Business Central 3PL integration with your logistics provider

A Business Central 3PL integration swaps orders and confirmations with the logistics company that stores and ships your goods. Sales orders go out as shipping requests. The provider's confirmations post the shipments. Receipts and stock counts come back too, so your ERP shows a warehouse you do not run yourself.

🏢Setup model

Setting up a 3PL warehouse as a location

The outsourced warehouse becomes a location in Business Central. The stock is yours, and it sits in your books. But the provider's system decides where it rests on the shelf. So we usually keep the location simple, with no bins or directed put-away. Item tracking still works.

Some firms use more than one provider, or one provider with several buildings. Each one gets its own location. Transfer orders then move stock between them and your own site. An in-transit location covers goods on the road. That way you never count the same stock in two places.

✉Data exchange

The messages in a Business Central 3PL integration

Four exchanges carry most of the work. A shipping order tells the provider what to send and where. A shipment advice comes back with quantities, lot or serial numbers and tracking. An inbound notice says a purchase order or transfer is on its way. Then a receipt advice confirms what arrived.

A regular inventory report completes the set. Many providers speak EDI for these messages. Others offer a REST API or swap flat files over secure file transfer. We build to whatever your provider supports. For that we use an EDI add-on or the Business Central API.

Releasing orders and posting confirmations

When you release a sales order for the provider's location, it goes across. We then lock the order against casual edits. Changes after release need a rule: cancel and resend, or send a message to the provider. We agree that rule with both sides before go-live.

When the shipment advice returns, the integration posts the shipment with the quantities really sent. It also saves the tracking number and, if you wish, posts the invoice. A short shipment leaves the rest on the order. Anything that fails to post goes to an exception list with the reason.

Keeping stock in step with the provider

Two systems will drift apart unless someone compares them. We load the provider's inventory report on a schedule. Then we compare it with the location balance by item, lot and expiry date. Gaps show on a list for a person to check. We do not let them adjust stock on their own. Tolerances keep the list short.

Real gaps post through a physical inventory journal with a reason. Lot and serial numbers need extra care. Say the provider picks a different lot from the one Business Central expected. The confirmation must then carry the lot that really shipped, or you lose traceability. We test that case.

🧾Costs and pitfalls

Business Central 3PL integration charges and common pitfalls

The provider bills for storage, handling and freight. Those bills arrive as purchase invoices in Business Central. You can spread them over items with item charges. You can also keep them as an operating cost by customer or channel, using dimensions. We set up whichever gives you useful margin reports.

A Business Central 3PL integration has pitfalls that are easy to predict. Item numbers or units of measure may differ between systems. Teams may have no agreed cut-off time for same-day orders. And nobody may watch the exception list. A short operating agreement and a named owner on each side prevent most of this. We help you draft that agreement.

Questions

Business Central 3PL integration questions

Does a Business Central 3PL integration need EDI?

No. EDI is common among larger providers, but many offer an API or file exchange instead. We design the link around what your provider already runs with other clients. Asking them to build something new tends to slow everything down. So we ask the provider early which formats they support, and we choose the simplest one that covers your orders, receipts and stock reports.

Should we turn on warehouse management for the 3PL location?

Usually not. Bins, picks and put-aways describe work inside a building you run. The provider's own system handles that work. In Business Central the location only needs quantities by item and lot. That keeps the link and the posting simple. If you also run your own warehouse, that site can still use bins and picks as normal.

How do returns to the 3PL work in a Business Central 3PL integration?

We create a sales return order and send it to the provider as an expected receipt. When goods arrive, the provider reports quantity and condition. We then post the return to sellable stock or to a damaged location. The credit memo follows your policy. Clear return codes help here, because the provider and your finance team then use the same words.

Can web store orders go straight to the 3PL?

They can, but we suggest you route them through Business Central. That keeps stock, revenue and customer records in one place. The order arrives from the store. It is released on its own if it passes your checks, and it reaches the provider moments later. You also get one view of every order, whatever channel it came from.

What if we change logistics provider later?

The location, item setup and posting logic stay the same. What changes is the message format and the link to the new provider. We build the integration with a clear mapping layer. That keeps a switch to one part of the solution, so you do not redo the whole setup.
