The payment reconciliation journal: matching bank lines in Business Central, step by step

The payment reconciliation journal in Business Central takes the lines from your bank statement, matches each one to an open customer or vendor entry, and posts the payments for you. Instead of keying cash receipts one by one, you import the lines, check the suggested matches, fix the few that are wrong and post. This guide walks through each step in order.

🏦What it does

What the payment reconciliation journal in Business Central does

The journal applies money that has already moved in the bank to the invoices and credit memos it settles. Each bank line becomes a journal line with a transaction date, amount and text. The system proposes which open entry it belongs to. It bases that on the amount, the document number and the payer's details.

It differs from the Bank Account Reconciliation page. That page checks that ledger entries you already posted agree with the statement. Here the payments are not yet in Business Central at all. Posting the payment reconciliation journal in Business Central creates them. If you choose, it also reconciles the bank account at the same moment.

📥Import lines

Open a journal and bring in the bank lines

Search for Payment Reconciliation Journals and choose New Journal. Then pick the bank account. If the account links to a bank feed, the transactions arrive on their own. Otherwise choose Import Bank Transactions and select the statement file your bank provides. You set up the file format on the bank account card.

Every statement line now shows its date, description and amount. Positive amounts are money received. Negative amounts are money paid out. Nothing is posted yet. So you can delete a journal and import again while you learn, and you leave no trace in the ledgers.

🎯Auto matching

Apply Automatically and read the match confidence

In the payment reconciliation journal in Business Central, choose Apply Automatically. Business Central compares each line with open customer, vendor and bank entries. It fills in the account and the applied document. The Match Confidence column shows High, Medium or Low. So you know which lines deserve a second look and which you can trust.

The logic behind those ratings lives on the Payment Application Rules page. Each rule combines three facts. One is whether the related party matched. Another is whether the text held the document number. The last is whether the amount agreed, including any payment tolerance. You can adjust the rules. Most companies start with the defaults and tune them later.

What drives a match
  • ✓Invoice number in the text
  • ✓Payer name or bank account
  • ✓Exact amount agreement
  • ✓Payment discount tolerance
  • ✓Single or multiple invoices
🛠️Manual fixes

Correct the lines that did not match

For a line with a wrong or missing match, choose Apply Manually. The Payment Application page lists open entries for the account, and you tick the ones this payment covers. This handles a customer who pays several invoices in one transfer. The page also shows any remaining amount, so nothing hangs loose.

Some lines are not invoices at all, such as bank charges or a regular rent debit. Text-to-Account Mapping handles them best. You tell Business Central that a given text always posts to a given ledger account. From then on, the system codes those lines on its own.

✅Post it

Posting the payment reconciliation journal in Business Central

When the statement ending balance agrees with the balance on the page, choose Post. Post Payments and Reconcile Bank Account posts the payments and marks the bank entries as reconciled. Post Payments Only leaves the reconciliation for later, on the bank reconciliation page. Some finance teams prefer that.

The payment reconciliation journal in Business Central gets better with use, because mappings and customer bank details build up over time. If your import fails, matches stay low, or you want feeds from your bank set up properly, our consultants can look at it with you on a screen share and put it right.

Questions

Payment reconciliation journal in Business Central: questions

What is the difference between the payment reconciliation journal and bank reconciliation?

The payment reconciliation journal creates and applies payments from bank lines that you have not yet posted. Bank account reconciliation compares payments you already posted with the statement. Many teams use the journal daily for receipts. They use the reconciliation page at month end. So the two tools work as a pair, not as rivals.

Which file formats can the journal import?

The format depends on the bank statement import setup on the bank account card. Business Central supports common bank file standards through data exchange definitions. A bank feed service can also deliver transactions directly. We help set up whichever route your bank offers.

Why is the match confidence low on most of my lines?

Usually the bank text does not contain the invoice number, or the payer's name differs from the customer name. Ask customers to quote the invoice number. Record their bank accounts on the customer card. Add text mappings. Each step raises the confidence quickly, and together they lift most lines to High.

Can one bank line pay several invoices?

Yes. Use Apply Manually on the line and select each invoice the payment covers. The page shows the amount still to apply as you go. Any remainder can stay on the customer account as an unapplied payment. You can also move it to a difference account, which keeps the books tidy.

Can I undo a payment reconciliation journal after posting?

Business Central does not delete a posted journal, but you can reverse its effects. Unapply the customer or vendor entries and reverse the payment entries. Where needed, undo a posted bank reconciliation. Checking the lines first is simpler, so use the Match Confidence column before you post.
