A working guide to warehouse receipts in Business Central
Warehouse receipts in Business Central are the documents a dock team uses to record what actually came off the truck. They sit apart from the purchase order the office raised. You switch them on per location, pull in the expected lines, enter the counted quantities and post. This guide covers the setup, the daily steps and the places where receiving goes wrong.

When warehouse receipts in Business Central make sense
The receipt document appears once you turn on Require Receive for a location on the Location Card. Without it, you receive goods straight from the purchase order. That suits a small stockroom where the person who ordered also unpacks. With it, ordering and receiving become two steps for different people.
Turn on Require Put-away as well if staff need an instruction that names the bin for the goods. You must also list each warehouse worker on the Warehouse Employees page for the location. Otherwise the receipt pages stay empty for them. You choose the receipt number series on the Warehouse Setup page.

Creating warehouse receipts in Business Central from orders
A warehouse receipt holds no demand of its own. It borrows lines from released source documents: purchase orders, sales return orders and inbound transfer orders. On a new receipt, you pick the location. Then you use Get Source Documents to choose the arriving orders. If one truck carries orders from several vendors, use the filter option instead.
The office can also push from the other side with Create Whse. Receipt on a released purchase order. One receipt can combine many separate orders. So the dock works from a single list per delivery, and every line still points back to its own order.

Recording and posting warehouse receipts in Business Central
The Qty. to Receive field fills with the outstanding quantity. Staff change it to the counted amount. A short delivery then leaves the rest open for the next truck. If the item needs lot numbers, serial numbers or expiry dates, enter them through the item tracking lines before you post.
Posting updates the received quantity on the purchase order and creates item ledger entries. It also leaves a posted warehouse receipt as the record. The stock now counts as on hand. After that, accounts payable posts the purchase invoice from the order. It matches the invoice against what the dock recorded, not against what you first ordered.

From receipt to put-away and cross-dock
With Require Put-away on, posting creates a warehouse put-away. It moves goods from the receiving bin to storage. In locations with directed put-away and pick, the system proposes a bin from put-away templates, bin ranking and capacity. Until staff register the put-away, nobody can pick the stock.
Cross-docking is worth a look if you often need received goods straight away for a waiting shipment or production order. The receipt shows a quantity to cross-dock. Then the put-away sends that part to the cross-dock bin. Our warehouse shipments guide covers the outbound half.

Mistakes with warehouse receipts in Business Central
The most frequent problem is a purchase order left unreleased. It never shows in Get Source Documents, so the dock receives on paper. The second is over-receipt. By default, the system blocks receiving more than you ordered. If vendors often ship a little extra, you need an over-receipt code with a tolerance.
Receipts left open for a long time distort availability, because buyers still see those goods as on order. A short daily routine of posting or deleting stale receipts keeps planning honest. We are glad to help if you would like a second pair of eyes.

Questions about warehouse receipts in Business Central
Do I need warehouse receipts or can I receive from the purchase order?
Receiving from the purchase order is fine when one person orders and unpacks. Warehouse receipts pay off in three cases. First, a separate dock team may handle deliveries. Second, one truck may carry several orders. Third, put-away to bins may have to follow. If none of these fits, keep it simple and skip the extra document.
Why is my purchase order not showing in Get Source Documents?
The order is usually still open instead of released. Its lines may also use a different location code from the receipt. Or someone may have received it in full already. Check the status, the location on each line and the outstanding quantity. In most cases, one of those three checks finds the cause within a minute or two.
Can one warehouse receipt cover several purchase orders?
Yes. A receipt can hold lines from many released orders for the same location, including transfer orders and sales returns. Each line keeps its link to the source document. So posting updates every order correctly, and invoicing stays separate. The dock gets one list for the truck, and the office still sees each order on its own.
What is the difference between a warehouse receipt and an inventory put-away?
You use a warehouse receipt when the location requires a separate receive step. An inventory put-away is for locations that only require put-away. It records the receipt and the bin placement together in one document. That suits smaller warehouses, where one person receives and shelves the goods in a single trip.
Does posting a warehouse receipt post the purchase invoice?
No. It posts the quantity received only. You post the purchase invoice later, from the purchase order or from a purchase invoice using Get Receipt Lines. That lets accounts payable match the vendor invoice against what the dock really counted. So warehouse receipts in Business Central keep receiving and invoicing as two clear steps.
