Business Central for logistics, freight and third-party warehousing

Business Central for logistics gives carriers, freight forwarders and third-party warehouses one place for finance, warehouse work, customer billing and fleet assets. It is not a transport management system. So dispatch and route planning stay in specialist software. We set up the ERP side and link the two. Then every load and storage charge ends up invoiced and measured.

Business Central for logistics warehouses: bins and directed work

First, a logistics warehouse lives on accuracy and speed. Business Central supports zones and bins, directed put-away and pick, cross-docking and cycle counts. Each location can use as much or as little of that as its volume justifies. Business Central for logistics gets handheld scanning from a warehouse app that works on the standard documents.

Also, goods held for customers need separating from anything you own. We design item, location and bin rules so you can report and count each client's stock on its own. Many clients may share one building. Then a third-party logistics add-on handles ownership more cleanly than workarounds.

Billing storage, handling and freight correctly

Logistics revenue comes in small pieces. These include pallet storage by period, handling per movement, extra services, fuel surcharges and freight per load. In fact, missed charges are the usual source of lost margin. Standard sales invoices, resources and recurring lines cover simple contracts. Price lists hold each customer's agreed rates.

However, some billing depends on counting movements and days in storage. Standard features run short there. That is the point to look at a billing app for third-party logistics, or a small extension that builds invoice lines from warehouse entries. We show both routes and what each involves before you choose.

Where Business Central for logistics meets your transport system

Load planning, dispatch, driver logs and carrier rating belong in a transport management system. Business Central receives the financial result. That means a customer invoice for each delivered load and a payable for each carrier or owner-operator. We connect the systems through the API. So nobody retypes load data.

Each posting carries dimensions for customer, lane, terminal or truck. Finance can then report revenue and direct cost per load, per lane or per vehicle from the ledger itself. So month-end becomes a check of one set of figures. It stops being a hunt between two systems.

🔧Fleet assets

Tractors, trailers and equipment as assets

For example, every tractor, trailer and forklift is a fixed asset. It has an acquisition cost, a depreciation book and an insurance record. You can register maintenance spending for each asset. A dimension for the unit number lets fuel, repairs, tolls and tires post against the vehicle that caused them.

With that in place, cost per unit becomes a report and not a research project. Operations can see which vehicles are getting costly to keep. Finance has the figures ready when replacement decisions come up. Workshop scheduling and parts planning suit fleet maintenance software better. It can post its costs across.

📈Profit insight

Seeing profit by customer and lane with Business Central for logistics

Because margins are thin, averages hide problems. Dimensions on both revenue and cost let financial reports and Power BI show contribution by customer, lane, terminal and service. A contract may look healthy on revenue alone. You see the truth once carrier cost and handling labor are set against it.

Receivables matter as much as margin. Customer credit limits, overdue warnings and reminder terms keep collections moving. Cash flow forecasts combine open receivables, payables and expected fuel and payroll spending. So owners get an early view of tight weeks. They do not learn about them from the bank balance.

Questions

Business Central for logistics: practical questions

Is Business Central a transport management system?

No. It does not plan routes, rate carriers or track drivers. It manages finance, warehousing, purchasing and assets. Most freight companies run a transport system for operations and Business Central for the books. An integration carries invoices and payables between them. So dispatchers keep their tool, and finance gets clean data without any retyping.

Can a third-party warehouse bill clients from Business Central?

Yes for straightforward contracts, using price lists, resources and recurring lines. Automatic calculation of storage days and handling counts for each client generally needs a billing app or an extension. We assess your rate cards first. Their complexity decides which route makes sense. So you do not buy a tool that is too big or too small.

How are owner-operators and subcontract carriers paid?

Each one is a vendor. Settlements arrive from the transport system as purchase invoices or journals. Deductions show as separate lines. Payment runs then pay them by electronic file. US firms also use the vendor tax features to track the amounts that need reporting at year end. So the pay process is quick and the paper trail is clear.

Does it handle freight forwarding across borders?

Multi-currency invoicing, exchange rate adjustments and vendor payments in foreign currency are standard. Shipment files, customs documents and cargo consolidation belong in forwarding software. We post the job's revenue and costs into Business Central, tagged with the file number. So you get profit reporting for each job, and customs work stays with the experts.

Which warehouse level should a logistics company switch on?

It depends on volume and layout. A small cross-dock may only need receipts and shipments. A large distribution site gains from bins and directed picks. Each location is set up on its own. So you can start simple and add structure later. You do not need to reimplement. We help you pick the level that fits each site today.
