Business Central for hospitality groups, hotels and restaurants
Business Central for hospitality is the back office behind the front desk and the till. Your property management and point of sale systems keep taking bookings and orders. Business Central handles the ledger, supplier invoices, food and drink stock, assets and group reports. We connect daily revenue into it. So each property's results are ready without manual journals.

Business Central for hospitality revenue: front desk to ledger
A hotel's property system and a restaurant's till already know the day's revenue. They know it by room, outlet and payment type. We set up an import that posts those totals to Business Central each day as a journal. Sales tax, tips, deposits and card clearing stay in separate accounts, the way your accountant expects.
Bank reconciliation then matches card settlements and cash deposits against the bank statement. It uses automatic matching rules. So differences between what the till reported and what reached the bank show up quickly. That is where most revenue leakage in hospitality is found.

Business Central for hospitality groups with several properties
For example, each hotel or restaurant can be a dimension value inside one company, or a company of its own. It depends on ownership. Where properties are separate entities, often with different investors, we use separate companies. They share a chart of accounts. Intercompany postings cover shared costs, and consolidation gives the group view.
Instead, departments such as rooms, food, beverage, events and spa become a second dimension. So owners and general managers read a departmental profit and loss for each property. It follows the layout the trade knows. It comes from reports, not from a spreadsheet.

Food and beverage purchasing and stock
Meanwhile, kitchens and bars buy daily from many small suppliers. Purchase orders, receipts and vendor price lists show chefs what they ordered and at what price. Invoice matching then catches a supplier that charges more than the agreed rate.
Also, you hold stock by location, such as main store, kitchen and bar. Units of measure convert a case bought into bottles or portions used. Physical inventory journals record period-end counts and post the usage. A kitchen app does detailed recipe costing and menu work better.

A high volume of supplier invoices, handled calmly
Hospitality finance teams face many small invoices. So the system can capture incoming documents from email or scans. It codes them with default accounts and dimensions for each vendor. It then sends them for approval to the department head who ordered the goods. Recurring lines cover standing charges such as linen and waste.
The system proposes payments by due date. It exports them to the bank in one file. Also, vendor statements are compared with the ledger. So disputes are settled with facts. The team works on exceptions, not on every delivery note.

- ✓Default coding per vendor
- ✓Department head approval
- ✓Standing charges as recurring lines
- ✓One bank file per run
Furniture, fittings and refurbishment projects
Also, hotels carry large asset registers. They hold furniture, kitchen gear, vehicles and buildings. Fixed assets record each one with its class, property and depreciation book. Depreciation posts to the right property and department through dimensions. Transfers between properties are recorded as well.
You can run a refurbishment as a project. It has a budget for each task, linked purchase orders and cost reports for owners as work goes on. When rooms reopen, the capital cost moves into the asset register. You can follow reserve funds with their own accounts.
Track a refurbishment properly →- ✓Furniture and fittings register
- ✓Kitchen and laundry equipment
- ✓Depreciation per property
- ✓Refurbishment as a project

Business Central for hospitality: owner and controller questions
Does Business Central take hotel bookings or restaurant orders?
No. Reservations, check-in, table service and tills belong in property and till software. Business Central is the accounting and purchasing system behind them. We build the link that carries daily totals across. So both sides agree, and the finance team never has to retype a day's takings.
Can reports follow the hotel industry's departmental layout?
Yes. Financial reports in Business Central let us set rows and columns freely. So a departmental statement for each property can follow the structure your owners and lenders expect. It depends on a chart of accounts and dimensions designed with that layout in mind from the start. We plan that with you in the first weeks.
How are different owners of different properties handled?
We set up each owning entity as its own company, with its own bank accounts and tax settings. Management fees and shared costs post as intercompany entries. A management company can see all of them. An owner's accountant can be limited to one. So each owner sees only their own books, and the group still reports as one.
Will Business Central work with our point of sale system?
Most modern till and property systems can export daily summaries or offer an API. We map that output to a journal in Business Central. Some vendors publish a ready connector. We check that option before we propose anything custom. So you avoid paying for a build that a vendor already offers.
Is there a hospitality edition of Business Central?
Microsoft sells one product with two licenses. Independent software vendors offer industry editions as apps on top of it. For many groups, standard finance plus a revenue import is enough. Larger groups with central buying may gain from an add-on. We look at your size and your process before we suggest one.
