and what the salesperson sees meanwhile. Then we test with real accounts.

🔭Seeing the risk

Business Central credit management and total exposure

A customer's risk is more than their posted balance. Orders released but not shipped count. So do shipments not yet invoiced and open invoices. Customer statistics in Business Central show these figures together. We make sure the people who decide on credit can find them in one place.

Sometimes several customer cards belong to one corporate group. In that case, bill-to relationships decide whose limit is checked. Some companies sell from more than one entity. Then exposure has to be gathered across companies. A Power BI report or a small extension can give the credit manager one combined view.

🗓️Keeping it current

Keeping Business Central credit management current

Limits set at account opening go stale. A customer who has grown and pays on time deserves more room. One whose payments slip deserves less. So we set up a regular routine. In it, you compare limits with recent sales, average collection period and payment history.

Credit limit changes are sensitive. Permissions therefore restrict who can edit the field, and the change log records each edit with the user and time. Do you use a credit information service? Then an add-on or integration can bring its ratings onto the customer card to support the decision.

Questions

Business Central credit management questions

Does Business Central stop an order when a customer is over their limit?

Not by itself. The standard behavior is a warning. The user can acknowledge it and carry on. To force a stop, we set up an approval workflow that fires when the limit is exceeded. Or we use customer blocking. Most companies choose the workflow because it applies automatically. That is how we usually set up Business Central credit management.

What is included when the credit limit is checked?

The check adds the customer's outstanding balance, the orders not yet invoiced and the document being entered. It then compares the total with the limit on the card. A limit of zero means no limit applies. That surprises people, so it is worth knowing when you create new accounts. Check it for every new customer you add.

Can sales staff change a customer's credit limit?

Only if their permissions allow it. We normally split the duties. Sales can see the limit and the balance, but only the credit function can edit the field. The change log then records every adjustment. Finance or auditors can look at that log later and see who changed what, and when.

How do we handle customers who must pay before shipment?

Business Central supports prepayments on sales orders. The prepayment invoice must be posted and paid before the order can ship. You can set this as a default for a customer. It gives you a clean alternative to refusing credit outright. The customer still buys, and you carry no risk on the first order.

Is credit management different from collections?

Yes. Credit management decides how much risk to accept before the sale. Collections gets you paid afterward, through reminders, statements and follow-up. The two share data. A customer's payment behavior in collections should feed back into their credit limit. That loop keeps Business Central credit management honest over time.
