Lot numbers and dates in Business Central for food distribution
Every perishable item gets an item tracking code. It asks for a lot number when you receive, move and ship the item. The receiving clerk records the supplier's lot and its expiration date on the purchase line. From then on, Business Central knows that pallet as its own quantity with its own date.
You can switch on strict expiration posting. Then nobody can sell an expired lot by mistake. Shelf-life rules stay with the item. The lot number card also holds extra details, such as a hold flag while a quality check is pending.
Plan your lot setup →
- ✓Item tracking codes per product group
- ✓Supplier lot captured at receipt
- ✓Expiration date on every lot
- ✓Blocked lots during quality hold
- ✓Strict expiration posting
First-expired picking and cold zones in Business Central for food distribution
You can set a location to pick by FEFO. The pick document then proposes the lot with the earliest expiration date first. Pickers go to the bin that holds that lot. So older product leaves the cooler first.
Zones and bins separate chilled, frozen and dry goods. Warehouse classes keep an item out of a bin that cannot hold it. A smaller operation can keep it simpler. It uses inventory picks straight from the sales order, with no bins at all.
Walk us through picking →- ✓FEFO enabled per location
- ✓Zones for frozen and chilled
- ✓Warehouse classes on bins
- ✓Picks sorted by bin ranking
- ✓Short-dated stock reports
Cases, eaches, pounds and catch weight
Food is bought by the pallet and stocked by the case. It is often sold by the each or the pound. Units of measure handle the conversions. So a buyer orders pallets, the warehouse counts cases, and the invoice shows the unit in the customer's price. All of it works against one stock figure.
Catch weight is different. A case of cheese or protein may be priced on its actual weight. Standard Business Central has no second quantity to record that. So an add-on is the better answer, and we help you choose one that fits your products and scales.
Discuss catch weight needs →- ✓Base unit plus alternate units
- ✓Purchase and sales unit defaults
- ✓Price lists per unit
- ✓Catch weight through an add-on
- ✓Rounding rules on conversions
Tracing a lot in Business Central for food distribution in minutes
A supplier may call about a contaminated lot. The Item Tracing page then starts from that lot number. It lists every sales shipment the lot went out on, with customer and date. It also traces the other way. A customer complaint leads back to the purchase receipt and the vendor.
The trail comes from posted entries, so it is only as good as the discipline at the dock. We design receiving and picking so lot capture is a required step, usually with barcode scanning. We also run a mock recall with your team before go-live. That proves the trail holds. Food distribution teams can repeat the drill in Business Central as often as customers or auditors ask.
Test your recall trail →- ✓Customers who received a lot
- ✓Remaining stock by bin
- ✓Origin vendor and receipt
- ✓Shipment dates and quantities
- ✓Mock recall exercise
Route sales and delivery: what Business Central holds and what an app adds
Orders, invoices, customer balances and dated price lists live in Business Central. Many distributors also hold the route on each customer, with a dimension or a small extension. Then orders, picks and reports can be sorted by truck.
Route planning, proof of delivery and ordering from a handheld on the truck come from a connected delivery app. We set up the link, so deliveries post back as shipments. Returns and short deliveries post as credits with a reason code. Large grocery customers often require EDI, which we add with a connector.

Business Central for food distribution: buyer questions
Does Business Central handle expiration dates out of the box?
Yes. Expiration dates are part of standard item tracking. You record them against each lot at receipt, and they carry through every movement. They can also drive first-expired picking. Strict expiration posting then stops an expired lot from being shipped. So your team gets help at the dock and at the shelf, not only in a report afterward.
Can Business Central help with a product recall?
The Item Tracing page follows a lot from vendor receipt to every customer shipment and back again. It gives you the list of affected customers and remaining stock quickly. Regulatory reporting formats beyond that depend on your products. They may need a custom report. We plan that with you early, so the format is ready before you need it.
Is catch weight included in Business Central?
No. Standard Business Central tracks one quantity per line. So variable-weight items need an extension. Several add-ons cover catch weight for food companies. We help compare them against your items, scales and invoicing rules before you commit to one. That way you pick the add-on that suits your real products, not a demo.
Which license fits a food distributor?
Most distributors run on Essentials. It includes inventory, item tracking, warehouse management, purchasing and sales. Premium adds manufacturing and service management. That matters only if you also process, repack under production orders or service equipment. So we ask how your warehouse really works before we name a license, and you pay for no more than you use.
Can drivers and route sales be run from Business Central?
Orders, invoices and customer balances live in Business Central. A connected delivery app usually provides route planning, proof of delivery and handheld ordering on the truck. We set up the link, so deliveries post back as shipments. Then the office sees the same figures as the driver, and billing follows delivery without a retype.
