Business Central for HVAC contractors who install and maintain

Business Central for HVAC contractors works when you set it up around the two halves of the trade. One half is installation projects that run against a budget. The other is service calls that run against an agreement. We configure projects, service orders, truck stock and purchasing. So every unit, part and labor entry lands on the right job, and margin shows before the invoice goes out.

Install projects in Business Central for HVAC contractors

A rooftop replacement or a new-build mechanical package is a project with a bid behind it. Each install becomes a project with tasks for equipment, ductwork, controls and startup. Planning lines carry the budget you quoted. Purchases, stock and technician time post against those tasks.

The project card then shows budget against actual for every task. So a crew lead can see that sheet metal is running over while the job is still open. Progress billing follows the contract. You can invoice by stage, by percentage complete or for time and materials used.

Maintenance agreements and service calls

Seasonal tune-ups and filter changes are repeat work. The service module in the Premium license is built for it. Each customer site holds its service items, such as a condenser or air handler with its serial number. A service contract sets what is covered, how often a visit is due and how the agreement is billed.

A no-cool call comes in. The dispatcher opens a service order against the unit, sees its history and warranty status, and assigns a technician. Parts and labor used on the order price themselves from the contract terms. So covered and chargeable work are separated on their own.

🚐Van stock

Truck stock, refrigerant and the supply house for HVAC contractors

For example, every service van is a small warehouse. We set up each truck as a location. So capacitors, contactors and refrigerant cylinders have a count that belongs to that vehicle. A transfer order restocks it from the shop. Parts used on a call reduce the van's stock and cost the job in the same posting.

Also, many parts are picked up at a supply house on the way to the site. A purchase order coded to the project or service order puts that cost on the job directly. It never passes through the shelf. You match the receipt to the vendor invoice later.

Where a field service add-on is the better answer

Standard Business Central records service orders and technician time well, but it is an office system first. A contractor with many trucks usually wants a dispatch board, route planning and signatures on a phone. Those come from a field service app connected to Business Central. They do not come from the base product.

However, Microsoft provides an integration between Business Central and Dynamics 365 Field Service. We help you decide honestly whether the built-in service pages are enough for your call volume. Or a mobile tool may need to sit in front. Costs and invoices still post to one ledger.

📊Job profitability

What Business Central for HVAC contractors shows once the numbers join up

Installs and service now sit in one system, so Business Central for HVAC contractors shows both. So the owner can compare margin by job type, by technician and by customer. Nobody rebuilds a spreadsheet each month. Dimensions tag every entry as residential, commercial or service. The income statement then splits the way the business is run.

Power BI reads the same data for a dashboard of open jobs, unbilled work and agreements due for renewal. Purchasing, stock and invoicing post to one ledger. So month-end stops being a reconciliation between the dispatch tool and a separate accounting package.

Questions

Business Central for HVAC contractors: common questions

Which Business Central license does an HVAC contractor need?

Projects, inventory and purchasing are in Essentials. Service items, service contracts and service orders are part of Premium. So a contractor with maintenance agreements usually chooses Premium. We confirm the mix of full users and Team Members before you buy. Microsoft publishes the current prices, and we count your users by role to keep the cost fair.

Can technicians enter time and parts from the field?

Yes. Business Central runs in a browser and as a phone app, and time sheets can be filled in on either. For guided work orders, photos and signatures, we normally add a field service app. It posts its results back to the job. So the office sees the same figures as the technician, and billing follows the work.

How are maintenance agreements billed in Business Central?

A service contract holds the covered units, the agreement value and the invoice period. Business Central creates the contract invoices in a batch for each period. It can also defer prepaid agreement income. So the income is recognized over the term it covers. That keeps your books fair, and it keeps cash from distorting your monthly results.

Does Business Central track refrigerant usage?

You set up refrigerant as an item with a unit of measure, such as pounds. Lot tracking can follow each cylinder. Usage posts to the service order or project. Regulatory logs beyond that usually need a report we build, or an add-on. We ask what your region requires, and then we pick the lightest tool that covers it.

Can we move from QuickBooks and a separate dispatch tool?

Yes. We load customers, vendors, items and open balances with configuration packages. Sites and equipment records come across as service items. We decide with you whether the dispatch tool is replaced or connected. That choice rests on how your technicians work today. So you keep what works for the field, and you gain one ledger for the office.
