Loading opening balances in Business Central without double counting
Opening balances in Business Central go in through journals. You do not type them onto accounts, so every starting figure has an entry behind it. You load the general ledger, open customer and vendor items, bank balances, stock and fixed assets as separate sets. Each set posts against a temporary balancing account. This guide gives the order, the journals to use and the checks that prove the load worked.

How to build opening balances in Business Central
Pick a cutover date, normally the last day of a month. Treat the closing trial balance of the old system at that date as your target. Create one G/L account to act as a temporary balancing account. Every opening journal posts against it. When all sets are in, its balance should be zero.
Separate sets exist because of the subledgers. Posting an open customer invoice updates receivables through the customer posting group. Posting stock updates the inventory account. If you also post those control accounts from the trial balance, the system counts them twice. So the trial balance set leaves them out.

General ledger balances for opening balances in Business Central
Use a general journal batch that you keep only for opening entries. Enter one line per G/L account with the closing balance. Debits are positive and credits are negative. Date every line with the cutover date and balance it against the temporary account. Leave out receivables, payables, inventory, bank and fixed asset accounts. Those come from their own sets.
If you report by department or project, split the lines by dimension value now. You cannot analyze balances that you loaded without dimensions. Some accounts block direct posting. Turn that switch off for the load and on again afterwards, and record which accounts you changed.
Prepare your trial balance load →- ✓Dedicated journal batch
- ✓One document number
- ✓Dimensions on each line
- ✓Direct posting allowed temporarily
- ✓Control accounts excluded
Open customer and vendor invoices
Bring in each unpaid invoice and credit memo as its own journal line. Use account type Customer or Vendor. Add the original document number, the posting date, the due date and the external document number. Loading one lump balance per customer is quicker. But then you cannot apply payments, age the debt or send reminders.
Posting groups send the total to the receivables and payables accounts automatically. For foreign currency items, enter the currency code and the original amount. Then later payments calculate exchange differences correctly. Afterwards, compare the aged receivables and aged payables reports with the old system's listings.
Load open items correctly →- ✓Original document number
- ✓Original posting date
- ✓Due date
- ✓External document number
- ✓Currency code and amount
Bank, inventory and fixed assets
Load bank accounts with account type Bank Account. That updates both the bank ledger and the linked G/L account. Use the book balance. Then list uncleared cheques and deposits, so the first bank reconciliation can start from the statement. Post stock through the item journal as positive adjustments with quantity and unit cost.
Settle item tracking, bins and the costing method before you post the stock journal, since they are hard to change afterwards. Fixed assets need an acquisition cost entry and an accumulated depreciation entry for each asset. Post them through the fixed asset journals with the original acquisition date. Then future depreciation starts from the right book value. This is how to finish opening balances in Business Central for assets.

Reconciling opening balances in Business Central
Run the trial balance at the cutover date and compare it line by line with the old system. Then tie each subledger to its control account. Aged receivables must match the receivables account. Aged payables must match payables. The inventory valuation report must match the inventory account. Fixed asset book value must match the asset accounts.
The temporary balancing account should now be zero. A remaining balance points at a set that someone missed, loaded twice or entered with the wrong sign. Rehearse the whole load in a sandbox first. When the load is done, narrow the allowed posting dates.
Rehearse your opening load →- ✓Trial balance to old system
- ✓Aged receivables to control
- ✓Aged payables to control
- ✓Inventory valuation to G/L
- ✓Balancing account at zero
Opening balances in Business Central: questions we hear
Should we load history with opening balances in Business Central, or only balances?
Most companies bring open items and balances. Some also add monthly G/L totals for prior periods, so comparative reports work. Full transaction history is rarely worth loading. It can stay readable in the old system or in a reporting database. That keeps the new company fast and the load simple to prove.
Can opening balances be loaded from Excel?
Yes. Prepare the journal lines in a spreadsheet and bring them in with a configuration package, or use Edit in Excel on the journal page. They still pass through normal posting. So posting groups, dimensions and number series rules all apply. Test a small batch first, because a wrong code is easy to fix before you post many lines.
Why is the receivables account wrong after loading?
Someone probably posted it twice. Once came from the trial balance lines, and again from the open customer invoices. Reverse the direct G/L line for the control account. The balance should come only from customer ledger entries through the customer posting group.
What date should opening entries carry?
The G/L and stock entries use the cutover date. Open customer and vendor items keep their original document and due dates, so ageing stays right. That means General Ledger Setup must allow posting in those earlier periods while you load. Narrow the dates again when you finish.
How do we handle a cutover in the middle of a fiscal year?
Load balance sheet accounts as balances. Load income statement accounts as year-to-date totals at the cutover date, ideally one line per month if comparatives matter. The year-end close in Business Central then moves the full year to retained earnings as normal. So your first year end works without special steps.
